ABOUT the POSITION
Administrative Assistant – Operations Support
JOB DUTIES INCLUDE (but are not limited to):
Correspondence & Communication
- Answer and return phone calls
- Respond to text messages
- Monitor and respond to emails
Scheduling & Coordination
- Maintain calendars and reminders
- Schedule interviews, meetings, and appointments
Office & Administrative Duties
- Prepare and monitor invoices
- Accounts payable
- Accounts receivable
- Bookkeeping
- Data entry
- Filing
- Occasionally print bag labels
- Printing and copying
- Maintain procedures manual
- Research products/equipment
- Perform cost analysis
Inventory & Operational Support
- Monitor inventory levels
- Ordering supplies
Software
- Learn and become proficient in bakery software (Cybake)
- Learn and become proficient in Trainual SOP software
- Learn and become proficient in Scribe SOP software
- Experienced in MS Office and Google Workspace
- Experienced in QuickBooks Online
TEAM SUPPORT
- Perform other duties as assigned
- Duties may change to meet business needs
- Because this is a small business environment, occasional availability outside scheduled work hours may be needed to readily answer questions by phone or text. This is expected to be infrequent, and all time worked will be compensated according to company policy.
QUALIFICATIONS
- High school diploma
- College a plus
- Experience as an Administrative Assistant required
- Impeccable grammar skills
- Excellent communication skills
- Professional appearance
- Exceptional customer service
- Proficient with Apple devices (Mac)
- Experienced in MS Office and Google Workspace
