  • The International Ayr Show – Festival of Flight will return to Ayr shorefront on Friday 4 and Saturday 5 September 2026.

    The previous International Ayr Show - Festival of Flight was held from Friday 5th - Saturday 6th September 2025 and saw an incredible 260,000 people across the area over the 2-day period. Turning this weekend event into one of the most anticipated highlights of the year!

    The festival will be held at the Low Green, Ayr and will feature impressive and daring flying display programmes on the Friday night and Saturday afternoon. The event Festival Village will also return, jam-packed with a fantastic range of family entertainment to suit all interests.

  • Food & Drink Traders

    South Ayrshire Council are seeking professional and suitably qualified Street Food Traders, Specialist Hot and Cold Food Vendors to deliver a variety of high-quality food, drink and specialist produce at the International Ayr Show 2026, Friday 4th and Saturday 5th September 2026.

    Licensed trading hours will be Friday 4pm - 9pm and Saturday 12pm - 6pm.

    We aim to curate a varied, delicious and family-friendly offering of food and drink provided by passionate and skilled traders from around the country.

    To this end we are looking for a variety of good-quality Street Food Traders including those with a vegan and vegetarian offer that have a proven track record in trading at outdoor events and festivals.

    A discounted fee is available for traders who are based in South Ayrshire, North Ayrshire and East Ayrshire. If you are eligible, please contact cr.events@outlook.com and we will send you an alternative application form. Please provide evidence of Ayrshire trading address in your email.

  • TRADER FACILITIES

  • South Ayrshire Council will provide:

    • Suitable bins for back of house waste separation.

    • Power for vendors, on approval of power specification, if required.

    • Stewarding and overnight site security

    • Overnight power as required

    It is the vendors responsibility to provide:

    • Relevant fire extinguisher(s) dependant on cooking method

    • Your own hot water hand wash facility

    • Sneeze guards or other food covers as appropriate

    • If using gas you will be able to have only 1 x gas canister, (of up to 19 kilo) active at any one time. You may have 1 x canister as back up. All gas cannisters must be stored outside any catering unit in a secure cage.

    • All food must be sold in fully compostable Vegware (or equivalent) corn-starch disposables. Polystyrene containers and plastic bags are forbidden.

    • All health and food safety documentation including your specific Food Safety Management System, HACCP (where appropriate), PLI and full compliance with Scotland’s Charter for Food.

    • All pitches must be clear of rubbish and any spillages dealt with before leaving site. Any additional costs associated with cleaning of your pitch will be invoiced. This includes for cleaning of cooking oil spillages.
  • SELECTION CRITERIA

  • We are seeking to appoint a diverse range of food vendors to create the widest possible range of choice for attendees. Acceptance of applications to trade will not be offered on an exclusive basis but will be limited for each food and drink category in order to reduce over supply of products. All traders will be scored and ranked according to the evaluation matrix. For popular food and drink categories, the top ranked traders will be offered a pitch. South Ayrshire Council’s decision will be final.

    Traders will be selected based on quality and experience to ensure that attendees can taste and take home the best variety of local, speciality and sustainably sourced foods. We will not accept traders who do not meet the quality standards laid down for the event. The sale of tobacco and ‘Legal High’ products is strictly forbidden at this event.

    Any trader that uses polystyrene takeaway boxes and/or plastic cutlery will be stopped from trading until they can provide suitable alternatives. This includes but is not limited to; takeaway boxes, paper plates, cutlery, hot cups, cold cups and straws. When purchasing disposables from a supplier, please ensure that the disposables are certified as being BSI Pass 100 Compliant (meaning that they are fully compostable).

  • ABOUT YOUR PITCH

  • Please note that pitch fees for traders will be charged per square metre. 

    For Hot Food traders the charge per square metre will be £220.

    i.e. 3m x 3m = 9m2 (9 x 220 = £1980)

    If your application is approved, the full pitch fee payable will be confirmed with you.

    For Hot Drinks and/or Sweet Treat traders the charge per square metre will be £110.

    i.e. 3m x 3m = 9m2 (9 x 110 = £990)

    For Ice Cream Van traders the charge will be a flat fee of £800.

  • EVALUATION MATRIX

  • 40% Price. Details should include pricing for children

    30% Food menu. Where appropriate details on vegetarian, vegan, gluten free and halal options. Include options for children

    20% Presentation. Look of unit/stall. 

    10% Environmental Sustainability - outline any environmental policies, including current arrangements for minimizing the consumption for natural resources, waste separation and recycling.

     

     

  • HEALTH AND SAFETY

    If your application is successful you will only be permitted to trade when evidence of a food hygiene certificate, proof of public and employer liability insurance, risk assessment, fire risk assessment, gas safety certificate (where applicable), and further documentation have been submitted.
    1. A current and valid copy of your Public Liability Insurance, equal to or greater than £5million

    2. A current and valid copy of your Employers Liability, equal or greater than £10 million

    3. A current and valid copy of your Product Liability, equal or greater than £5 million

    4. Compliance certification for your Mobile Food Unit or details of your registration as a food business within your local authority

    5. Detailed final menu and price list for your offer including all children’s options where appropriate

    6. If using gas please state the size of gas canister that you wish to use (max 19kg). Please include current Gas Safe Certificates for all gas fuelled appliances. ALL GAS CONNECTIONS MUST BE CRIMPED CLIPS. JUBILEE CLIPS ARE NOT ACCEPTABLE.

    7. List of all electrical equipment including safety certificates (PAT tests) for all electrically operated equipment with labels on all appliances showing date of last PAT test

    8. Food Safety Management System (Cook safe, HACCP etc.) and hygiene policy

    9. Fire risk assessments

    10. Health and Safety risk assessments

    11. Food Hygiene training certificates for ALL staff working at the event

    12. Confirmation of Local Authority Food Hygiene Registration. An email confirmation or letter from your Council’s Environmental Health Officer is acceptable

    13. Complete Allergen Matrix applicable to your menu

    14. Minimum of 2, maximum of 5 images of the unit/stall that you are applying to bring to or set up at the event

    15. Pressure test certificate for Cappuccino Machine if applicable – must comply with pressure system safety regulations 2000

    16. Any additional certification to support your application i.e. Halal certification if offering Halal products. Approved animal welfare scheme certification etc.

    17. Proof of business address and registration if applying for a local trader’s discount off of the standard pitch fee.

    18. All Traders must bring appropriate fire extinguisher products. Please specify which type(s) of fire extinguisher you will be bringing and provide appropriate certificates.

  • NEXT STEPS

  • The Food Village Manager will aim to respond to you by mid-June 2026 to advise whether you have been successful in securing a pitch. If you are successful in securing a pitch, all H&S documentation and full payment must be received by the 9th August 2026.
