  • 1. EVENT INFORMATION

    Event Name: Clearwater Authors Event
    Theme: A Celebration of Stories, Dreams & Creativity
    Event Date: June 6,2026
    Location: Celebration Station Clubhouse 24546 US Hwy 19 N, Clearwater, FL 33763
    Time: 2pm-6pm

    The Clearwater Authors Event is a vibrant, family-friendly celebration of literacy, creativity, and dreams, bringing together authors of fiction and non-fiction for children, teens, and adults.

    A featured children’s session will be held from 3:00 PM – 5:00 PM, hosted by Tonya Latney, The Dream Coach, featuring an interactive goal setting and vision board experience connected to The Dream Journal: Who Will I Become in This World?

    2. AUTHOR VENDOR FEE

    Author/Vendor Participation Fee: $75.00
    Fees are non-refundable unless the event is canceled by the Host Organization.
    Participation is not confirmed until payment is received.


    3. PAYMENT LINK INFORMATION

    Payment may be submitted through one of the following methods:

    4. TABLE & SETUP

    Authors may:

    ✔ Bring their own table
    OR
    ✔ One (1) table and two (2) chairs will be provided

    Authors are responsible for:

    Table coverings and display materials
    Book inventory
    Payment processing system
    Applicable sales tax compliance
    Setup Time: 30min- 1hr before event

    Breakdown Time: before 6pm

    Displays must be professional and family friendly.

    5. SPONSORSHIP & PARTNERSHIP OPPORTUNITIES

    In addition to author participation, businesses and organizations may participate as Event Sponsors or Community Partners.

    Sponsorship Levels (Optional Customization)

    Community Sponsor – $50

    Logo placement on event signage
    Social media recognition
    Name listed in event program (if applicable)
    Literacy Sponsor – $100

    Logo on promotional materials
    Social media spotlight post
    Opportunity to include promotional items in gift bags
    Dream Builder Sponsor – $200

    Premier logo placement
    Verbal recognition during events
    Vendor table included
    Featured spotlight on event page
    Sponsors and Partners agree to provide logos and promotional materials by the designated deadline.

    Custom sponsorship packages may be arranged upon request.


    6. MARKETING & MEDIA RELEASE

    By signing this Agreement, the Author/Vendor/Sponsor grants permission to Birthing Your Dreams International to:

    Use name, logo, book titles, and images for event promotion
    Photograph or record during the event for marketing purposes
    Promote participation across social media, email, and website platforms

    7. LIABILITY

    The Author/Vendor/Sponsor agrees to release and hold harmless Birthing Your Dreams International, its officers, volunteers, affiliates, and venue representatives from any claims, losses, damages, or injuries arising from participation in the event.

    Participants are responsible for their own property and personal liability coverage if desired.


    8. CANCELLATION POLICY

    Vendor fees are non-refundable unless canceled by the Host.
    Written cancellation notice must be provided at least 7 days prior to the event.
    Sponsorship funds are considered promotional contributions and are non-refundable
