IMPORTANT: This form is a vendor application only.
Submission of this application does not constitute approval, confirmation of participation, or a reserved vendor space. Vendors must be formally approved by Henderson KY Pride before participating.
Event Setup & Breakdown
Vendor Load-In Begins: 10:00 AM
- Vendors may not arrive or begin setup prior to 10:00 AM unless explicit written approval has been granted in advance.
- Requests for earlier setup must be submitted during the application process and are not guaranteed.
- Setup Deadline: All vendors must be fully set up by 1:30 PM.
- Early Breakdown: Vendors may begin packing up no earlier than 7:15 PM, as vendor traffic typically decreases when the evening show begins.
- Early Departure: Vendors may not leave prior to 7:15 PM without prior approval.
- Check-In & Check-Out: All vendors are required to check in upon arrival and check out before departure.
Vendor Placement
Vendor booth locations are generated randomly.
Requests for specific booth locations cannot be guaranteed.
What We Provide
This application, if approved, reserves a space in our Vendor Village only.
Henderson KY Pride does NOT provide:
- Electricity
- Water hookups
- Tables
- Chairs
- Tents
Vendors are responsible for providing all equipment necessary for their booth.
Vendor Fees (Collected After Approval Only)
Vendor fees are not due at the time of application.
- Nonprofit / Community Organization: $35
- Standard Vendor (excluding food trucks): $60
- Food Truck (limited spots available): $85
Approved vendors will receive a secure payment link and participation instructions.
Application & Approval Process
This is an application only, not approval or confirmation of participation.
Submission of this application does not guarantee acceptance.
Vendor participation is not confirmed until:
- Written approval is issued
- Payment is completed through the official payment link.
Vendors must receive approval before advertising or representing themselves as a Pride 2026 vendor.
Food Truck-Specific Requirements
Food truck spaces are limited, and approval is not guaranteed.
- Coordinated Load-In: Food truck load-in will be scheduled and coordinated to reduce congestion and ensure safe traffic flow.
- Vehicle Length: Food trucks may not remain connected to a towing vehicle if the combined length of the trailer and vehicle exceeds 25 feet.
- Power & Water: Food trucks must provide their own generator and water supply.
Per city guidelines, Henderson KY Pride cannot provide electricity or water hookups.
Licensing & Inspections:
All vendors must obtain all neccesary licenses to operate in Henderson, KY.
Food trucks are subject to inspection by the Health Department and Fire Marshal.
Vendors are responsible for complying with all local, state, and safety requirements.
Failure to meet requirements may result in removal from the event without refund.
Sales & Restricted Items
The sale of the following items is restricted and requires prior written approval:
- Alcoholic beverages
- CBD or cannabis-related products
- Age-restricted items
Approval to sell restricted items is not guaranteed and is granted at the sole discretion of Henderson KY Pride. Vendors who sell restricted items without approval will be required to leave the event immediately without refund.
Permits, Insurance & Liability
Vendors are responsible for obtaining all required permits and licenses.
Vendors must either:
- Provide proof of liability insurance, or
- Sign a liability waiver.
Henderson KY Pride is not responsible for accidents, injuries, theft, loss, or damage related to vendor participation.
Vendor Code of Ethics
All vendors are expected to uphold the following standards:
- Maintain a welcoming, inclusive, and respectful environment.
- Treat all attendees, volunteers, staff, performers, and fellow vendors with professionalism.
- Refrain from harassment, discrimination, bullying, or disruptive behavior of any kind.
- Comply with all event rules, timelines, and instructions from event staff.
- Operate their booth in a manner consistent with the values of Pride and community safety.
- Remain set up until at least 7:15 PM and complete required check-in and check-out procedures.
Henderson KY Pride has a zero-tolerance policy for behavior that violates this Code of Ethics. Vendors in violation may be removed from the event without refund.
