SCAPE is a landscape architecture and urban design practice based in New York, New Orleans, and San Francisco. We design and advocate for the ecologically restorative and socially engaged landscapes, urban environments, and natural infrastructure of the future. We do this through diverse forms of design—built landscapes, planning, visioning, and research—with the ultimate goal of connecting people to their environments.
ABOUT THE ROLE
We are looking for a tech-savvy, detail-oriented coordinator to steward our design tools, resources, and processes (digital and analog) across our three offices. This is an operations role that supports SCAPE’s design practice: ensuring that our shared design resources, technology/tools, and shared knowledge infrastructure are well-maintained, consistent, and accessible. The Design Operations Coordinator reports to our Chief of Staff and works closely with firm Principals.
The role has three core areas of focus: design resource stewardship (organizing and maintaining shared templates, digital assets, deliverable standards, and physical tools like our model shop and plotting systems); employee learning and design culture (coordinating training, internal programming, onboarding resources, and professional development so that firm tools and standards are understood and widely adopted); and technology and AI implementation (evaluating and rolling out design technology and AI-powered workflows, and helping staff get up to speed on new systems).
Strong organizational skills, technical literacy, and a genuine interest in how design firms operate are required. Candidates should have experience in a design, architecture, or creative industry setting; be comfortable with design software and technology systems; and bring a flexible, self-motivated, and collaborative approach. Experience at a Landscape Architecture or Architecture office is preferred. Candidates with design degrees will be considered but should understand that this is an administrative position and does not involve day-to-day work on design teams delivering client-facing projects.
RESPONSIBILITIES
DESIGN RESOURCES & KNOWLEDGE MANAGEMENT
- Steward the firm’s shared design and operational resources: templates, reference documents, digital asset libraries, graphic identity materials, and standard deliverable formats across all three offices.
- Develop and maintain systems—in coordination with the Chief of Staff and Principals—for how firm-wide resources are stored, accessed, and maintained.
- Proactively identify gaps and opportunities to improve SCAPE's systems, resources, and workflows.
- Help project teams access the tools, standards, and materials they need.
- Oversee the model shop and printing/plotting systems in collaboration with our New York Studio Assistant.
- Coordinate cross-office resource and process consistency between New York, New Orleans, and San Francisco.
LEARNING, TRAINING & DESIGN CULTURE
- Support design culture programming—design reviews, pin-ups, cross-office knowledge sharing—in collaboration with the Chief of Staff and Workstream Leads.
- Coordinate vendor Lunch & Learns, class visits, internal skill-shares, and professional development programming tied to design tools and firm resources.
- Develop and maintain onboarding materials so new staff can quickly get up to speed on firm tools, standards, and workflows.
- Prepare firm-wide weekly meeting slide decks and monthly design review materials.
- Track professional development participation and connect employee learning goals with firm resource and technology needs.
TECHNOLOGY & AI TOOLS
- Evaluate, recommend, and implement design technology tools and AI-powered workflows for design production, research, and internal operations.
- Serve as a point person for design software questions, troubleshooting, and best practices (e.g., Adobe Creative Suite, Rhino, GIS, rendering tools).
- Help build and maintain internal AI tools and automations—from low-code solutions to custom workflows.
- Liaise with our IT consultants on design-specific technology needs, including software licensing, updates, and workstation configurations.
- Track emerging design technologies and present recommendations to leadership.
EXPERIENCE, QUALIFICATIONS & SKILLS
- 1–3 years of relevant professional experience in a design, architecture, or creative industry setting. Landscape architecture or urban design experience is a plus.
- Bachelor’s degree in a relevant field.
- Strong technical literacy and comfort with design software (e.g., Adobe Creative Suite, Rhino, SketchUp, GIS, rendering tools). Direct design experience is valued but not required.
- Experience developing or maintaining shared resource systems, training materials, or knowledge management platforms.
- Demonstrated interest in emerging technology, including AI tools. Experience with low-code platforms, automation tools, or basic scripting is a significant plus.
- Excellent organizational skills with strong attention to detail and follow-through across multiple projects.
- Strong writing and communication skills.
- A flexible, team-oriented, and self-motivated approach to work.
- Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and Adobe InDesign.
- Ability to work in the U.S.A. and begin work in-person at our New York office.
COMPENSATION & LOCATION
This is a full-time, salaried position with benefits, based primarily in-person at our New York office with some flexibility. The salary range is $68,000–$78,000, commensurate with experience.
