Exhibitor Information – 2026 VMEA Conference
Join us at the Greater Richmond Convention Center for our amazing Virginia Music Educators Association (VMEA) Conference! Secure your booth early to connect with music educators, students, and industry leaders from across the state and beyond.
We are excited about being back in Richmond and we are going to utilize all the opportunities afforded us in this larger space. If you have exhibited in Richmond before, you will be happy to know about the improvements we have made to help this event be even more successful. Among our changes:
- The exhibit hall is now, for the first time, the closest hall to the exhibits and performances!
- To help with sound, we are carpeting the aisles in the hall!
- The booth sizes are going to be larger than in Norfolk. They are 10x10 in the Richmond Convention Center.
Registration Deadline:
Exhibitor registration is open through 11:59 PM on November 6, 2026—or until we reach capacity. We encourage you to reserve your space early to guarantee participation.

- Six (6) Exhibitor conference badges (per registration)

Maximize your visibility with multiple days of engagement:
- Wednesday, November 18 – Optional Move-in: 5:00 PM – 8:00 PM
- Thursday, November 19 – Move-in: 7:00 AM – 11:00 AM
- Thursday, November 19 – Exhibit Hall Open: 11:00 AM – 5:00 PM
- Friday, November 20 – Exhibit Hall Open: 9:00 AM – 5:00 PM
- Saturday, November 21 – Exhibit Hall Open: 9:00 AM – 11:30 AM
- Saturday, November 21 – Move-out: 11:30 AM – 2:00 PM
Booth Size & Layout:
All booths are 10' x 10'. Our 2026 layout is designed to maximize traffic flow and attendee engagement—be sure to review the exhibitor map when selecting your 3 preferred spots; keep in mind we cannot guarantee your preference. We assign spots in the order that registrations are received.
Customize Your Experience:
We make it easy to finalize details closer to the event. A follow-up questionnaire will be sent to your primary contact to:
- Submit on-site attendee names
- Purchase lunch vouchers for the GRCC Café (Thursday & Friday)
- Purchase drink tickets for the 3rd Annual Exhibitor Happy Hour—an excellent way to drive traffic and build connections at your booth
Policies & Expectations - To ensure a positive experience for all participants:
- Amplified sound and music playback are not permitted; however, attendees are welcome to try instruments and products at your booth
- Only ADA-defined service animals are permitted in the facility
- Due to strong data received after last year’s event, the Exhibit Hall will remain open on Saturday—exhibitors are expected to stay through closing to maximize engagement
