    FESTIVAL POLICIES AND CONDITIONS 

    1. Eligibility

    Amateur Status

    The festival is open to non-professional performers; i.e. those who engage in performance on an unpaid basis.

    Age limits

    Age shall be reckoned as at 1st May of the competition year. Age must be stated on the entry form. WAPAC reserves the right to request a copy of a birth certificate or passport for proof of age.

    Restricted Classes

    Restricted classes will be open to performers who have not, at the time of making the entry, been placed first in any class at WAPAC or similar festival.

    2. Entries 
    Entries will be accepted on a first-come first-served basis, until the class is observed to have equalled or exceeded targeted number of entries (where defined for a class in the Syllabus).

    The submission of an entry implies acceptance of these Festival Policies and Conditions.

    The performer is responsible for compliance with all criteria in the Syllabus.

    Fees must be paid at the time of entry. As a policy, fees will not be refundable.  

    Performers will identify the item(s) they will be performing on their entry forms, and at the festival, they will be entitled to perform those items in those classes. There will be no change of programme.

    All special awards will be decided on highest aggregate marks. To qualify for these awards, competitors must compete in all classes specified. 

    Performers may not perform the same item in more than one class.

    3. Timetable
    Programmes will be available for download from the WAPAC website free of charge. 

    Items will be performed in the sequence listed in the Programme. Performers will arrive at least 20 minutes prior to the beginning of their class. 

    Unless otherwise stated, the time limit for entering the stage, setup (and tuning if required), and performing will be a maximum of 4 minutes. Timing will be monitored, and the adjudicator will have the right to halt a performance that is overrunning.

    4. Stage Management
    Stage Access 

    No person other than performers and officials will be allowed on stage, back stage or in the wings of the stage

    Prompting

    No prompting or assistance may be rendered during a performance except by the adjudicator.

    Properties 

    No heavy properties will be allowed, light properties will be permitted at the discretion of the Stage Manager

    5. Independence of Adjudicators
    Any person who has been taught or coached professionally by their Adjudicator, at any time in the year immediately preceding the competitions, may not enter the festival.

    No person, other than WAPAC officials, shall have any communication with the Adjudicator.

    The Adjudicator’s decisions will be final.

    6. Adjudication
    The Adjudicators will be asked to award placings 1st, 2nd and 3rd without tied placings.

    In any class, the adjudicator may rate unplaced performers Very Highly Commended, Highly Commended or Commended.  The adjudicators can withhold, at their discretion, any placing or prize.

    7. Sheet Music
    Adjudicator copies

    Performers will provide a copy of their item(s) to the door keeper on arrival. This copy must have the performer’s name, class and performance order number on it.  Copies must be collected on completion of the class. Uncollected copies will be recycled at the end of the competitions.

    Performer copies

    Unless the work is in the public domain, candidates will use an original published musical score or text, or an authorised copy, for performance purposes.  Tablets and photocopies may be used by accompanists.

    8. Accompanists

    It is a performer’s responsibility to engage an accompanist of their own choice.

    9. Trophies and Prizes 
    All trophies will remain the property of West Auckland Performing Arts Competitions. Engraving will be the responsibility of the winner. Trophies must be returned to WAPAC Secretary by the end of the year awarded.

    10. Photographs and Recordings
    Audience members may only photograph or record the individual they are supporting.

    WAPAC Committee may request audience members to cease should it be a distraction.  

    Unless otherwise arranged with the Convenor, Performers will allow WAPAC to publish photographs that promote interest in their festivals. 

    11. Complaints Process
    Complaints may be made to WAPAC Committee in writing, by the performer’s teacher.

    This must be completed within 48 hours of the competition occurring. WAPAC Committee will respond in writing to the performer’s teacher following its next scheduled meeting.

    All entry fees require a $30 administration/membership fee - this is automatically added to the fee total. Please provide a member email address if you wish to be notified of General Meetings and other WAPAC matters.

    We collect your personal information in order to:

    • sort competitors into classes that is best for them
    • create a competition that is fair
    • address competitors with the most respectful language
    • build a community that makes everyone welcome and protected


    Providing some information is optional. If you choose not to enter a competitors information, we'll be unable to place them into the competitions.

    We keep your information safe by storing it in encrypted files and only allowing members of the committee to access it .

    We keep your information for three years at which point we securely destroy it by securely erasing all digital copies.

    You have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong. If you’d like to ask for a copy of your information, or to have it corrected, please contact us at wapac2019@gmail.com.
