  • Welcome! 

    We’re so excited that you’re here, and we can’t wait to hear all about you, your group, and your event ideas. Before you get started, there are a few instructions and resources below that we’d like you to check out.
  • Required Resources

    Below are the resources you will need, at some point, to complete this application. They are hyperlinks highlighted in yellow. 

    • The Participant Handbook: This outlines how the project works, the timeline, expectations, and frequently asked questions. You may want to keep it open while completing the form. 
    • The Zone Guide: You’ll need this to answer scheduling questions. It outlines regional hosting windows and how the route is structured. 

    Application Overview Document (optional):

    For your convenience, we’ve created an Application Overview document that includes an preview/breakdown of what we're going to ask. It won't be a word-for-word copy of the application, but it will give you a sense of what you can expect so that you have the opportunity to gather some information ahead of time about your group and event, check schedules & calendar needs, and reflect a bit prior to starting the application. (And we'll edit it if any major changes to the application arise). You can access that below: 

    Application Overview

    An optional tip: Saving your responses in a separate document as you go may be helpful (Word, Notes, email draft, etc.). That way, if you're in the middle of filling out the application but need to step away, you can easily come back to the application in case responses don't save. Similarly, this can make re-submitting easier in the rare event of a technical issue. Again, this is optional depending on your situation, but worth recommending. 

    Instructions For The Application 

    Before you begin: 

    There are six sections in this application. You can move forward using “Next” and return to earlier sections using “Back.” You should be able to revist earlier sections without losing your place, especially if you want to copy/paste an answer from previous questions. 

    Most sections include brief context at the start, and may have reference links and/or specific instructions. Please read those carefully before responding. Aditionally, some questions have hover text (pop-ups) and/or sub-labels (grey text under the response field). These have bonus context, which may be helpful as well. 

    Many questions are required (*) but won’t apply to all applicants. We did this to avoid potential skips. If a question does not apply to you, please write “NA” or explain.

    We sometimes ask for similar information in different ways to help us review applications consistently and efficiently. Even if it feels repetitive, please restate the information rather than writing “see above/already answered." We appreciate your patience with a bit redundancy. 

    After you submit you application:

    When you finish all 6 sections, you must click submit in order for us to receive your application. You won’t get a confirmation email right away, but you’ll see a “Thank you” page. We’ll send a confirmation email within 72 hours of receiving your application (sometimes sooner). 

    If, after submitting your application, you no longer wish to be considered for this project for any reason, please let us know via email right away. We completely understand that schedules change and life happens, so no hard feelings. We just ask that you let us know so we can plan accordingly. 

    A final note on updates and communication: 

    While we’ve been encouraging thoroughness with your answers, it’s totally fine if you have to answer a few questions here and there with “TBD”. You do not need every single thing locked in and polished at this stage. You can always email us with updated responses or changes, and we’ll update your application.


    If we have any questions about your responses, we will follow up via direct email. We ask that you please do your best to respond within 24-36 hours so we can keep the project on track. If you need to be contacted in a different way (such as by phone call/text message), please let us know in your application (there will be space to do so.)

  • Part I: About You & Your Group

    This section helps us understand who you are, the community you’re gathering, and how you’re connected. There’s no “right” type of group for this project — formal organizations, informal gatherings, long-standing communities, and newly formed groups are all welcome. Please share as much context as you can. The more we understand about your group and how it functions, the better.
  • Part II: SCHEDULING

    Because the Relay moves state-to-state across overlapping regional windows, scheduling plays an important role in how we approach the project. Please review the documents below (underlined hyperlinks), as well as the instructions and notes provided before proceeding to the questions . Thanks!
  • Resources for Part 2 of this Application. 

    Zone Guide - includes: Zone map, Zone assignments for each state, and hosting windows (dates) for each Zone. You will need this to know what zone you are in. 

    Participant Handbook - Includes more information about scheduling and time frames.

    Instructions and Notes: 

    1. We know that plans change. Answer as clearly as you can today, and if something shifts later, just let us know via email as soon as you can. 

    2. Please answer each question fully, even if it was already asked and answered somewhere else within this section.

    3. Having scheduling constraints will not put you at a disadvantage, and we're not going to favor those with more flexibility. We’re not asking for finalized plans. We just want to hear about what’s realistic for your group.

    4. If a question doesn’t apply to you, simply write “NA.” All questions are labeled "*" (required) to avoid accidental skips.

    We know this section had a lot of components, and we so appreciate the time you took to answer everything as clearly as possible. If there's anything we missed, anything that wasn't clear, or more you'd like to add, see below:
  • PART III: EVENT INFORMATION AND LOGISTICS

  • Instructions and Notes: 

    This section focuses on what your gathering might look like and how it may come together. You do not need every detail finalized at this stage. If you have some of that already, great! But no worries if not. We know that some of you will be creating an event from scratch for the purpose of this relay, and the details that come with planning and executing a gathering will develop over time.

    Whether your gathering is formal or informal/fully formed or still taking shape, clear context is more helpful than polished details. If something is still evolving or undecided, that’s completely okay — just let us know what you’re considering.

  • PART IV: THE DECLARATIONS RELAY BOX

  • Instructions and Notes: 

    As you know, the relay includes a physical box that travels from state to state, collecting contributions from each event along the way. We are currently finalizing the design of the box and shipping crate, so the exact dimensions (both for the shipping crate and for the single compartment that will be available to you for your group’s items) are still in progress. Once we have that information, we’ll share it in the Participant Handbook so you can plan your contributions.

    For now, we just have a few questions related to how the box will move, and your thoughts regarding potential delays in the box's arrival to your state. These questions will help us as we build the route and the schedule, but it is perfectly fine if there are still some unknowns. 

  • PART V: SELECTION & FINAL QUESTIONS

    This section gives you space to share additional context, timing considerations, and any final questions before reviewing the expectations and submitting your application. If there’s anything you’d like us to understand as we read your application, this section is your opportunity to share it.
  • Part VI: Participant Expectations and Guidelines

  • The final section of this application relates to the participant expectations, guidelines, and agreements for applicants and hosts. These guidelines are not meant to be rigid or intimidating. They’re here to help us work together responsibly and address challenges early when they arise. 

    You can find all of the participant expectations and guidelines listed fully in the Participant Handbook in the “Expectations and Guidelines” section. Please take a moment to read through them one more time, and make sure everything sits well and makes sense.

    While we didn't repeat each and every expectation/commitment/guideline from the handbook word-for-wordbelow, we did reiterate a few of the bigger ones. For each field, you'll be asked to check a box that says "confirm," and each box must be checked in order for you to complete and submit your application. Very similar to terms and conditions, but we wanted to be a little more transparant than standard Terms/Conditions often are. Hopefully that's clear. 

    Hover Text for Each Field

    We've include some context for each field in the form of hover text, which will appear either as a small "i" icon that you can click, or as a pop-up that appears when your mouse hovers over that particular area on the form (as seen in other sections of this application here and there). We urge you to read the hover text for each field, as it provides some context for why we are asking you to agree to a particular expectation, and what it means in perhaps simpler terms.

If you indicate in the subject line that you're asking specifically about this section of the form, we'll try to prioritize your email and respond as soon as possible so you can get your application submitted.
