City of Harrington Community Event Calendar Submission Policy
Purpose: To ensure that the community event calendar is useful, accurate, and welcoming, this policy outlines what kinds of events qualify for inclusion and how submissions are reviewed.
Eligibility Criteria:
1. Open to the Public: Events must be open and accessible to the general public. Private, invitation-only, membershiponly, or resident-only events are not eligible. For example, yard sales on private property, unless they are part of a larger public benefit event, should not be submitted.
2. Non-Commercial/Community Focus: Events should serve the community interest (e.g. educational, cultural, social, civic) rather than strictly commercial gain. For purely commercial promotions, please use other advertising channels.
3. Accurate and Complete Information: Submissions must provide all required details as set out in the event form, including but not limited to: date, time, location, purpose or description of the event, organizer contact info, and any cost (if applicable).
4. Safety and Legality: Events must comply with local laws and ordinances. They must be safe for attendees and not involve prohibited or illegal activities.
5. Respectful Content: Content must be appropriate for all audiences. Hate speech, discrimination, or content hostile toward any group will result in rejection.
Submission Guidelines:
• Use the official event-submission form. All required fields must be filled in fully and clearly. Incomplete submissions may be delayed or rejected.
• Submit event announcements well in advance (ideally at least two weeks before the event) to allow time for review and publishing.
• If an event is rescheduled, cancelled, or changed significantly (time/place), the organizer should notify the calendar moderator as soon as possible.
• A photo or graphic may be included if it meets standards (e.g. doesn’t contain watermarks, clear resolution, community-appropriate imagery).
• If the submission is a series of events (such as a sports team), we are happy to post the schedule but may not be able to accommodate individual postings for each game/match/etc.
Review Process:
• Submissions are reviewed by the calendar moderator (or a city staff/volunteer) for compliance with this policy.
• The moderator may contact submitters for clarification or additional details.
• The moderator reserves the right to refuse postings that do not meet policy guidelines, or to remove events that later are found non-compliant. Updates & Revisions:
• This policy may be updated from time to time by the City Manager. The current version will be published along with the event calendar submission form.
• Organizers will be deemed to have agreed to the policy by submitting their event.
