    IT IS HIGHLY RECOMMENDED YOU REPORT HOURS WORKED ON A REGULAR BASIS. PAYROLL RECORDS THAT ARE MORE THAN THREE MONTHS INACTIVE MAY BE TERMINATED BY COLUMBIA UNIVERSITY'S PAYROLL DEPARTMENT WITHOUT WARNING.

    • See full list of seminars here: https://universityseminars.columbia.edu/seminars/. Select "Add New" from top of list if you do not see your seminar's information. For PT Work for the central office - type "Office Work" in the Add New Seminar Field.

    • Full-time Columbia University graduate students may not work more than 20 hours per week across all CU positions held. Many rapporteurs hold multiple positions at Columbia in a given semester.

    • Ideally, a rapporteur can complete work for a seminar meeting in 6 - 12 hours. If your seminar requires more than 15 hours, your chair will need to send a written justification for the additional hours to Gesenia Alvarez at ga2030@columbia.edu.

    • Rapporteurs who also hold student officer appointments (teaching fellows and assistants, research assistants, preceptors, readers, etc.) must disclose their rapporteur work with their academic or CUIMC departments. Some departments may request additional documentation, others may have limitations on work hours. If you have any questions, contact Gesenia Alvarez-Lazauskas (ga2030@columbia.edu) for additional guidance.
    • Rapporteurs who are students at Teacher's College, Union Theological Seminary, and Barnard College are considered Non-CU casual part-time employees.

    • University and academic holidays must be observed. Let the office know if your chair(s) are not observing university and academics holidays.

  • New Time Reporting Guidelines for Casual Student Employees

    Casual Student Employees are now required to submit their hours direclty to Payroll through the PAC Time Entry system. Please fill out the Work Hours Summary below and submit form. You will be be redirected to my.columbia.edu once this form is submitted where you will complete your time entry for payment.

    If you do not complete a time entry form in the new system, you will not receive payment. 

     

    Guidance for "Work Hours Summary"

    • When inputting "Event Date" by "Event Type":
      • Seminar Meetings = date of seminar meeting
      • Conference = date of conference (for multi-day conferences, use first event date)
      • Other Pre-Approved Work = date you began work on a pre-approved project
    • "Total Number of Hours" should be written numerically:
      • Nine hours = 9.0
      • Nine hours and fifteen minutes = 9.25
      • Nine hours and thirty minutes = 9.5
      • Nine hours and forty-five minutes = 9.75

    Please note:

    • Minutes are not applicable for conferences.
    • You may submit a summary of hours for multiple event dates. Select "Add Row" for additional event dates.

  • Conference or Other Pre-Approved PT Work = Work hours related to conferences  or part-time work that required University Seminars pre-approval.

  • Number of Hours should be written numerically. For example, if you worked:

    • one hour = 1.0
    • one hour and fifteen minutes = 1.25
    • one hour and thirty minutes = 1.5
    • one hour and forty-five minutes = 1.75

    Round up to nearest 15-minute increment.

  • Exempt Student employees receive payment as added compensation. Timesheets should be submitted by the 5th (for payment in the middle of the month) and/or the 20th (for payment at the end of the month). Payment delays may occur because of appointment start and end dates (usually post Labor Day in September, mid-May for the spring, and mid-December for the fall). The Student's home department approves all added compensation requests.

    Please be mindful of any changes to employment status. Gesenia may need to rehire a Rapporteur if their previous employment status changes (e.g., teaching appointment ends).
