2026 Grandparents' Morning Tea: Volunteer Register
  • 2026 GRANDPARENTS' MORNING TEA: VOLUNTEER REGISTER

  • In anticipation of the upcoming Grandparents' Morning Tea events on Tuesday 12 May (PCGs 8.1 - 8.4) and Thursday 14 May (PCGs 8.5 - 8.8), the TC Auxiliary humbly requests assistance from Year 8 parents and guardians to successfully run each event.

    There are multiple opportunities to volunteer, each requiring a different number of volunteers. Please see each section below for further detail. 

    If you’re able to assist, please register your details below no later than 3.00pm on Thursday, 7 May.

     

    OTHER INFORMATION

    • While we understand it may not be possible due to other commitments, it is preferred that you assist on the day that your son is not participating in the event.
    • Once you click 'submit' below and are directed to the 'form submission confirmation' page, please rest assured that your registration details have been gratefully received!
    • Please don't be concerned if you only receive final details a few days prior to the events! There is a lot of internal work by TC staff and the Auxiliary in preparation for the events, so the final details will only be sent to volunteers once the registration deadline has passed.
  • Format: 0000-000-000.
  • PRE-EVENT SET-UP

    • Date: Monday, 11 May 2026
    • Location: Gibney Hall, Trinity College
    • Volunteer times: 1.30pm - approx 3.30pm
    • Number of volunteers required: 6x
    • Responsibilities:
      • Venue set-up: assembling tables, placing chairs
      • Logistics support: transport of kitchen items into the hall
      • Setting/styling tables: linens, crockery, mugs, glasses, etc
      • Kitchen set-up: prepare tea/coffee supplies; prepare catering stations
  • EVENT #1: SERVICE, AND RE-SET

    Note: the PCGs involved in this day's event are 8.1-8.4. While we understand it may not be possible due to other commitments, it is preferred that you assist on the day that your son is not participating in the event.

     

    • Date: Tuesday, 12 May 2026
    • Location: Gibney Hall, Trinity College
    • Volunteer times: 8.00am - approx 1.00pm
    • Number of volunteers required: 8x pax
    • Responsibilities:
      • Food preparation/light heating in oven, as required
      • Final table setting before guest entry
      • Guest service - food and drink
      • Venue and kitchen re-set for Thursday event - involves washing (dishwasher) and drying items, rubbish disposal, re-setting the tables, etc
    • Other information:
      • Student volunteers will also assist from approx 9.30am - 11.45am
      • Venue re-set is required, ahead of the Thursday event (involving PCGs 8.5-8.8)
      • On each event day, there will be a 'Kitchen Coordinator' who will take the lead in directing other volunteers; these leader roles will be determined on-the-day. TC Events will manage the student volunteers on-the-day (of each event), and will work closely with each Kitchen Coordinator to ensure a smooth event
  • There are two volunteering opportunities on this day. You can volunteer for either option, both options, or neither.

    1. Pre-event & service (8.00am - 10.45am): 8x persons required
    2. Post-event & re-set (10.45am - approx 1.00pm): 8x persons required
  • EVENT #2: SERVICE, AND PACK-DOWN

    Note: the PCGs involved in this event are 8.5-8.8. While we understand it may not be possible due to other commitments, it is preferred that you assist on the day that your son is not participating in the event.

     

    • Date: Thursday, 14 May 2026
    • Location: Gibney Hall, Trinity College
    • Volunteer times: 8.00am - approx 1.00pm
    • Number of volunteers required: 8-10 pax
    • Responsibilities:
      • Food preparation/light heating in oven, as required
      • Final table setting before guest entry
      • Guest service - food and drink
      • Venue and kitchen pack-down - involves washing (dishwasher), drying and putting away items, rubbish disposal, etc
      • Fold down tables, stack chairs
    • Other information:
      • Student volunteers will also assist from approx 9.30am - 11.45am.
      • On each event day, there will be a 'Kitchen Coordinator' who will take the lead in directing other volunteers; these leader roles will be determined on-the-day. TC Events will manage the student volunteers on-the-day (of each event), and will work closely with each Kitchen Coordinator to ensure a smooth event
