  • Club Online Green Book User GDPR Agreement and Application for Access to AOIFA Online Green Book Data

    Only for AOIFA Affiliated Club Chairpersons and Secretaries
  • Please note: Only AOIFA Affiliated Club Chairpersons and Secretaries registered at AOIFA can apply for access to the Online Green Book. Each person will have to apply for access independently. If you have not yet registered or updated the Club Officers details with AOIFA, you can do so by filling out the "Change of Officers" form, which you can find HERE.

    The "Change of Officers" form will be processed and we will notify you at the email address you supplied when your registration has been recorded, only then can you apply for access to the Online Green Book to access the data. Your application will need to have the same details as registered with AOIFA and all forms will be manually checked.

     

  • Please confirm you are the Club's Chairperson or Secretary and responsible for accessing the AOIFA Online Green Book Data to enable you to book persons listed for your Club's events.
  • AOIFA Online Green Book and Green Form Confidentiality and Data Protection User Agreement

    1. Definitions

    Data Protection Legislation" means the General Data Protection Regulation (GDPR) (EU 2016/679) and any applicable national implementing laws.

    Personal Data" refers to any information relating to an identified or identifiable natural person processed by AOIFA Association of Irish Floral Artists.

    "Confidential Information" includes, but is not limited to, personal data and all login credentials (usernames, passwords, PINs, security tokens).

     
    2. Confidentiality Obligation


    I, Chairperson or Secretary of an AOIFA Affilated Flower Club, understand that in the course of my duties I will have access to confidential data and secure systems. I agree to treat all such information as strictly confidential. I will not, at any time, disclose, copy, release, sell, loan, or share any personal data or confidential information with any third party, including unauthorised colleagues or external individuals, unless explicitly authorised in writing by an AOIFA executive.

    3. Password and Credential Protection

    I agree that all login credentials (passwords/passphrases) assigned to me must not be disclosed to anyone else.
    I will not share, write down, or leave passwords in accessible places.
    I will not use shared credentials to access AOIFA Data.
    I will immediately report any unauthorised access, suspected data breach, or loss of login credentials to the AOIFA webmaster at aoifaweb@gmail.com 


    4. Data Processing and Security

    I will process personal data only on the instructions of my AOIFA Affiliated Club
    I will not transfer personal data to unauthorised personal devices or third-party cloud services without express written permission.
    I will follow all security procedures implemented by AOIFA (e.g., encryption, passwords) to ensure the security of processing. 


    5. Return of Data


    Upon termination of my role as AOIFA Affilated Club Chairperson or Secretary, I will immediately return or destroy all confidential information and data in my possession and will not retain any copies. 

    6. Breach of Agreement


    I understand that failure to adhere to this agreement may result in disciplinary action, up to and including potential legal action
