1. Agreement to Terms
By booking a workshop with Cici's Studios, you ("Client") agree to these Terms & Conditions. Please read them carefully before confirming your booking.
2. Booking & Payment
2.1 Booking Confirmation
A booking is confirmed only upon receipt of a signed contract and deposit payment. Verbal or email agreements are not considered confirmed until deposit is received.
2.2 Deposit & Payment Schedule
50% non-refundable deposit is required to secure your workshop date
Remaining 50% is due on or before the workshop date
Accepted payment methods: Check, debit/credit, bank transfer, Venmo, PayPal, Zelle, or cash
2.3 Late Payment
If final payment is not received by the workshop date, Cici's Studios reserves the right to cancel the workshop without refund of deposit
3. Pricing & Additional Costs
3.1 Quoted Pricing
All quotes are valid for 30 days from the date of proposal
Pricing is based on the participant count provided by Client at time of booking
Final pricing may be adjusted if actual participant count exceeds the quoted amount by more than 10%
3.2 Travel Fees
Workshops within 30 miles of Boston, MA include no additional travel fees
Locations beyond 30 miles may incur additional travel fees to be agreed upon in advance
3.3 Additional Services
Any services not outlined in the original agreement (extended time, additional materials, extra assistants) will be billed separately
4. Cancellation & Rescheduling
4.1 Cancellation by Client
More than 30 days before workshop: Full refund minus $100 administrative fee
15-30 days before workshop: 50% refund (deposit is forfeited)
Less than 15 days before workshop: No refund
All cancellations must be submitted in writing via email
4.2 Rescheduling by Client
Workshops may be rescheduled once at no charge if requested more than 30 days in advance
Rescheduling requests within 30 days may incur a $150 rescheduling fee
Rescheduled dates are subject to availability
4.3 Cancellation by Cici's Studios
In the unlikely event Cici's Studios must cancel, Client will receive a full refund of all payments
Cici's Studios is not liable for any additional costs incurred by Client due to cancellation
4.4 Force Majeure
Neither party is liable for failure to perform due to circumstances beyond their control (severe weather, natural disasters, illness, pandemics, government restrictions)
In such cases, both parties will work together in good faith to reschedule
5. Participant Count & Final Headcount
5.1 Estimated vs. Actual Count
Initial quotes are based on estimated participant count provided by Client
Client must provide final headcount 7 days prior to the workshop date
5.2 Participant Count Changes
If final count is within 10% of quoted number, pricing remains unchanged
If final count exceeds quoted number by more than 10%, additional per-person fees apply
If final count is lower than quoted number, Client is still responsible for the minimum agreed-upon pricing
5.3 Day-of Changes
Additional participants on the day of the workshop will be accommodated if materials allow, at an additional per-person rate
6. Venue & Logistics
6.1 Client Responsibilities
Client agrees to provide:
Adequate table and seating space for participants
Access to the venue at agreed-upon setup time
Access to water source (preferred but not required)
Clear instructions for parking and venue access
Safe, clean workspace appropriate for the activity
6.2 Setup & Breakdown
Cici's Studios will arrive at the agreed-upon setup time (typically 30-60 minutes before workshop start)
Client must ensure venue access during this time
Breakdown and cleanup will be completed within 30 minutes after workshop end time
6.3 Venue Issues
If venue becomes unavailable, Client must notify Cici's Studios immediately
Client is responsible for securing an alternative suitable location
Failure to provide adequate venue space may result in workshop cancellation with no refund
7. Materials & Supplies
7.1 Included Materials
All art supplies and materials for in-person workshops are provided by Cici's Studios unless otherwise stated
Virtual workshops require participants to provide their own basic supplies (list provided in advance)
7.2 Damaged or Lost Materials
Client is not responsible for normal wear and tear of materials during workshop
Client is responsible for significant damage to materials or equipment due to negligence or misuse
7.3 Leftover Materials
Any unused materials remain the property of Cici's Studios
Participants may take home only their completed artwork
8. Liability & Insurance
8.1 Liability Waiver
Participants engage in workshop activities at their own risk
Cici's Studios is not liable for injuries sustained during workshops
Client agrees to inform participants of any potential risks associated with art materials
8.2 Insurance
Cici's Studios maintains general liability insurance
Client is responsible for their own venue insurance and any additional coverage they deem necessary
8.3 Property Damage
Cici's Studios will take reasonable care to protect Client's property
Client assumes responsibility for any damage caused by workshop participants
Cici's Studios is not liable for damage to personal property brought by participants
9. Conduct & Participation
9.1 Participant Behavior
Client is responsible for ensuring participants behave appropriately and respectfully
Cici's Studios reserves the right to ask any disruptive participant to leave the workshop
No refunds will be issued for workshops disrupted by participant misconduct
9.2 Age Requirements
Workshops are designed for adults unless otherwise specified
Minors must be accompanied by an adult guardian
9.3 Accessibility
Cici's Studios strives to make workshops accessible to all ability levels
Client should communicate any specific accessibility needs in advance
10. Intellectual Property & Media
10.1 Participant Artwork
All artwork created by participants belongs to the participant
Participants may take home their finished pieces
10.2 Photography & Video
Cici's Studios may take photos or videos during workshops for marketing purposes
By booking, Client consents to such documentation unless explicitly stated otherwise in writing
Participants who do not wish to be photographed should notify the instructor at the start of the workshop
10.3 Workshop Content
All workshop designs, methods, and instructional content are proprietary to Cici's Studios
Client may not replicate, record, or redistribute workshop content without written permission
11. Customization & Special Requests
11.1 Custom Workshops
Cici's Studios welcomes custom workshop requests
Custom designs may require additional planning time and fees
Final custom workshop plans must be approved by both parties in writing
11.2 Special Accommodations
Client should communicate dietary restrictions, allergies, or accessibility needs at least 14 days in advance
Cici's Studios will make reasonable efforts to accommodate special requests but cannot guarantee all requests can be met
12. Confidentiality
Cici's Studios respects Client confidentiality and will not share proprietary business information
Client information will not be shared with third parties except as necessary to fulfill workshop obligations
13. Disputes & Resolution
13.1 Good Faith Efforts
Both parties agree to communicate openly and resolve any issues in good faith
13.2 Dispute Resolution
Any disputes will first be addressed through direct communication
If resolution cannot be reached, parties may pursue mediation before legal action
13.3 Governing Law
These Terms & Conditions are governed by the laws of the Commonwealth of Massachusetts
14. Modifications to Terms
Cici's Studios reserves the right to update these Terms & Conditions at any time
Updated terms will be posted on the website with an effective date
Existing bookings are subject to the terms agreed upon at time of booking
15. Entire Agreement
These Terms & Conditions, along with the signed contract and proposal, constitute the entire agreement between Client and Cici's Studios
Any modifications must be made in writing and signed by both parties
