    Children attending Kindergarten in September 2026 are considered PreK in the summer program.
  • Parent/Guardian Agreement

    Program Hours and Schedule of Fees
  • Program Hours

    WHCC is open Monday through Friday, 7:30 a.m. to 5:00 p.m., except for statutory holidays and other necessary closures as determined by WHCC.

    • I agree to utilize the program for only those hours agreed in my child's schedule
      I understand fines will be imposed on late pick-ups at the discretion of the Executive Director

    Program Fee Payment Terms

    I understand that:

    • Fees must be paid on the first day of each month by pre-authorized debit (PAD) payments
    • The first occurrence of non-sufficient funds (NSF) or payment declines will be charged a fee of $25.00; all subsequent occurrences will be charged a fee of $40.00
    • Fees remain payable even if my child is absent from WHCC for any reason
    • I am only eligible for the Affordability Grant on months my child attends; should my child be absent for the entirety of one month, I am responsible for the total cost of care
    • The provision of services by WHCC is contingent upon payment of the Fees
    • The Payor listed on the PAD will receive a tax receipt for all funds paid in the mentioned tax year(s)

    Registration Fee

    The Registration Fee is non-refundable and is due upon submission of the registration form.

    • If my child currently attends WHCC, I understand that submitting a registration form will apply the registration fee to my account, which will be added to next month's scheduled withdrawal
    • If my child does not attend WHCC, I must pay the registration fee via e-transfer to shea@wildheartcc.ca. I understand my registration form will not be processed until the fee is received

    Summer - Space Hold Fee

    The Summer Hold fee, payable by PAD, must be paid on July 1. Should I indicate at registration that I do not wish to pay the summer hold fee, the registration form will not be processed until July 15. Children who register for the summer program or pay the Summer Hold fee will receive priority registration for the school-year program.

    Field Trip/Residence Fee

    WHCC provides field trips and/or welcomes community experts to the classroom to support children in developing a sense of community and making real-life connections to their interests. Field trips will vary each year and reflect each group's interest areas. Examples of field trips may include, but are not limited to, trips to the grocery store, TELUS World of Science, the Edmonton Public Library, a hair salon, or a veterinary clinic. We also welcome artists-in-residence and local bug and pond experts to explore the ravine alongside children. Field Trip/Expert Visit Fees are optional; alternative care and activities will be provided for children whose families choose not to participate.

  • Illness Exclusion

    • I agree to comply with the Illness Exclusion Policy. This policy and any required updates will be made available to me via Storypark
    • I understand the risks associated with communicable illness. I agree that attendance is voluntary, and I assume those risks, including but not limited to exposure and being infected
    • I agree to disclose communicable illnesses to safeguard the health and safety of all staff and families, and limit further outbreaks


    First Aid and Medical Assistance

    I agree that:

    • In an emergency, the WHCC crew are authorized to administer emergency first aid and obtain medical assistance for my child. I must pay costs for medical assistance
    • If my child requires medical assistance, WHCC shall attempt to contact the Parent/Guardian immediately
    • In the event the Parent/Guardian is unable to be contacted, WHCC will attempt to contact the named Emergency Contact Person immediately
    • If necessary, authorized persons shall transport my child to the University Hospital in Edmonton or as directed by qualified personnel


    Sunscreen and Bug Spray

    I understand that:

    • If my child arrives after 9 am, from May 1 to September 30, I will be responsible for applying sunscreen to my child
    • I am responsible for supplying WHCC with unexpired, non-aerosol sunscreen in its original container, clearly labelled with my child's name
    • WHCC will supply and apply child-safe bug spray (no more than 10% DEET) when outdoor conditions require it. I may supply alternative unexpired, non-aerosol bug spray in its original container, clearly labelled with my child's name. I may request that bug spray never be applied to my child
    • I am responsible for reviewing the posted Considerations for the Application of Sunscreen & Bug Spray and discussing any concerns with the Program Director or Executive Director


    Lotion

    We live in a dry climate, and frequent hand and face washing is a necessary part of the daily routine at WHCC.

    • I understand WHCC will supply and apply unscented lotion after washing or when children have an itchy, dry patch on any part of their body

    • I understand I may supply an alternative unexpired, unscented, non-aerosol lotion in its original container, clearly labelled with my child's name

    Outdoor and Offsite Adventures
  • Outdoor play is scheduled at least once per day per classroom. It is important for children to connect with nature, get some exercise, and develop gross motor skills. Outdoor play is also a great way to socialize, practice turn-taking and engage in imaginative play.

    • I understand that I am responsible for reviewing the posted Considerations for Outdoor Play and discussing any concerns with the Program Director or Executive Director
    • I understand my Child will go outside in all types of weather, and I am responsible for ensuring my Child has appropriate outdoor clothing
    • I understand my Child may temporarily leave the WHCC program premises for the following reasons:
      • Supervised walks/events within Donnan Elementary School
      • Use of King Edward Hall for less than 4 hours per visit
      • Neighbourhood walks within a 6-block radius
      • Walking to and exploring Mill Creek Ravine between 73 Ave and 82 Ave
      • Field Visits (see below)

    Field Visits

    We will conduct field visits beyond our 6-block radius. The crew and children will choose which spaces to visit on which days based on weather and stamina. The crew will communicate via Storypark Community Post at least one day before a field visit. Notification posts via Storypark will include:

    • The date we are going
    • Expected time of departure & return
    • Name of the location(s) we will visit
    • Which group(s) are going
    • Any additional information required

    All other off-site excursions will require written parental consent at least 2 weeks prior to the event.

  • I permit WHCC to obtain my child's teacher and classroom number from the Donnan School Administration.

    I agree to text the attendance line or leave a voicemail at (780) 414-6899 if my child's attendance at WHCC varies from our typical schedule (e.g., absent from school, needs WHCC to pick up from school at an atypical time).

    I understand WHCC will transport my child as follows:

    Drop-off at school:

    • The educator(s) and children will walk from WHCC to the designated drop-off location(s) at Donnan Elementary School
    • Children are signed out of WHCC care when:
      • Kindergarten children are transferred directly to Donnan School staff, or
      • The school bell has rung for children from grades one to six

    Pick-up from school:

    • Educators will pick up children from designated location(s) and sign them into WHCC's care

    I understand that if my child does not arrive at the designated location within 10 minutes of the dismissal bell, WHCC educators will:

    • Check with the school office to confirm attendance and have an announcement made for my child to meet at the designated location
    • Phone me if my child does not arrive within 5 minutes of the announcement
    • Phone my child's emergency contacts if I cannot be reached
    • Call 911 if emergency contacts cannot be reached and/or if my child's attendance cannot be verified

    General Provisions
  • Post-Secondary Students, Faculty, and Third Parties

    • WHCC provides practical training by providing placements for students in Early Learning and Child Care programs. Students are not left unsupervised. All students are required to have a Criminal Record check
    • Practicum students may use digital photography, video, audio and observational recordings to fulfill course requirements. All identifiable samples of children's work, images and/or recordings will remain on the premises and the property of WHCC
    • WHCC may invite third-party providers to coach and consult with the WHCC team regarding educational, behavioural, and early childhood issues, as well as information, research, and strategies. Such third parties may observe and interact with the Child for those purposes. WHCC will notify parents about a third-party provider's attendance and seek your consent when specific services are contemplated for the Child

    Privacy Policy

    I consent to the disclosure of the collected information to Kwiksol Corporation for the management of the software KinderLogix on behalf of WHCC. I understand that Kwiksol Corporation will not disclose such personal information without my consent, except as required or permitted by law.

    I consent to the disclosure of the collected information to the Government of Alberta for the purpose of delivering child care services, processing Grant funding, and reporting illness outbreaks.

    I understand that registration information will be made available to WHCC staff, in part or in whole, to ensure the effective implementation of the program.


    Limitation of Liability

    WHCC agrees to use reasonable care and diligence in caring for all children and their personal effects. WHCC shall not be liable for any loss of or damage to clothing or other effects of the children, nor for any accident, sickness or disease that may occur to any child while in the care of WHCC, except in the case where such loss or damage is caused exclusively by the gross negligence of WHCC or its staff.


    Conflict Resolution

    • WHCC is committed to providing a caring and supportive environment for all children and their families. The Parent/Guardian is encouraged to discuss any questions or concerns about the Child's program or WHCC's procedures with WHCC staff
    • If a conflict arises, a meeting may be arranged between the Parent/Guardian and WHCC staff to define the issues, state points of view and identify solutions. The Parent/Guardian and WHCC will make all reasonable attempts to resolve the conflict
    • When reasonable attempts to solve the problem have failed, WHCC may require the Parent/Guardian to make other arrangements for the Child's care and terminate this Agreement according to the Cancellation of Agreement

    Cancellation of Agreement and Withdrawal

    • WHCC reserves the right to cancel this Agreement at any time it deems advisable, with notice
    • If the Parent/Guardian wishes to withdraw from WHCC, the Parent/Guardian shall provide 30 days written notice to the Executive Director. Fees must be paid in full during these 30 days
  • Documentation Agreement

    The nature of the philosophy at WHCC requires that staff participate in observing and documenting your Child's play and development. This includes the use of digital photography, video, and audio recording, as well as more traditional observational records and Nipissing Development Screens. These images, recordings and screens are used for several purposes.
  • Photographs, Video, Audio Recordings, Digital Images, and Observations:

    By placing your Child at Wild Heart Children's Centre (WHCC), you hereby authorize WHCC, for an indefinite period, to:

    • Store images, recordings, screens, and learning stories of your Child on WHCC technology, including but not limited to computers, cameras and mobile devices
    • Store images, recordings, screens, and learning stories of your Child on secure third-party cloud storage systems and Storypark
    • Utilize third-party printing companies to print documentation of your Child (provided third parties are contractually bound not to disclose such images)
    • Utilize images, recordings and screens in combination with your Child's first name and age for curriculum planning, which includes learning stories, documentation panels, documentation displays and Journey Books
    • Collect and use images and recordings of your Child for keepsake mementos (such as photos of birthdays), and the right to disseminate that image to other children and their families at WHCC, including for inclusion in another child's keepsake; Families DO NOT have the right to copy or distribute
    • Collect and use images, recordings, and learning stories of your Child to be included in your Child's Journey Book or the Journey Book of another child; Families DO NOT have the right to copy or distribute
    • Display your Child's artwork within WHCC or program premises for promotional, educational or display purposes alone or in combination with your Child's image, first name and age
    • Collect and use images and recordings of your Child in the periodic newsletter prepared by WHCC, including distribution internally and externally to other Early Learning and Child Care organizations and posting of the newsletter on the WHCC website for educational, promotional, or other consistent purposes
    • Collect and use images and recordings of your Child for posting on the WHCC website for educational, promotional, or other consistent purposes
    • Collect and use images and recordings of your Child in combination with your Child's first name and age for educational and professional development purposes
    • Collect and use images and recordings of your Child in combination with your Child’s first name and age for presentation at professional conferences
  • Use of Storypark Profile

  • Wild Heart Children's Centre (WHCC) uses Storypark to create, store, and organize curriculum planning materials, including images, recordings, screens, and your child's learning stories. WHCC will also use Storypark to communicate regarding field visits and important community events.

    WHCC will invite you to accept a digital profile invitation on Storypark that you will own. By accepting this invitation and activating your Child's profile, you agree that:

    • Your Child's images and recordings may appear in another Child's Storypark profile (for example, group photos)
    • Your Child may appear in group stories that can be viewed by the families of the other Children in the stories, including when those other Children leave WHCC if they continue to maintain a Storypark profile
    • Your Child's profile will be linked to WHCC's account and be accessible to any educator invited by WHCC administration for educational purposes. This may include the educators' mentors or supervisors who support their learning
    • You will not share outside of Storypark any content, photos, videos or stories that feature or have been created by Children other than your own without the permission of those Children’s parents or guardians
    • WHCC may keep a copy of your Child's portfolio if required by law
    • You will abide by the Terms of Use as laid out by Storypark
    • You may delete your account at any time. Deleting your account will remove your profile and published content from Storypark, and you'll no longer be able to access it. Any stories or other content you've shared with other people will still be accessible to them
    • If you choose to decline the invitation to create a Storypark profile, you understand that your Child's images and recordings will not appear in another Child's Storypark profile but will continue to appear in another child's keepsake mementos or Journey Book
  • PAD Agreement and Banking Information

  • These services are for Personal use only. I, the payor, may revoke this authorization at any time, subject to providing 30 days notice. I have certain recourse rights if any debits do not comply with this agreement. For example, I have the right to receive reimbursement for any PAD that is not authorized or is not consistent with this PAD agreement.
