Bridal Hair & Makeup Agreement (In-Salon)
This Agreement is entered into between Coven Salon (“Salon”) and the undersigned Bride (“Client”). By submitting payment, the Client agrees to the following terms.
1. Booking & Reservation
A non-refundable booking retainer of $250 is required to reserve the wedding date.
This retainer:
• Secures the date and service team
• Covers administrative planning
• Is applied toward the final balance
• Is non-refundable and non-transferable
Wedding dates are not reserved until the retainer is received.
2. Bridal Preview (Practice Session)
A Bridal Preview is strongly recommended and scheduled for up to two (2) hours at Coven Salon in Winchester, VA. Preview Fee: $200 (non-refundable) for hair & makeup or $100 (non-refundable) for just hair or just makeup. We completely understand wanting to experience a preview before committing. While you're welcome to schedule a trial prior to booking, please note that your wedding date is not secured until a deposit is placed. Dates remain available to other inquiries until officially reserved.
3. Financial Responsibility
The Client is the sole financially responsible party for all contracted services for the bridal party.
Once the booking retainer is paid:
• All reserved services are considered committed
• The Client assumes full responsibility for payment
• No reductions will be made due to missed appointments or change of mind
Members of the bridal party are not individually responsible to the Salon.
4. Reserved Services & RSVP Tuition Protection
At the time of booking, the Client will reserve a specific number of service appointments.
Because the Salon schedules staff and declines other business to accommodate the wedding, the following applies:
• Reserved services may be added at any time based on availability
• Reserved services may be reduced up to 60 days prior to the wedding date
Within 30 days of the wedding date, the reserved service count becomes financially binding.
After this time:
➡ Services may not be reduced
➡ The Client remains responsible for payment of all reserved services whether used or not
This is known as RSVP Tuition Protection, ensuring artists are compensated for time reserved exclusively for the Client.
Unused appointments are considered forfeited reservations and are non-refundable.
6. Cancellations
Full Wedding Cancellation
All cancellations must be made in writing.
Cancellations made less than 90 days prior to the wedding date will result in:
• Forfeiture of all retainers and deposits
• Client responsibility for 100% of contracted services
Reserved services are commitments of artist time. Cancellation of individual participants does not reduce financial obligation once RSVP Tuition Protection is in effect.
7. Final Payment
Final payment is due 14 days prior to the wedding date.
Failure to submit payment may result in cancellation of services without refund of retainers or deposits.
8. Timeliness & Delays
All service participants must be present and ready at their scheduled time.
A $95 per hour delay fee will be charged after a 15-minute grace period if services are delayed due to:
• Late arrivals
• Schedule interruptions
• Client-related delays
Services will proceed as scheduled regardless of participant readiness.
9. No-Show Policy
Any individual who misses their scheduled service time will still be charged in full.
No refunds or credits will be issued.
10. Product & Tool Responsibility
Salon tools, products, and equipment are the property of Coven Salon.
The Client assumes financial responsibility for replacement of any damaged items caused by members of the bridal party.
11. Artist Substitution
In the unlikely event that a scheduled artist becomes unavailable due to illness, emergency, or unforeseen circumstance, Coven Salon reserves the right to substitute another qualified professional.
All substitute artists are trained to meet Salon standards.
Such substitution shall not constitute a breach of contract and does not entitle the Client to cancellation or refund.
12. Force Majeure
Coven Salon shall not be held liable for failure to perform services due to circumstances beyond its control including but not limited to:
• Natural disasters
• Illness
• Emergencies
• Government restrictions
Reasonable efforts to reschedule will be made when possible.
13. Early Start Fee
Services scheduled to begin before 8:00 AM will incur an Early Start Fee of $75 per artist, per hour prior to 8:00 AM.
This fee accounts for staffing accommodations and adjusted scheduling requirements.
14. Holiday Fee
Events scheduled on nationally recognized holidays or holiday weekends may incur a Holiday Booking Fee.
This fee will be quoted at the time of booking and applies to accommodate limited team availability.
15. Extended Stay Fee
If services are delayed due to client-related timing changes and require artists to remain on-site beyond the originally scheduled completion time, an Extended Stay Fee of $75 per hour, per artist will apply.
This includes:
• Late arrivals
• Schedule interruptions
• Last-minute service additions
• Photography delays
• Client readiness delays
16. Gratuity
Gratuity is not included.
15–20% is customary but not required.
17. Agreement
By signing below and/or submitting payment, the Client acknowledges they have read, understood, and agreed to all terms.
