Field Trip Policies
Pricing & Payment:
- Field trip pricing is per child, based on the length of time booked.
- A $50 non-refundable deposit is required to hold the requested date and time.
- The remaining balance is due no later than 48 hours prior to the scheduled field trip date.
  
  Accepted Payment Methods:
- Credit/Debit Card (via invoice or online payment)
- Cash (by prior arrangement only)
- Failure to submit payment by the required deadline may result in cancellation of the field trip without refund of the deposit.
  
  Cancellation & No-Show Policy
- The $50 deposit is non-refundable under all circumstances.
- Cancellations made less than 7 days prior to the scheduled field trip will forfeit the deposit.
- No-shows or same-day cancellations will result in forfeiture of the deposit and may be subject to additional charges.
- Organizations that fail to show up for a scheduled field trip may be restricted from booking future events at TexStar Athletics.
  
  Attendance Policy
- Final participant count must be submitted 48 hours prior to the event.
- Pricing is based on the final confirmed number, regardless of actual attendance.
  TexStar does not issue refunds for absent participants.
  
  Waivers & Supervision
- All participants must have a signed TexStar Athletics waiver on file prior to participation.
- Organization is responsible for ensuring all waivers are completed in advance.
- A minimum of one adult chaperone per 10 children is required.
- Chaperones must actively supervise participants at all times.
  
  Facility Rules & Safety
- All participants must follow TexStar Athletics safety rules and staff instructions.
- TexStar reserves the right to remove any participant or group engaging in unsafe or disruptive behavior.
  
  Assumption of Risk & Liability
- Participation in athletic activities involves inherent risks. By signing this Agreement, the Organization acknowledges and accepts all risks associated with participation and agrees to hold TexStar Athletics, its owners, employees, and contractors harmless from any claims arising from participation, except in cases of gross negligence.
  
  Force Majeure
- TexStar shall not be held liable for cancellations or interruptions due to circumstances beyond its control, including but not limited to weather, facility issues, power outages, or emergencies.
