  • The Crows Nest Fest is a popular free and open community festival event that has grown steadily over the past 3 decades and now attracts approximately 50,000 + visitors across the day.

    Following last year's very successful Crows Nest Fest 2026, the event organiser Crows Nest Mainstreet (CNMS), and supported by North Sydney Council are thrilled to inject some community spirit and celebration into our much-loved suburb.

    We’re keen to ensure Crows Nest Fest continues to support local businesses, our favourite stallholder exhibitors, partners, and the local community. Don’t miss the opportunity to align your brand with this exceptional event!

    DATE: Sunday 18 October 2026

    OPERATIONAL TIMES: 10am to 5pm

    LOCATION: In Crow’s Nest Village – Willoughby Road from 5 Ways to Albany Street, including the new Willoughby to Hume walk thru, Hume Street Park, Burlington Street to Willoughby Lane, Clarke Street, Hume Street, Ernest Place and Holtermann Street.

    EVENT FORMAT: 200+ Exhibitor Stallholders, Roving Entertainers, 2-3 Stages of Live Music and Dance Performances, Gourmet Food Alley, Licensed Area, Kids Entertainment Alley, including Petting Zoo, Pony Rides, Circus Workshop, and Art Battle and much much more.

    Selection notifications will be advised by 10 April 2026.

    If selected, you will be notified in writing via email, and invoiced after 15 April 2026. Payment will be required on 30 day terms.

    Stallholder positions are very limited and stallholder selections are final, so please provide as much detail and images of your product/brand range in the EOI for the selection committee's review.

  • CROWS NEST FEST 2026
    STALLHOLDER TERMS AND CONDITIONS
    All Stallholders agree to these Stallholder Terms and Conditions.

    1. Definitions
    “Council” means North Sydney Council.
    “Event” refers to Crows Nest Fest 2026.
    “Organiser” refers to Crows Nest Mainstreet Ltd.
    “Event Producer” means Margot Natoli Project Management Pty Ltd and its employees, contractors, agents and representatives engaged in the management of the Event.
    “Site Management Team” means the Event Producer and its staff, contractors, suppliers and authorised event personnel responsible for onsite management of the Event.
    “Stall” means a space allocated to a Stallholder, or a Sponsor by the Organiser at the Event.
    “Stallholder” refers to any legal entity (including any person and/or company) that has applied for and/or been approved for a Stall space, including Sponsors at the Event.

    2. Stallholder Rights and Obligations
    (a)     Stallholders acknowledge that approval of any application and allocation of a Stall is at the sole discretion of the Organiser.
    (b)    All instructions issued by the Organiser, Event Producer or Site Management Team must be strictly followed at all times.
    (c)     The Stallholder must operate only within the permitted use of the Stall and during the agreed trading hours.
    (d)    Stallholders must not provide goods or services that conflict with the supply of goods or services of official sponsors or event partners.
    (e)     Stallholders must notify the Organiser of any third‑party branding or sponsorship associated with their stall.
    (f)       Stallholders must set up and operate their stall regardless of weather conditions unless the Event is officially cancelled.
    (g)     To the maximum extent permitted by law, the Organiser, Event Producer, Council and Site Management Team will not be responsible for any loss, damage or injury arising from:
    (h)    adverse weather conditions;
    (ii)     any matter outside the control of the Organiser; or
    (iii)  anything related to the approval or rejection of a stallholder application.

    3. Insurance
    (a)     Stallholders must hold the following insurance policies with an insurer reasonably acceptable to the Organiser:
    (b)    Workers Compensation insurance where required by law; and
    (c)     Public Liability insurance with a minimum cover of AUD $10 million.
    (d)    Public Liability insurance must cover any indemnities provided under these Terms.
    (e)     Sole traders without employees may be exempt from Workers Compensation insurance provided sufficient evidence is supplied.

    4. Indemnity
    The Stallholder indemnifies and holds harmless the Organiser, Event Producer, Council and Site Management Team, and their respective officers, employees, contractors and agents from and against any loss, liability, claim, demand, damage, cost or expense (including legal costs) arising out of or in connection with:
    (a)     the Stallholder’s participation in the Event;
    (b)    any act or omission of the Stallholder or its employees, contractors or agents;
    (c)     the sale or supply of goods or services by the Stallholder;
    (d)    any injury, illness, death or property damage caused by the Stallholder;
    (e)     any breach of these Terms and Conditions.

    5. Limitation of Liability
    To the maximum extent permitted by law, the liability of the Organiser, Event Producer, Council and Site Management Team for any claim arising in connection with the Event is limited to the amount of the Stallholder fee paid by the Stallholder.

    6. Event Production and On‑Site Management
    (a)     The Event Producer manages the event and stallholder operations on behalf of the Organiser.
    (b)    All production requests should be directed to the Site Management Team.
    (c)     Stallholders must follow all instructions from traffic controllers, site managers and event staff.
    (d)    Stall locations are pre‑allocated and may not be changed by the Stallholder.
    (e)     The Organiser reserves the right to relocate stalls if operationally necessary.
    (f)       Stallholders must set up within their allocated space and time.
    (g)     Stallholders must not pack down before the official event closing time unless authorised.

    7. Provision of Own Marquee
    (a)     Stallholders using their own marquee must ensure it is adequately secured and weighted according to manufacturer specifications.
    (b)    The Site Management Team may require the removal of any structure deemed unsafe.
    (c)     Determinations made by the Site Management Team regarding safety are final.
    (d)    The Stallholder has no claim against the Organiser or Event Producer for any losses resulting from directions to remove unsafe structures.

    8. Infrastructure and Safety
    All stall infrastructure, equipment and installations must comply with relevant safety regulations and Australian standards. The Organiser may inspect stalls and require rectification or removal of any unsafe equipment.

    9. Damage
    (a)     Stallholders are responsible for any damage to event infrastructure caused by their operations or staff.
    (b)    Stallholders must take all reasonable care to prevent injury or damage to people or property.

    10. Waste Management
    (a)     Stallholders must remove all rubbish generated by their stall.
    (b)    Additional waste removal fees may apply if rubbish is left behind.
    (c)     Wastewater must be disposed of in appropriate containers offsite.

    11. Fees and Payments
    (a)     Stallholders will be charged according to stall type and issued with a Tax Invoice upon confirmation.
    (b)    Payment must be made by the specified due date.
    (c)     Fees are non‑refundable, including where the Event is cancelled due to circumstances beyond the control of the Organiser including, inclement weather and Force Majeure events.
    (d)    Refunds may be considered only at the Organiser’s sole discretion.

    12. Cancellation and Transfer
    (a)     Stallholder participation rights are non‑transferable.
    (b)    Stalls cannot be sold, assigned or shared without written consent.
    (c)     The Stallholder acknowledges that the Event is an outdoor event and accepts all risks associated with weather conditions including wind, rain, heat and extreme weather.
    (d)    The Organiser may cancel the Event if conditions are deemed unsafe.
    (e)     Stallholders acknowledge that attendance and sales cannot be guaranteed.

    13. Removal of Stallholders
    The Organiser or Event Producer may require a Stallholder to cease trading and remove their stall if they:
    (a)     breach these Terms;
    (b)    fail to follow directions;
    (c)     create safety risks; or
    (d)    negatively impact the Event.
    No refund will be payable in these circumstances.

    14. Utilities
    The Organiser does not guarantee supply of electricity, water or other utilities and will not be liable for interruptions.

    15. Compliance
    (a)     Stallholders must comply with all applicable laws and regulations.
    (b)    Anti‑social behaviour will result in removal from the Event.
    (c)     Stallholders consent to photographs and videos being taken and used for promotional purposes.
    (d)    Smoking is prohibited within the event site.

    16. Food Vendors
    Food vendors must comply with all council and food safety regulations. The Stallholder is solely responsible for food safety and indemnifies the Organiser against any claims arising from food contamination or food‑related illness. Regulatory food vending permits and inspections will apply, with Council fees applied.     17. Alcohol Vendors
    Alcohol vendors must hold the appropriate licence and comply with Responsible Service of Alcohol laws. Only winery, distiller, or brewer and you hold a Producer / Wholesaler License and you are permitted to serve in accordance with your license, being tastings and take-home bottle sales should apply. All staff must hold current NSW RSA and you must practice Responsible Service of Alcohol at all times, and current Liquor & Gaming signage must be displayed on your stall: https://www.liquorandgaming.nsw.gov.au/operatinga-business/liquor-licences/liquor-licence-types/producer-wholesaler-licence
     
    18. Environmental Sustainability
    Stallholders must comply with North Sydney Council’s Plastic Free North Sydney policy and any sustainability requirements of the Event. https://www.northsydney.nsw.gov.au/downloads/file/121/plastic-free-north-sydney-guide-1-  

    19. Intellectual Property
    Stallholders must not use the Event name, logos or branding without prior written approval from the Organiser.

    20. Reporting
    Stallholders may be required to submit post‑event sales information for event evaluation purposes.

    21. Force Majeure
    A Force Majeure Event includes but is not limited to acts of god, natural disasters, government orders, pandemics, strikes, war, civil unrest or any event beyond reasonable control of the Organiser.

    22. Governing Law
    These Terms and Conditions are governed by the laws of New South Wales, Australia.
