    • Vendor Booth Payment Terms  
    • To secure your vendor booth placement, a 50% non-refundable deposit is required at the time of booking. The remaining balance must be paid in full by April 4, 2026 at 11:59 PM CST. Vendor booth space is limited and reservations are confirmed only once the deposit has been received. If the remaining balance is not paid by the stated deadline, the booth reservation will be released and the deposit will be forfeited. Due to the planning, coordination, marketing, and limited vendor availability associated with this event, all payments are final and non-refundable. In the event that a vendor cancels, withdraws, or fails to attend the event for any reason, all payments made will be forfeited and the booth space may be reassigned at the discretion of the event host. Vendor booth fees are non-transferable and may not be resold, reassigned, or shared without prior written approval from the event host.

    • Please pay vendor fee using the following:

      Deposit of 50% is due to secure your spot. Balance is due on 4/4/2026 at 11:59 PM CST. If balance is not paid, you will forfeit your deposit. No refunds on deposit, balance, No refunds for any reasons!

      Please Note: Due to the planning, marketing, and limited vendor availability associated with this event, all vendor booth payments are final and non-refundable. Submission of payment confirms your participation and agreement to all event terms.

      Please submit payment using the credit card link that corresponds with the vendor booth option you are purchasing and whether you are paying the full amount or the required deposit.
      Any remaining balance on deposit payments must be paid in full by April 4, 2026 at 11:59 PM CST.

       
      Failure to pay the remaining balance by the stated deadline will result in forfeiture of the booth reservation and deposit. Vendor booth reservations are non-transferable and all payments are non-refundable.

      This special rate is available for a limited time and must be paid in full at the time of booking to secure the discounted price. All early boarding payments are final and non-refundable.

       

       

    • Vendor Participation Standards 
    • All vendors are expected to maintain a professional, clean, and visually appealing booth display that aligns with the elevated atmosphere of the event. Vendors must complete booth setup within the designated setup window provided by the event host and booths must be fully operational before the event begins. Early breakdown or departure before the event concludes is strictly prohibited unless approved by the event host. Vendors may only sell or promote products and services that were disclosed during the vendor application process. The event host reserves the right to prohibit the sale of any items deemed inappropriate, unsafe, or not aligned with the event experience. Booth placement will be determined by the event host to ensure the best overall guest experience and flow. Specific booth locations are not guaranteed unless otherwise stated in writing.

    • Vendor Responsibility & Equipment 
    • Each vendor is responsible for their own booth setup, staffing, equipment, and merchandise. The event host and venue are not responsible for lost, stolen, or damaged items. Vendors requiring electricity or special equipment must notify the event host in advance and receive written approval prior to the event. Access to power sources is not guaranteed unless specifically arranged. Vendors must provide their own extension cords, power strips, lighting, and display equipment unless otherwise stated. The use of open flames, hot plates, cooking equipment, or any electrical equipment that exceeds standard outlet capacity is strictly prohibited unless approved in advance by the event host and venue.

    • Conduct & Event Changes 
    • All vendors are expected to conduct themselves in a professional and respectful manner while representing their brand. The event host reserves the right to remove any vendor whose behavior, products, or presentation negatively impacts the event experience. The event host also reserves the right to make adjustments to the event schedule, layout, or programming as necessary to ensure the best possible experience for guests and participants. In the event that the event must be rescheduled, modified, or canceled due to circumstances beyond the control of the event host—including but not limited to acts of God, weather conditions, venue restrictions, government regulations, or other unforeseen circumstances—the event host shall not be held liable for any losses incurred by vendors. All vendor payments will remain non-refundable; however, reasonable efforts will be made to accommodate vendors in the event of a rescheduled date when possible.
