• FORMAL ADDENDUM TO EMPLOYEE HANDBOOK

  • Timekeeping and Attendance Compliance Policy

  • Effective Date: March 1, 2026
  • 1. Integration with Employee Handbook

  • This Addendum is formally incorporated into the Office Care, Inc. Employee Handbook (January 2025 Edition). See Section Discipline (p.9); General Standards of Conduct (pp.9-10); Attendance and Punctuality (p.11); Time Reporting (pp.22-23); and Company Vehicles - GPS Requirement (p.16).
  • 2. Mandatory Time Recording

  • Employees must accurately clock in and clock out for all hours worked using the company-designated system. Any falsification or alteration of records constitutes misconduct under General Standards of Conduct and may result in termination under Section Discipline. Timekeeping serves as verification of workplace presence for safety, workers' compensation, and incident documentation.
  • 3. Maryland Legal Compliance

  • Office Care, Inc. shall maintain payroll and timekeeping records for at least three (3) years in compliance with Maryland law.
  • 4. Administrative Fee and Progressive Discipline

  • Failure to properly record time may result in a $5.00 administrative processing fee per occurrence, subject to Maryland Wage Payment and Collection Law. Repeated violations will follow progressive discipline procedures outlined in Section Discipline.

  • 5. Written Consent for Administrative Fee (Maryland Requirement)

  • By signing this Addendum, the employee expressly authorizes Office Care, Inc. to assess the $5.00 administrative processing fee for each failure to properly record time, provided such deduction complies with Maryland law and does not reduce wages below minimum wage. This authorization constitutes written consent for lawful payroll deduction where applicable.
  • 6. Reporting Procedure

  • If unable to clock in or out due to technical issues or emergency, the employee must immediately notify their Supervisor or Human Resources in person, by telephone, or through a company-designated mobile messaging application.
  • 7. Reservation of Rights

  • This Addendum supplements the Employee Handbook. In case of conflict, the stricter compliance requirement shall apply. Office Care, Inc. reserves the right to amend this policy.
  • EMPLOYEE ACKNOWLEDGMENT AND WRITTEN CONSENT

  • I acknowledge receipt of this Addendum. I understand that compliance is a condition of employment. I further provide written consent for lawful administrative processing fees as described above.
