• Waynewood Recreation Association (WRA) Facility Reservation Request

  • FACILITY USE APPLICATION & AGREEMENT

  • Waynewood Recreation Association (WRA) facilities are intended primarily for the enjoyment of our members and approved users. From time to time, organized groups and outside organizations may request use of WRA facilities for events, programs, or activities that align with WRA’s mission and community values.

    Submission of this form constitutes a formal request for facility use and, if approved, a binding agreement governing such use. All requests are subject to Board review and approval at WRA’s sole discretion. Approval may be conditioned upon compliance with WRA rules, reimbursement of applicable costs, and submission of required insurance documentation.

    WRA reserves the right to deny or revoke any request if the proposed use is inconsistent with WRA policies, interferes with member access, presents safety concerns, or otherwise exposes WRA to undue risk.

    Please complete all required sections below. Incomplete submissions may delay review or result in denial.

    This Facility Use Application & Agreement ("Agreement") is entered into between Waynewood Recreation Association ("WRA") and the undersigned Applicant. Submission of this form and electronic signature constitutes a legally binding agreement.

  • Applicant agrees to reimburse WRA for any costs arising from the event including, but not limited to, additional staffing, utilities, cleanup, repairs, administrative review, legal review, insurance processing, or monitoring costs.
  • 7. Damage Responsibility

  • Applicant agrees to be fully responsible for any damage to WRA property beyond ordinary wear and tear and agrees to reimburse WRA for repair or replacement costs.
  • 8. Insurance (Outside Organizations Only)

  • Outside Organizations must provide a Certificate of Insurance with minimum $1,000,000 per occurrence General Liability coverage and list Waynewood Recreation Association as Additional Insured. WRA reserves the right to require higher limits.

    Waynewood Recreation Association, its Board, officers, employees, volunteers and members should be listed as Additional Insured on the Certificate of Insurance (COI)

  • 9. Assumption of Risk

  • Applicant acknowledges that recreational activities involve inherent risks including bodily injury, death, or property damage and voluntarily assumes all such risks associated with use of WRA facilities.
  • 10. Release of Liability

  • To the fullest extent permitted by Virginia law, Applicant releases WRA, its Board members, officers, employees, volunteers, agents, and members from any claims arising from use of the facilities, except in cases of gross negligence or willful misconduct.
  • 11. Indemnification

  • Applicant agrees to defend, indemnify, and hold harmless WRA, its Board members, officers, employees, volunteers, agents, and members from and against any and all claims, damages, losses, liabilities, and expenses (including reasonable attorneys' fees) arising out of or related to Applicant's use of WRA facilities, participant conduct, property damage, personal injury, death, breach of this Agreement, or failure to supervise. This obligation survives termination of the event.
  • 12. Governing Law

  • This Agreement shall be governed by the laws of the Commonwealth of Virginia. Venue shall lie in Fairfax County, Virginia.

  • By signing below, Applicant certifies that they have authority to bind the organization and agree to all terms of this Agreement.
