FACILITIES USAGE AND RESERVATION
The facilities of Hoffmeyer Road Baptist Church are dedicated to God and consecrated for use in His work. The church desires to make maximum use of such facilities by offering them to groups and individuals for functions that are consistent with the church’s purpose. That purpose is the worship of God, instructions and nurture inGod’s will, the enhancement of community values, the spreading of the gospel of Jesus Christ, and the enriching of relationships through recreational and fellowship activities.
CHURCH MINISTRY EVENTS AND PUBLIC/PERSONAL EVENTS
A church ministry event is an initiative of the church. Some examples are Sunday School class fellowships, elders’/deacons’ meetings, etc. Examples of public/personal events are weddings, birthday parties, showers, civic and business meetings and social functions, recitals, etc. In matters of schedule conflicts, church ministry events will have priority over public/personal events.
WHO MAY USE THE FACILITIES
Members of Hoffmeyer Road Baptist Church as well as non-members are eligible to apply to use the facilities. Permission to use the facilities shall be granted on the first-come, first-serve basis of availability by the Elders. Every request will be reviewed and every effort will be made to accommodate the request. However, there may be conflict or resource limitations that would prohibit the request from being approved as submitted. First priority will always be given to scheduled church events. Therefore, permission will not be granted for use at a time which conflicts with scheduled church activities. To minimize conflict, persons responsible for scheduling church activities must contact the church office in order to have their events placed on the master church calendar, preferably as far in advance as possible. All groups and individuals must be understanding and flexible to changes in church schedules such as funerals or special events. Those requesting to use the church facilities, both members and non-members, must understand that certain “unpredictable” events take precedence over all scheduled use of the church. If such an occasion arises, the church office will contact the responsible party as quickly as possible in order to work out a schedule that is agreeable to all parties involved. Hoffmeyer Road Baptist Church welcomes the use of its facilities by organizations other than those sponsored by the church. Any such group desiring to use the facilities must meet the following criteria: All aspects of the events are first and foremost glorifying to God.• All events must promote positive family values and welfare. All events must have purposes that align with the mission of Hoffmeyer Road Baptist Church. All events must be non-profiting and non-political in nature and for the civic betterment of the community, whose charter and/or by-laws state that the primary purpose of such group is of a benevolent nature.
GENERAL FACILITIES GUIDELINES
• Refundable deposits (if applicable) must be submitted with the Church Facilities Usage Form. Failure to leave the facility in satisfactory condition will result in the loss of the deposit. Repairs that exceed the deposit will be billed to the responsible party. Deposits will be returned upon satisfactory building inspection and key return. • In instances of public/personal events, a member of Hoffmeyer Road Baptist Church must be present and responsible for the event. • Only qualified and approved individuals may operate the sound and lighting systems. Please contact the church office to request and reserve a church- approved technician. • No alcoholic beverages, illicit drugs, tobacco products, or profanity will be allowed on the premises. • Shirt and shoes, along with other appropriate apparel, must be worn at all times. • All items brought into the facility (rental items, decorations, food, etc.) should be removed from the facility immediately following the event. • All events must be concluded by 9:30 PM on the day of the event. No overnight non-church related events will be allowed. • Use of paste, glue, nails, tacks, staples, or any other items that mar walls, beams, floors, ceilings, doors or windows may not be used while decorating the premises. • Use of rice, confetti or glitter is prohibited; however, flower petals and birdseed will be allowed in the exterior areas of the facilities. • Furnishings and/or equipment are not to be removed from any facility without prior permission from the church office. • All candles must be dripless and supplied by the individual hosting the event. • Caterers, florists, event coordinators and wedding directors must have met with a member of church staff for an orientation of the facilities prior to usage of the building. • Food and drink are allowed in designated areas only. • No pets, except for medical assistance animals, are allowed in the buildings. • Children 12 and under must be supervised at all times.
