  • AORTA Race Services Request Form

  • AORTA conducts and assists with numerous races in the Auburn–Opelika area each year. We provide the experience, planning support, and equipment needed to successfully manage road races ranging from a one-mile fun run to a half marathon.

    Using modern timing and results technology - including both manual/scanner and RFID chip timing - we post accurate race results shortly after race completion.

    We continuously accept applications for local races to include in our club race series. However, due to high demand during racing season, AORTA may be unable to fulfill every request. A current list of reserved dates can be found on AORTA’s website under the “Race Services” tab at this link.

    Equipment and Race Services include:

    • Planning assistance from registration through race day
    • Advertisement on AORTA’s website
    • Course markers placed at all turns and critical locations
    • Course marshal safety equipment (safety vests, stop/slow signs)
    • Finish line arch and finishing chute setup
    • PA system for announcements, race start, music, finish-line and award announcements
    • Professional timing clock
    • Online final race results
    • Start/finish line video for awarded events

  • Timing Method & Service Fee
    AORTA provides RFID chip timing as the standard timing method for most events.

    Participant-based fees are calculated using total registrations at registration close or race week (whichever is later), including all race-day registrations.

    RFID Chip Timing (Standard)
    $200 base fee + $3 per registered participant
    $650 minimum (whichever amount is greater)
    Includes dual-transponder race bibs and electronic finish detection for accurate, real-time results. The $650 minimum ensures adequate staffing, equipment deployment, and processing support for chip-based timing events.

    Recommended for events expecting 175 or more participants, competitive award structures, or higher finish-line density.

    AORTA reserves the right to recommend or require RFID chip timing based on expected participation, course layout, and finish-line conditions to ensure accurate and efficient results processing.

    Manual / Scanner Timing (Small Event Option)
    $500 base + $1.50 per registered participant
    Available for smaller events (typically under 175 participants) with limited finish-line congestion.

    Manual timing includes printed bib labels and barcode-scanned finish processing.

    AORTA offers two timing methods depending on race size, course layout, and event needs. Participant-based fees are calculated using total registrations at registration close including race-day registrations.

    Manual / Scanner Timing

    $500 base fee + $1.50 per registered participant

    Best suited for smaller events (<175 partcipants) with limited finish-line congestion and simple award structures.

    Manual timing includes printed bib labels with participant information and barcode identification.

     

    RFID Chip Timing (Recommended for Larger Events)

    $650 minimum
    Structured as $200 base fee + $3 per registered participant

    Recommended for events with 175+ participants or competitive award structures.

    Final cost is based on total registations at the close of registration. The $650 minimum ensures adequate staffing, equipment deployment, and processing support for chip-based timing events.

    RFID chip timing is recommended for:

    • Events expecting higher (<175) participation
    • Tight finish-line areas
    • Closely grouped finishes
    • Detailed (3-deep) age-group awards
    • Events requiring rapid and precise results

    Chip timing uses dual-transponder race bibs for accurate electronic finish detection.

     

  • Additional Requirements

    Organizations using AORTA race services MUST meet with an AORTA representative at least 60 days prior to race day to discuss event details.

    Race directors are encouraged to review the Race Director's Guide prior to the initial meeting.

    Online registration through www.RunSignUp.com is required, as it provides the best experience for race directors, runners, and AORTA race services.
