  • TERMS AND POLICIES

    For Host Pre-Paid Hat Bar Events

    • Booking Deposit (if full payment is not made):
      A non-refundable 50% deposit is required at the time of booking to secure your event date.
    • The remaining balance for your selected party package is due at the conclusion of the event, unless otherwise agreed upon in writing.


    For Self-Pay Hat Bar Events

    • Booking Deposit (if full payment is not made):
      A non-refundable and non-transferable $20 deposit is required at the time of booking to secure each participant's spot. If the host is collecting the deposits, the deposit must be submitted within 7 days from booking. If the deposits are not submitted by then, your date will be not secured.
    • The $20 deposit will be applied toward the total cost of the participants' hat purchase at the event.
    • The remaining balance is due at the time the hat is made.
    • Deposits are non-refundable and non-transferable for no-shows or cancellations.

     

    Cancellation & Rescheduling Policy:
    If the event is cancelled by the host/hostess within seven (7) days of the scheduled event date and cannot be rescheduled, the booking deposit shall remain non-refundable.
    One (1) reschedule is permitted, subject to availability, unless alternative arrangements are agreed upon in writing.

     

    Accepted Forms of Payment:
    The Booking Fee and all Party Payments must be made via cash, Zelle, Cash App, or Venmo.

    If these payment methods are unavailable, debit or credit card payments may be accepted and will include applicable sales tax and a 3% card processing fee. Client must notify West Darlin’ Hat Bar in advance if paying by card, at which time an invoice will be issued.


    Booking Confirmation:
    The event date is not considered secured until both the signed contract and required booking deposit have been received. A written confirmation will be provided once booking is complete.

    Arrival & Setup

    West Darlin’ Hat Bar will arrive at 60-90 minutes prior to the start time of the event to unload and complete setup. Client agrees to provide an indoor setup space that meets the following requirements:

    • Minimum 10x10 indoor area (or space sufficient for two 6-foot tables)
    • Clear, clean, and ready for immediate use — no furniture, boxes, or other items will need to be moved by West Darlin’ Hat Bar
    • Access to one standard electrical outlet
    • Adequate lighting
    • Clear and easy access for unloading equipment

    West Darlin’ Hat Bar will provide all tables, displays, trucker hats, accessories, tools, and equipment necessary for the service.

    If the setup space is not clear, clean, and ready at the scheduled setup time, West Darlin’ Hat Bar reserves the right to adjust the start time, reduce service duration, or charge an additional setup fee.


    How the Hat Bar/Charm Bar Experience Works

    Guests will enjoy a hands-on, customized hat bar/charm bar experience, which includes:

    • Selection of a hat style or jewelry style.
    • Selection of hat patches and hat accessories or charms for charm bar.
    • Assistance with layout and design.
    • Final assembly and finishing of each custom hat or jewelry on-site.

    Each guest leaves with a fully customized hat or charm bar jewelry created during the event.

     

    Event Flow & Timing

    • Setup: 60–90 minutes
    • Trucker Hat Bar Service: Duration of booked time (typically 2 hours)
    • Breakdown & Cleanup: Approximately 45-60 minutes

    West Darlin’ Hat Bar is responsible for full setup, teardown, and cleanup of the service area.
