    This Fleet Management Agreement ("Agreement") is entered into between Easy Rentals ("Manager") and the Vehicle Owner ("Owner"). By signing below, Owner acknowledges they have read, understood, and agreed to all terms outlined in this Agreement and accepts full responsibility for their obligations herein.

  • Owner confirms that all information provided is accurate and that they are the legal owner or authorized party for any vehicle placed under this agreement.

  • Vehicle Requirements & Onboarding

    Program Onboarding Fee 

    A one-time onboarding fee is required per vehicle before it is accepted into the Easy Rentals Fleet Management Program.

    • $150 per vehicle for owner-provided vehicles
    • $300 per vehicle for vehicles sourced by Easy Rentals

    The sourcing onboarding fee includes vehicle search, auction access, and integration into the Easy Rentals system.

    All onboarding fees are non-refundable once the onboarding process has begun.

     

    Before a vehicle can be placed under Easy Rentals management, the Owner must ensure the following:

    • Vehicle is registered and has valid license plates
    • Vehicle is insured (if applicable)
    • A GPS tracking device is installed and active under the Owner’s account
    • Vehicle is in safe, drivable, and rentable condition
    • No major mechanical issues are present

    Owner is responsible for maintaining all required documents, registrations, and tracking services.

    Easy Rentals reserves the right to deny or delay onboarding of any vehicle that does not meet these requirements.

  • Per Vehicle Agreement

    This Agreement applies to EACH vehicle individually.
    Each vehicle is treated as its own income-producing unit under this Agreement.

  • Base Management Details

    (Standard Terms)
  • Base Agreement Includes:

    • 70/30 profit split based on collected rental income  

    • Full vehicle management by Easy Rentals  

    • Weekly payouts based on funds collected

    Owner Responsibilities Under Base Agreement:

    • Ensure vehicle is clean, fueled, and rental-ready between rentals  

    • Handle vehicle recovery and retrieval when needed  

    • Cover all recovery-related expenses (towing, impound, storage, etc.)  

  • Payment Processing Fees 

    All payment processing fees (including but not limited to Stripe, card processing, or digital payment platform fees) are deducted from rental payments BEFORE profit is distributed.

    Profit split (70/30) is calculated based on the net amount received after processing fees.

    Owner acknowledges and agrees that all payment processing fees are solely the responsibility of the Owner and will be deducted prior to any profit distribution.

     Example: If a renter pays $100 and processing fees total $3, the remaining $97 will be split according to the agreed profit structure.

  • Fuel Policy

    Renter must return the vehicle with the same fuel level provided at the start of the rental.

    If fuel is not replaced, a fuel replacement fee will be deducted from the renter’s security deposit.

    Owner Responsibilities:

    • Ensure the vehicle has sufficient fuel at the start of each rental
    • Inspect the vehicle after each rental
    • Report any fuel discrepancies to Easy Rentals within 24 hours of return

    Failure to report within this timeframe may result in forfeiture of reimbursement.

    Easy Rentals is not responsible for identifying fuel discrepancies unless reported by the Owner.

     

    Maintenance & Repairs

    Owner is fully responsible for all vehicle maintenance and repair costs.

    This includes, but is not limited to:
    • Mechanical repairs
    • Routine maintenance (oil changes, brakes, tires, etc.)
    • Electrical issues
    • Any repairs required to keep the vehicle in rentable condition

    Easy Rentals is not responsible for diagnosing, paying for, or fronting any repair or maintenance costs.

    If a vehicle becomes unavailable due to maintenance or repair issues, Owner accepts full responsibility for any loss of income during that period.

     

  • Vehicle Readiness & Quality Control 

    All vehicles must be clean, fueled, and rental-ready prior to each booking.

    Owner is responsible for maintaining these standards unless Cleaning & Vehicle Prep services are added.

     

    Quality Control Policy:

    If a vehicle results in:

    • Customer complaints regarding cleanliness or condition
    • Missed or delayed bookings due to lack of preparation
    • Failure to meet rental-ready standards

    A written notice will be issued to the Owner.

    After (2) verified incidents within a 30-day period, Easy Rentals reserves the right to:

    • Automatically apply the Cleaning & Vehicle Prep add-on (+5% weekly)
    • Perform necessary preparation services to maintain booking quality

    All related service fees may be deducted from payouts if applicable.

    Easy Rentals reserves the right to take immediate corrective action without prior notice if a vehicle is deemed to negatively impact customer experience or brand reputation.

    Repeated violations beyond this threshold may result in removal of the vehicle from the Easy Rentals program.

  • Add-On Services Explanation:

     

    Cleaning & Vehicle Prep (+5% Weekly):

    Easy Rentals will handle full vehicle turn-over between rentals to ensure the vehicle remains clean, presentable, and ready for immediate rebooking.

    This includes:
    • Fuel level check and refueling coordination
    • Tire pressure and basic safety checks
    • Interior and exterior condition review
    • Damage and wear monitoring between rentals

    This service helps maintain vehicle quality, reduce downtime, and improve renter and owner experience.

    If not selected, Owner is responsible for ensuring the vehicle is clean, inspected, and rental-ready at all times, including between bookings.

     

     

    Recovery Assistance (+10% Weekly):

    Easy Rentals will actively assist in locating and retrieving the vehicle if needed, providing an added layer of protection and response support.

    This includes:
    • GPS tracking coordination
    • Direct communication and response handling
    • In-person retrieval support when applicable

    This service ensures faster response times and reduces the stress of handling recovery situations independently.

    Owner remains financially responsible for ALL recovery-related costs, including towing, impound, storage, and third-party services.

    This fee is charged weekly regardless of whether a recovery event occurs.

    Easy Rentals is not liable for any loss, damage, or delay related to recovery situations.

  • Program Removal & Termination

    Easy Rentals reserves the right to remove any vehicle from the program at any time due to:

    • Repeated failure to meet rental standards
    • Excessive customer complaints
    • Safety concerns
    • Non-compliance with agreement terms

    Owner may also request removal of their vehicle at any time with a 14 day notice to make preparations for vehicles.

    Any outstanding balances, fees, or obligations must be resolved prior to final payout.

      


    Vehicle Exclusivity & Use Restrictions


    Once a vehicle is placed under the Easy Rentals Fleet Management Program, the Owner agrees that the vehicle will be used exclusively within the Easy Rentals system.

    Owner may not:
    • Rent, lease, or provide the vehicle to any third party outside of Easy Rentals
    • List the vehicle on other rental platforms or private agreements
    • Use the vehicle in a way that interferes with active or upcoming bookings

    All rentals must be processed and managed through Easy Rentals for the duration of this Agreement.

    If the Owner wishes to use the vehicle outside of the program, the vehicle must first be formally removed from the Easy Rentals system.

    Easy Rentals reserves the right to remove any vehicle from the program immediately if this policy is violated

    Any violation of this policy may result in immediate removal from the program and forfeiture of any pending payouts if damages or losses occur.
