SCTA Sponsorship – Terms & Conditions
17th SCTA Forum & Dinner 2026
1. Sponsorship Confirmation & Fees
By confirming a sponsorship for the 17th SCTA Forum & Dinner 2026, the Sponsor agrees to pay the sponsorship fee corresponding to the confirmed sponsorship level.
Gala Dinner tables are invoiced separately and are not automatically included in any sponsorship package. Sponsorship grants the right to purchase a table but does not include a table booking fee. Sponsorship level, fee, and associated benefits are outlined in the SCTA 2026 Forum & Dinner Sponsorship Brochure.
2. Payment Terms
All sponsorship invoices are payable net 30 days from the invoice date.
If payment is not received within this period, SCTA reserves the right to withdraw or suspend sponsorship benefits, visibility, and participation rights until payment has been received in full.
3. Cancellation & Changes
SCTA appreciates the importance of clarity and fairness for all sponsors and applies this policy consistently to ensure equal treatment.
Nothing in this section shall be construed as creating any obligation on SCTA to provide a refund or credit under any circumstances; however, SCTA will, in good faith, make every reasonable effort to explore appropriate solutions where feasible.
Sponsorships
Sponsorships are confirmed on the basis of early planning, contractual commitments, and agreed visibility arrangements. For this reason, sponsorship fees are non-refundable once the sponsorship has been confirmed in writing by SCTA.
The sponsorship fee remains payable irrespective of subsequent withdrawal, non-participation, or changes in circumstances on the part of the Sponsor.
Gala Dinner Tables
Gala Dinner table bookings are made in conjunction with event planning and venue commitments and are therefore non-refundable once confirmed.
In exceptional circumstances, and at SCTA’s sole discretion, SCTA may agree to reallocate a cancelled table to another participant. Where such reallocation is successful, SCTA may consider a refund or credit after deduction of any administrative or related costs, and will make every reasonable effort to ensure fair and consistent treatment.
Exhibition Booths
Exhibition booth reservations are made on the basis of space availability, floor planning, technical arrangements, and event logistics and are therefore non-refundable once confirmed.
In exceptional circumstances, and at SCTA’s sole discretion, SCTA may agree to reallocate a cancelled exhibition booth to another exhibitor. Where such reallocation is successful, SCTA may consider a refund or credit after deduction of any administrative, production, or related costs, and will make every reasonable effort to ensure fair and consistent treatment.
4. Use of Sponsor Name and Logo
The Sponsor grants SCTA a perpetual, non-exclusive, royalty-free licence to use, display, and reproduce the Sponsor’s name and/or logo in connection with the 17th SCTA Forum & Dinner 2026, including on the SCTA website, digital platforms, event signage, printed materials, and sponsor listings.
The Sponsor’s name and/or logo may also be used in a factual and positive context in connection with future SCTA communications, including acknowledgements of past sponsorship (e.g. “Thank you to our 2026 sponsors”), event retrospectives, or institutional materials. Such use shall not imply ongoing sponsorship or endorsement of future events unless otherwise agreed in writing.
SCTA shall not be held liable for minor errors or omissions in sponsor listings or promotional materials. SCTA will, however, make reasonable efforts to correct any such errors once notified.
5. Food & Beverage
SCTA is solely responsible for the provision and coordination of all food and beverage services during the Forum and Gala Dinner.
Allergies & Dietary Requirements
SCTA will collect information regarding food allergies and intolerances for registered Forum and Gala Dinner participants and will ensure that food and beverages provided by SCTA are appropriately labelled.
For Gala Dinner tables, table hosts are responsible for collecting allergy and dietary requirement information from their invited guests and for ensuring that this information is accurately submitted via the designated table guest registration form, which will be made available to table hosts in advance of the event. SCTA cannot guarantee accommodation of dietary requirements that are not communicated through the official registration process.
Distribution of Food & Beverages
Sponsors are not permitted to distribute food or beverages during the Forum or Gala Dinner without prior written approval from SCTA. SCTA reserves the right, at its sole discretion, to remove any items or activities that do not comply with this policy.
Exhibition Booth Exception – Coffee Service
As an exception to the above, exhibition booth sponsors may serve freshly brewed coffee at their booth, subject to prior approval by SCTA and compliance with applicable hygiene and safety standards.
Coffee service at exhibition booths must:
- be limited to freshly brewed coffee samples
- be served exclusively in individual, single-use cups
- not include cupping practices or any format involving shared vessels, spoons, or tasting bowls
SCTA reserves the right to suspend or discontinue any booth-based food or beverage service that does not comply with these requirements.
6. Compliance & Conduct
Sponsors, including their representatives, employees, contractors, and delegates, agree to comply with all applicable laws, venue regulations, and SCTA event policies.
SCTA reserves the right to revoke or suspend sponsorship benefits or participation if a Sponsor’s conduct is deemed inappropriate, unlawful, or contrary to the values of the Association. Any such action shall not give rise to any right to compensation or refund.
7. Force Majeure
SCTA shall not be held liable for any delay, modification, or cancellation of the event due to circumstances beyond its reasonable control, including but not limited to acts of God (force majeure), government restrictions, public health emergencies, labour disputes, or venue-related disruptions.
In such cases, SCTA will make reasonable efforts to offer alternative visibility, rescheduling, or equivalent solutions where feasible; however, such circumstances shall not give rise to any obligation to provide refunds or compensation.
8. Governing Law
These Terms & Conditions shall be governed by and construed in accordance with Swiss law. The exclusive place of jurisdiction shall be Switzerland.
