    Event Location: Noosa Dolphins Rugby Union Club - 1 Bicentennial Dr, Sunshine Beach QLD 4567
    Expected Attendance: 2,000 – 4,000
    Advertising: Social media, radio, live event email database & community contacts.
    Event Activities: live music, food demonstrations, kid’s activities, bbq Expo.

    STALLHOLDER INFORMATION:
    Bump-in:
    Bumpin can commence Friday 18th September from 8am. Power will be provided from this time.

    Operating Hours
    All stalls must be completely set up by 11:30am. With operation12pm to7pm. Vehicles must be offsite by 11:15am. Vendors must be ready to serve from 12pm.

    Bump-out:
    Bump-out can commence from 7pm. Stalls are not permitted to pack down any component of their stall until after 7.00pm, or unless an event organiser advises you can do so. Vehicles are not to be brought onto the event site until event organisers grant approval.

    For the safety of all people on site, it is VITAL that ALL staff working at your site be made aware of the rules around vehicle movement onsite and follow instructions given by event organisers.

    By applying for a site, stallholders agree to operate for all times listed above. Failure to do so, without prior consultation with event organisers, may result in exclusion from operating at future events.

    Security
    Security will be employed for the duration of the event. However, it is the sole responsibility of the stall holder to ensure that their site is monitored at all times and all valuables are secure. All equipment and property brought into the event is to be the full responsibility of the site holder. Event Organisers will not be held liable for any loss or damage for any reason.

    Restricted items
    The following items will not be permitted to be sold by any stallholder unless approved by event organisers - Alcohol and drinks (including water), All promotion and handing out of printed material regarding political persuasion or fundraising is prohibited at this event unless approved by event organisers. Any vendor who is non-compliant with these restrictions will be asked to remove their site from the event immediately and no refunds will be issued.

    Site Fees
    This year site fees will once again be kept to a minimum - $100.

    Each vendor will also be requested to provide a sample of their products to be used as promotional giveaways and event promotion.

     

  • INSURANCE DETAILS

    Australian Event Solutions cannot contract any contractor unless they have provided a valid certificate of currency.

    Insurance must be to the minimum value of $10 million.

    Where our records will indicate that a certificate of currency is due for renewal or has expired we will endeavor to advise you, however the responsibility for keeping The Australian Events Company provided with valid certificates ultimately rests with the contractor.

  • Australian Event Solutions abides by the relevant food safety guidelines implemented by the Noosa Regional Council.
    • All food vendors (including mobile food businesses such as ice cream and food vans) are required to hold a current food license under the Food Act 2006
    • All food license holders are required to comply with the conditions of their food license
    • Food and refreshments must be sold/served in accordance with the Food Safety Standards http://www.foodstandards.gov.au
    • food and refreshments cannot be served and/or sold in glass containers.

    In permission of attendance, any vendor agrees to undergo a food safety check from either Noosa Council inspectors or Australian Event Solutions management.

    Australian Event Solutions cannot employ any contractor unless the contractor has provided Australian Event Solutions with a valid Food License.

  •  I / We hereby certify that:
    All persons, employees and sub-contractors used by the above Contractor listed above have the necessary training and qualifications to carry out all work in a safe and satisfactory manner, without placing themselves, any other person, employees, clients or stakeholders of Australian Event Solutions at risk of injury or illness.

    All work will be carried out in a safe and competent manner and all machinery, processes, equipment and materials used will comply with any relevant Australian Standards and with the requirements of the Workplace Health and Safety Act 2011 as well as any other relevant Codes of Practice or Standards.

    I / We agree to:
    Pay for or make good all damage caused by us or any employees or sub-contractors engaged by us and that we are responsible for any accident or injury or illness that may be caused to any other persons, whilst carrying out work for Australian Event Solutions.

    Abide by any work orders, procedures, notifications and safety rules (received in verbal or written form - now or in the future) pertaining to all work areas/property/premises owned or under the control or management of Australian Event Solutions.

    Carry out all work in a professional and tradesman like manner.
    Clean the work area at the end of each day ensuring that no hazards are left that could injure any other person.
    Treat all employees, clients and stakeholders of Australian Event Solutions with respect, ensuring privacy and discretion is used at all times.

    Advise Australian Event Solutions of any accidents, injuries, safety-related equipment failures and property damage that may occur while contracted by Australian Event Solutions.

    I / We Understand:
    The result of our application is at the discretion of Australian Event Solutions and that in submission of this application does not guarantee a site at the MEAT Noosa BBQ Festival.

    If in the event of a successful application, Australian Event Solutions have the right to void the contract at their discretion.


    In the case of the event being cancelled due to inclement weather or other circumstances, Australian Event Solutions  will refund any paid stall fees in full. However, if the event goes ahead in inclement weather and the applicant chooses not to attend, no refund will be given.

    Allocation of sites will be made to best benefit the event plans and patrons.
    Participants must only use equipment in good sound condition and if required, equipment must display a registration certificate in accordance with regulations governing the activity. All guards and safety shields on equipment must be used at all times.

    All electrical leads and equipment must be tagged and tested within 12 months of the event date and must have current tags showing at all times. Any lead that does not have an up to date tag will be disconnected.

    Should Australian Event Solutions  find it necessary to cancel or postpone the event, the contract shall cease to operate upon notice to that effect signed by Australian Event Solutions being served to the site holder either in person, mail or email and shall not be liable to the site holder or for any compensation whether on the grounds of loss of profits or otherwise in respect of such cancellation at all.

    No hazardous substances are permitted on site unless prior clearance is obtained from event organisers
    All marquees must be adequately weighted to ensure no movement due to heavy wind etc. All weights are to be clearly marked and visible to the public to prevent hazards.

    All leads, hoses or other trip hazards must be suitably covered to prevent any trip hazards

    Where a stall uses a gas or electrical appliance to cook or heat food, it is required to have a fire extinguisher for that class of fire and where a stall uses oils or fats it is required to have a fire blanket. The extinguishers and fire blankets must have an inspection tag attached showing the last test (within six months).

    The allocated site area is to be used solely for the purpose specified in this application. No sub-letting will be permitted. Gambling and/or fundraising activities are strictly prohibited unless authorised by event organisers. No selling, canvassing, hawking or distribution or printed or other matter will be permitted outside the area contracted.


    Site holders shall leave their allocated area in a clean and tidy state, removing any litter, spills, by-products or equipment from their activities. Should the site require further cleaning or removal of equipment at the conclusion of the event, this expense may be passed onto the site holder.

    Site holders and their employees shall transact all business and sale of goods from their allocated floor space only. It is not acceptable for site holders to encroach outside the allocated space unless previously agreed to by event organisers

    Australian Event Solutions can update their Terms & Conditions of Trading at any time without prior warning.
