Terms & Conditions
This document is a legal agreement between you (the volunteer, you) and the involved entities associated with the Sandpoint Renaissance Faire (event, faire), which may include the Sandpoint Renaissance Association, the Bonner County Fairgrounds and its Board, and Bonner County (us, we, our, property, leader). It will cover liability, policies, and procedures for the volunteers, as well as gather volunteer emergency information. This agreement covers the period of time from when you submitted the application to the last day of work associated with this year’s event. Please read everything carefully, and keep a copy for your records.
By signing this agreement, Volunteer agrees, regardless of coverage under any insurance policy, to indemnify, defend and hold Sandpoint Renaissance Association, and any of our sponsors, officers, employees, and agents, and the Bonner County Fairgrounds and their Board Members, their businesses, employees, and agents, harmless from all claims, demands, actions, attorney’s fees, costs and expenses based on or arising out of any acts, errors, omission, fault, or negligence of:
-You and your principals, employees, subcontractors, and agents
-Sandpoint Renaissance Association and our principals, employees, subcontractors, sponsors, and agents Bonner County Fairgrounds and their principals, employees, subcontractors, and agents.
-Any adverse weather or other acts of nature, or other causes beyond the control of the Sandpoint Renaissance Association or the Bonner County Fairgrounds and its board, including, without limitation, civil disturbances, governmental actions, or acts or non-performance of third parties.
-Or which results in any loss, theft, damage or injury to any person or property.
Furthermore, Volunteer and your heirs, successors, and assigns waive all rights to claims for such events occurring while participating with/at the Faire under this Agreement.
The following policies lay out the expectations for all volunteers to keep the Sandpoint Renaissance Faire fun, safe, and secure for all participants:
Photography and Videography
Each Volunteer grants permission to Sandpoint Renaissance Association, the Bonner County Fairgrounds, and their representatives, employees, or agents, to take photographs and/or make audio/video recordings of Volunteer, your representatives, employees, family, or children, and goods/services at the Event and to use such photographs, audio and/or video recordings for such promotion or other lawful purposes as we deem appropriate. Volunteer and their representatives, employees and agents further waive any and all rights or claims as to content approval or damages that may arise from the use of such photographs, audio and/or video recordings.
Schedule & Volunteer Opportunities
There are many opportunities to volunteer for the Faire. Specific work days may be announced in the weeks or months leading up to the Faire. The week before and several days after Faire are the days when volunteers are most needed. The types of volunteer opportunities available throughout this time will vary. Work day opportunities will be announced via email.
We have a “Rain or Shine” policy. Only hazardous conditions or severe circumstances out of our control will cause the Faire to be canceled.
Behavior and Participation
Volunteer’s garb and persona should be appropriate for either the Medieval or Renaissance era (600 A.D.- 1600 A.D.) and for a family event. Each volunteer is responsible for ensuring that their costume, including footwear, is suited to all day wear while safely performing your volunteer duties. The Faire will be held on a multi-acre site containing mature trees and a natural environment with uneven ground. Costumes should be sturdy enough to withstand harsh weather or other inclement conditions and all activities required by your volunteer duties. We recommend preparation, at minimum, for wind, rain, and high heat. Volunteers are solely responsible for monitoring and adjusting for weather as necessary. We will have some tunics, garb, and dresses available for our volunteers if needed. There is a limited supply. Appropriate clothing to wear underneath must be provided by the Volunteer. Please discuss your costume with your Volunteer Supervisor or other Faire representative ahead of time if you have any questions or needs. Period weapons as part of your costume should be adequately secured for safety and must not be brandished aggressively or carelessly at any time. They also must not hinder your ability to perform your volunteer duties or pose any danger to others.
Volunteers are encouraged to sparingly use modern items (cell phones, radios, clipboards, pens, etc.), or to hide or disguise them as much as possible during faire hours to maintain the historical feel of the event.
We have a “Leave No Trace” policy. We intend, to the best of our ability, to leave the Property in as good or better condition than we found it. Volunteers are responsible for assisting to maintain the cleanliness of the area, including keeping your own work area(s) clear of debris and trash at all times – before, during, and after the Faire. Trash must be appropriately deposited at a designated trash receptacle. Bulk trash must be bagged and tied. Please take care of your personal trash as soon as possible. Do not leave trash for others to clean up or animals to find.
Terms for Dismissal
Any participant found under the influence of drugs/alcohol and/or exhibiting unruly or dangerous behavior will be asked to vacate the premises or may be removed by security or Law Enforcement if necessary.
Abusive, obscene, lewd, and indecent behavior is not acceptable from anyone. Such behavior will not be tolerated and will result in dismissal from the Faire and forfeit of any earned gifts. This is a family event so we expect you to use your best judgment in what you do and say. Never offend patrons of the Faire. Be considerate of Faire staff, check-in personnel, and other Faire participants. After Faire hours, be considerate of fellow participants and local residents surrounding the Faire.
Volunteers may not assist others to gain admission to the Faire by unofficial means and should assist in preventing this from occurring.
Animals
The Faire takes place at the Fairgrounds. As such, outside animals may pose a risk to the performing animals in addition to the general risk that any animal carries in a public setting. Pets are not allowed at the Faire.
We will follow all ADA requirements including the definition of a service animal. A service animal is not a pet. Service animals that will accompany you at the Faire must be declared in this agreement. We and Bonner County Fairgrounds reserve the right to request the removal of any animal brought to the Faire, regardless of prior permission, if that animal becomes disruptive or poses any safety risk, in the sole discretion of the Sandpoint Renaissance Association, the Bonner County Fairgrounds, or other authorities of the event. Volunteers bringing undeclared or unapproved animals into the Faire will be asked to remove the animal(s) immediately and may forfeit their remaining presence at the Faire.
**Volunteer Assignment**
If you have indicated a desire to volunteer only during Faire days, a Volunteer Guild leader will contact you one to two weeks before faire to discuss assignments with you. Please communicate in a timely fashion so we can ensure all needed volunteer tasks are assigned and covered, and give you as much choice as possible.
**Volunteer Cancellation**
If you need to change or cancel your assignment(s), please contact us by email or phone as early as possible. We understand that unforeseen circumstances may come up, but your participation is vital to the success of the event.
By signing this agreement, I affirm that I have read, understand, and agree to comply with the Volunteer Legal Agreement, Policy, and Procedures of this Agreement. I understand that failure to comply may result in dismissal from the Faire. I understand that this agreement does not entitle me to any special access to the Faire until I am assigned a volunteer role and schedule and earn admission, and that my access may be limited to my volunteer hours and role unless otherwise specified.
