Outside - Flea Market Vendor Contract
As a vendor at the WV Country Roads Festival, it is expected that your booth hours reflect the working hours of the festival (Friday 3pm – 8pm, Saturday 9am – 8pm, Sunday 9am – 5pm). Under no circumstances will you be permitted to pack up or disassemble your booth prior to the end of the day, as it may create a domino effect.
Early set up will be Thursday September 17th from 12pm - 6pm. If you cannot set up early, or prefer not to participate in the early set-up, you will be required to be set up no later than 1pm on Friday September 18th. Special circumstances can be arranged only with prior approval by the festival.
If any special accommodations are needed, please make those known prior to the event!!!
NOTICE: A WV BUSINESS REGISTRATION CERTIFICATE IS MANDATORY AND MUST BE PROMINENTLY DISPLAYED AT YOUR BOOTH IN ORDER TO ENGAGE IN BUSINESS AT THE FESTIVAL
We are planning to have as many vendors as possible. If you are going to participate, please respond ASAP.
SPACES ARE LIMITED.
The fees for outside vendor – flea market spaces are as follows:
· 1 space (10ft x 10ft) - $25.00
· 2 spaces (10ft x 20ft) - $35.00
· 3 spaces (10ft x 30ft) - $45.00
**The above rates are for occupancy of only one (1) business / proprietorship. Each business / proprietorship will be required to pay for their own vendor spaces.
**Camping will be available during the festival for an additional $25.00 per night. Please fill out a separate “Camping Registration” on the website.
**Each outside-flea market vendor is required to donate 1 item for Door Prizes Per Business / proprietorship.
**Each outside-flea market vendor must supply their own canopy, tables, and chairs.
**Required electrical voltage (110v or 220v) must be submitted to the festival. 220v is limited.
**Each outside-flea market vendor will be responsible for keeping their areas free of trash and debris during the festival. At the end of the festival, the area is to be left in the condition it was found during initial set-up.
**We ask that all outside-flea market vendors be respectable and polite. We want all those attending to feel welcome and enjoy a great time at our festival. Any exhibit of disruptive behavior to the attendees, other vendors, or staff will result in expulsion from the festival without a refund. Any issues or disputes will be resolved by the festival Directors, and their decision will be FINAL.
**The WV Country Roads Festival and its affiliates are not responsible for accidents, damage, theft, or loss of items/ products.
**Vendors are required to observe and abide by all, and any State and County fire, safety, health, and all other applicable ordinances to ensure the safety of all participants. Each vendor is responsible for required fire extinguishers.
**Vendors shall always exhibit professionalism. If a problem arises, it is to be brought to the staff’s attention immediately. Vendors (and their employees) will be expected to have a respectful demeanor. Any exhibit of disruptive behavior to the attendees, other vendors, or staff will result in expulsion from the festival without a refund. Any issues or disputes will be resolved by the festival Directors, and their decision will be FINAL.
WV Country Roads Festival is not responsible for any taxes for goods or merchandise sold by vendors.
BY SIGNING, YOU AGREE TO THE TERMS SET FORTH IN THE CONTRACT.
ALL FEES ARE NON-REFUNDABLE. NO EXEPTIONS.

NO POST-DATED CHECKS WILL BE ACCEPTED
PAYMENT MUST BE RECEIVED WITH THE REGISTRATION.
REMEMBER: YOUR SPACE IS NOT RESERVED UNTIL PAYMENT IN FULL IS RECEIVED.
