  • *Booth Space – We will provide a 10’ x 10’ space only; Sponsors / Vendors / Exhibitors must provide their own equipment, tents, tables, chairs, etc. Electrical needs must be outlined below. Limited electric is availible at the venue, but is not guaranteed. 

  • II. Applications, Payment, Insurance, Refunds and Cancellations

    Applications
     Acceptance for Sponsorship or Booth Space is not guaranteed. All applications require the approval of the DiverCity Lexington Board.
    Approved applicants will receive an email or letter confirmation. PRIORITY WILL BE GIVEN BASED ON DATE OF APPLICATION, PREVIOUS FESTIVAL INVOLVEMENT AND PAYMENT IN FULL.
     The size of the Booth Spaces (10’ x 10’) will be strictly enforced; no additional space will be permitted unless an additional Booth Space is
    purchased. Booth location will be determined by the DiverCity Lexington Board and is non-negotiable. PRIORITY WILL BE GIVEN BASED ON DATE OF APPLICATION AND PAYMENT IN FULL.
     The DiverCity Lexington Board reserves the right to prohibit participation by any applicant it deems to be in violation of the Mission / Purpose
    of the DiverCity Festival and/or the rules and guidelines contained in this application, at any time, including during the day of the event
     Food vendors are responsible for obtaining any and all health/service permits, if required or necessary, from the Lexington-Fayette County
    Health Department and/or Commonwealth of Kentucky. All food vendors agree to any and all required, on-site health inspections and/or
    compliance checks. Vendors shall comply with all health department policies and those of all state and local regulatory agencies.
     Vendors must set up a hand washing station before they begin any food preparation.
     All vendors must provide their own tent, table, chairs and all other materials. We will provide only a Booth Space. If electricity is requested,
    vendors must make a request on page 1 of this Application and must provide 200 feet of 10-12 gauge heavy duty electrical cord.
     Vendor / Exhibitor employees and/or volunteers shall be neat, clean and maintain a positive friendly attitude with the public and festival staff.
     The DiverCity Lexington Board and Division of Parks and Recreation reserve the right to refuse participation by any Vendor / Exhibitor who does not comply with the terms and conditions of this agreement or it deems to be in violation of the Mission / Purpose of the DiverCity Festival.

    Deadlines
     Applications and Payment for Sponsors are due by MAY 1, 2026.
     Application and Payment for Vendors / Exhibitors are due by MAY 1, 2026.
    Refunds and Cancellations
     Cancellations for full refunds for Vendors / Exhibitors will be accepted in writing until MAY 10, 2026. Absolutely no refunds will be issued
    after this date. This event is RAIN OR SHINE. No refunds will be given for inclement weather. Please plan accordingly.

  • III. Booth Spaces, Set-Up and Tear-Down
    Booth Spaces, Set-Up
     Booth space assignments will not be released until the day of the festival upon check-in.
     Check-in time is 9:30 a.m. to 11:00 a.m. the day of the event. Your space may be subject to forfeiture if you are not checked in by this time.
     Sponsors, Vendors, and Exhibitors much check in with DiverCity staff or volunteers upon arrival and before setting up their Booth Space.
     No new or moving vehicles will be allowed in the Courthouse Plaza after 12:00 a.m.
     Driving or parking vehicles or heavy equipment on the Courthouse Plaza is prohibited.
     Do not block any entrance or exit of the Courthouses. Activities must be confined to the Plaza areas which do not include the covered Courthouse walkways.
     Staking or driving any objects into the ground or trees at the Courthouse Plaza is strictly prohibited by Lexington-Fayette Urban County Government regulations. Posting or affixing signs, notices, or any kind of documents to any surface of the Courthouses or Plaza is prohibited.
     Booths must be open from 12:00 p.m. to 7:00 p.m.

    Tear-Down
     Festival site must be vacated by no later than 8:00 p.m. on the day of the event.
     You are responsible for the removal of trash and debris from your space. No oils, liquids, or any other trash or waste may be left in containers or on the surface of the road, sidewalk, or grass area. Plaza surfaces are extremely vulnerable to damage from spills of food and drink. In case of spills, contact a member of the DiverCity Festival Committee immediately.
     You will be responsible for any fees imposed upon the DiverCity Lexington Board as a result of your organization breaking any of the rules listed above.

  • V. Agreement, Hold Harmless, Pre-Injury Release
    Failure to abide by any of the above terms, conditions, rules, restrictions, and/or requirements will result in forfeiture of all payments, if any, possible
    removal from the DiverCity Lexington Board, and will affect the ability of the Sponsor / Vendor / Exhibitor to participate in future DiverCity Festivals. By
    signing and submitting this application, I understand and agree to abide by all terms, conditions, rules, restrictions, and/or requirements. In consideration
    of being permitted to take part in the DiverCity Festival, I hereby release, absolve, indemnify, hold harmless, and waive any and all claims, losses,
    damages, expenses (including but not limited to attorneys’ fees) resulting from damage, harm and/or injury to person or property, no matter how
    incurred, and all other potential claims or lawsuits against the DiverCity Lexington Board, the Blue Grass Community Foundation, the City of Lexington,
    the Lexington-Fayette Urban County Government, and/or the Division of Parks and Recreation, including but not limited to their volunteers, members,
    agents, employees, attorneys, assigns, and all other associated individuals for any losses, injuries, and/or damages of any kind whatsoever arising out
    of my / our participation in or related in any way to the 2026 DiverCity Festival. The undersigned representative also agrees to release, absolve,
    indemnify, hold harmless, and waive any and all claims for injuries and damages that result from the actions or conduct (including negligence) of the
    DiverCity Lexington Board, the Blue Grass Community Foundation, the City of Lexington, the Lexington-Fayette Urban County Government, and/or the
    Division of Parks and Recreation, including but not limited to their volunteers, members, agents, employees, attorneys, assigns, and all other associated
    individuals.
    The DiverCity Festival is founded on a policy of embracing, educating and celebrating all people regardless of economic or social status and will not
    discriminate on the basis of race, color, ethnic origin, national origin, creed, religion, political belief, sex, sexual orientation, sexual identity, perceived or
    actual gender, gender expression, marital status, age, veteran status, or physical or mental disability as long as any person or group does not violate or
    contravene the Mission / Purpose of the DiverCity Festival and/or the terms, conditions, rules, restrictions, and/or requirements contained in this
    application.
