  •  Terms of Entry 

    It is a condition of entry into the Exhibition that every exhibitor, contractor, sub-contractor, supplier and their agents comply with the Health and Safety at Work Act 1974 and its regulations.  The exhibitor accepts that it is their legal responsibility to ensure that their own and others Health and Safety are not put at risk by their actions (or inaction) during the Kent AI Conference.

    This form is designed to cover standard shell scheme exhibitors through to complex space only structures.  Please feel free to make a note if any of the below is not relevant for you.

    1.      My principal stand contractor has undertaken a Risk Assessment for this event in accordance with the Health and Safety at Work 1974, and he/she has trained and notified his/her staff and sub-contractors in all areas identified as being of risk.

    2.      I have ensured that our principal stand contractor has a suitable and sufficient Method Statement prepared for the show – and he/she has satisfied me of his/her competence to undertake the tasks required of him/her.

    3.      I will make available at the Kent AI event a copy of my own company’s Health and Safety policy, and our stand staff will be sufficiently instructed and trained on matters relating to Health and Safety in order to carry out their tasks competently.

    4.      We will ensure that break down of our stand will not commence before the official break down time of 16:30 on 24th June 2026. 

    5. It is a condition of our contract with you that you hold Public Liability Insurance cover for at least £5 million.

    6. Any stand built by an external contractor must provide a full risk assessment and method statement

    7. Any additional staff places that have been paid for are non-refundable but can be swapped in advance or onsite should a colleague be unable to attend.

    8. Exhibits must fit within the stand space booked and must not extend into the aisles. Stands must retain their open sides and the Exhibitor must not erect a wall or solid object above a height of 1m

    9. Due to the nature of our events please note that under 16s are not permitted onsite during build up or show day. We are unable to allow access and any under 16s will be asked to leave the premises.

  • Do any of your onsite team have accessibility requirements? (Including but not restricted to hearing, motor, cognitive, or visual impairments)*
  • If yes, we will be in touch to see if there is anything we can put in place for your team to make the event more accessible and enjoyable

  • Are you planning on running and activity on your stand which might require a Risk Assessment? Examples include: Active/Sporty based Competitions, Food Giveaways etc*
  • We will be in touch to get some more details from you and see if a Risk Assessment is required.

  • Please note, if you do have an activity onsite that we have not been made aware of, the team may ask to see a copy of the Risk Assessment documentation before you are able to set-up.

  • Please fill in your name and email address so we can send you a confirmation email once we have received your badges.

This includes event updates and special features which form an integral part of the event. From time to time, we may also invite you to attend other relevant events, but you will always have a choice and can unsubscribe or opt out at any time.

     

    Badge scanning

    When you allow your badge to be scanned by or on behalf of an exhibitor or sponsor at Kent AI you are consenting to your personal data being provided to that company (name/address/telephone/email), as submitted when registering for a badge. They may use this data for things such as marketing their goods or services.

  • Photography and Filming Notice
    Photography and video recording may take place at this event. Images and footage may be used in promotional materials for this and future events organised by Revolution Events. If you or your team do not wish to be photographed or filmed, please inform a member of the camera team on site so that you can be avoided. By attending, you consent to the possible use of images and footage as described.
