Visit Occoquan is pleased to introduce a new partnership opportunity for Occoquan businesses! During the Town of Occoquan’s 2026 Trivia Night season in River Mill Park, Visit will be organizing the Trivia Bar, which sells beer/wine/seltzer, soda, water, popcorn, and snacks to Trivia attendees. We also manage the “Delivery Drop” - a table area attached to the bar, where town businesses can deliver food ordered directly by attendees through their websites.

We are offering businesses the opportunity to volunteer in the bar through a partnership with Visit. Businesses will receive promotional opportunities to the 150-200 iattendees and 15K+ people on our social media/email ahead of and during the event. This partnership helps Visit provide bar services to the Town event, while highlighting some of Occoquan’s best businesses!

WHAT THE BUSINESS PROVIDES:

• 3-5 volunteers
• Time commitment: 4:30-9:00pm (4.5 hours)
• Marketing elements to promote your business (optional, but encouraged!)

WHAT VISIT OCCOQUAN PROVIDES:

• All bar products, POS, displays, etc.
• Dedicated bar manager during the event, to train and coordinate with your team
• All the logistics information you need, ahead of the event
• Marketing: listing on trivia webpage, 2 social media posts (can be collaborated), 2 shout outs by the trivia emcee, plus photos of your team serving their community!

Details

What the Business Provides

• Minimum of 3 volunteers (max 6 people due to space) 
  • All must be 18+ years of age
  • At least one person with some knowledge of using a Square POS device is helpful, but not required. We can train you that night!
• Volunteers will need to be available starting at 4:30pm and will follow the following general schedule:
  • 4:30-5:30pm: Training and Bar set up, under direction of the Bar Manager (all items will be on site already, but carrying/carting items to the tables is needed)
  • 5:30-6:30pm: The Bar is open! Volunteers will serve guests and accept payment via Square and cash, check IDs, make popcorn, and help restock as needed. This is the busiest time of the night.
  • 6:30-8:30pm: The Bar remains open until the second to last round of trivia and typically has steady guests purchasing additional beverages.
  • 8:30-9:00pm: Bar tear down: help bring coolers, drinks, and snacks back to the River Mill Park storage area (not too far!). Tables and tents are taken care of by Town Hall staff.
• Rain dates: if Trivia is moved to a rain date, volunteers will be asked if they can help on the new date, with the understanding that they may not be available and that's ok!
• Marketing opportunities on the event night (optional):
  • Wear shirts/hats with your business logo
  • Bring rack cards or flyers that people can take with them, to put at the Bar register area.
  • Display one (1) vinyl banner (hanging banner OR freestanding retractable banner, less than 24 square inches). Please bring whatever rope/string/hardware is needed.
  • Offer a giveaway or promotion! This can be a basket where people enter by signing up for your mailing list. Or coupons/rack card with a discount code for a later purchase.
  • Have an idea for something else? Let's chat! We're open to new ideas to make this a success.
• Not allowed:
  • No selling or displaying physical product.
  • No additional marketing elements or materials other than listed above, unless discussed and approved by Visit Occoquan beforehand.
  • No accepting money for your business while volunteering (i.e. you cannot sell physical product or take money for an appointment, during this event). You CAN give someone a postcard with a QR code to do it on their own.

What Visit Provides

• Coordination ahead of the event to confirm the volunteer team and request marketing information for digital promotions.
• Dedicated night-of bar manager to train and coordinate with the team while onsite.
• Square device and cash for Bar register
• All Bar products, displays, and supplies.
• Marketing and promotion, including:
  • Listing on Trivia Night webpage as Bar Sponsor, with link to business website
  • 2 social media posts ahead of Trivia Night, highlighting business as Bar Sponsor
  • 2 mentions/thank you by Trivia Night emcee (typically Mayor Earnie Porta) - first, telling people to attend the bar run by your business’ team, second thanking you later on in the evening. Can also mention your promotion/raffle/giveaway during the first part if you opt to have one.
  • Photos of your team working the bar, posted on social media, tagging your business

General Policies & Guidelines

• Business volunteers are selling items and collecting optional tips on behalf of 501(c)3 Visit Occoquan Inc.
• Business volunteers are not paid for this program and will not receive any monetary compensation or free bar products.
• Business must hold business insurance that covers employees participating.
• Business volunteers may not consume any food or beverage they have not purchased.
• Visit Occoquan will provide a bar manager who will oversee food/beverage inventory as well as reconcile the cash box before and after the event.

IMPORTANT: By completing this form, the business is committing to this date and Visit will purchase the ABC alcohol license and all of the supplies. These are non-refundable expenses for Visit and we appreciate your commitment to our community fundraising!
