Important Vendor Information:
- Indoor vendors must close and exit by 5:00 PM to allow for concert setup
- Outdoor vendors and food trucks may remain open until 9:00 PM
- Vendors staying after 5:00 PM must provide their own lighting
- All vendors must fully close and exit by 9:00 PM
Facilities (After 5:00 PM):
- The Expo Center (main building) will be closed for concert access (ticket required)
- The Pavilion (smaller building) will remain open for restroom access
Vendor Setup Information:
- Vendors will have the option to set up on Friday, June 12, 2026 (specific times will be announced soon). Vendors are strongly encouraged to take advantage of Friday setup to ensure a smooth and timely start on event day.
- Day-of setup will begin at 6:00 AM on Saturday, June 13, 2026. Please note that vendors choosing to set up on Saturday morning will have approximately two hours to complete setup before the event begins at 8:00 AM.
- All setup times and details are subject to change, and vendors will be notified as updates become available.
Fee:
- Food Trucks (Electricity Included): $250
- Food Trucks (No Electricity): $175
- Food & Beverage Vendors (No Electricity): $175
- Indoor Booth (Limited): $150
- Outdoor Booth: $75
- HWCC Member Discount Available – Inquire for details
- Scholarships available upon request
Vendor Requirements:
- Vendors must be a registered business with the State of Wisconsin
- Vendors must provide an EIN and Seller’s Permit number
- Vendors are strongly encouraged to carry business liability insurance (minimum $500,000 coverage)
- Vendors must comply with all applicable health and safety regulations
Booth Details & Setup Requirements:
- Standard booth size: 10x10
- Each vendor will be provided one 6-foot table and two chairs
- Vendors are responsible for bringing any additional setup needs, including tents (required for outdoor booths), tent weights or stakes, extra tables, chairs, displays, and any other materials
- No tablecloths, electricity, or water will be provided (unless otherwise noted for specific vendor types)
Outdoor Vendors:
- Tents are required and must be properly secured using weights (minimum 40 lbs per leg) or stakes (permitted in designated grass areas)
- Vendors without proper tent securing will not be allowed to set up
Prohibited Items:
The sale or distribution of certain items is not permitted at this event, including alcohol, illegal goods, or any items deemed unsafe or inappropriate by event organizers. HWCC reserves the right to request removal of any items that do not align with event guidelines.
HWCC reserves the right to require adjustments or deny setup if booth requirements are not met.
