Application Fee

To reduce unnecessary administration for applications that are later withdrawn, all massage therapist, healer and reader applications must include a $30 application fee. 

• If your application is successful, this fee will be deducted from your final invoice.
• If your application is unsuccessful, the $30 fee will be fully refunded.

The Fearless Women's Forest Gathering is a huge collaboration between many women. It takes around 100 women to bring this life changing event together. These women need to be connected and unified to lay the foundations for a safe space for the attendees. We achieve this by bringing the collaborators together through zoom meetings 1 week before the event and holding an intention setting ceremony 2 hours before the festival commences.

If you cannot commit to the following due to family or work commitments, please do not apply. We will be happy to receive your application in future years when you are able to commit to the following;

Massage Therapist, Healer & Reader Information

How It Works

• Each massage therapist, healer or reader will have their own 3m x 3m stall space for the full weekend.
• You may share your stall with another massage therapist, healer or reader (both must apply and be accepted separately).
• You must supply your own marquee, table, chairs, and equipment.
• If you do not have a 3m x 3m marquee, we can provide one for an additional fee of $88.
• No electricity is available in the healing tent area.
• Public liability and professional indemnity insurance are required.

 

Healing Tent Hours

All healing tents must be open for sessions during the following times:

• Friday April 30th: 2:00pm – 6:00pm 
• Saturday May 1st: 9:00am – 6:00pm 
• Sunday May 2nd: 9:00am – 12:00pm

If you cannot commit to these hours, you must arrange to share with another massage therapist, healer or reader who can cover the times where you are not available.

 

Fees and Inclusions

• $260 per massage therapist, healer or reader (This includes your stall space, festival entry, and general camping for the full weekend - people bringing a caravan MUST purchase a caravan pass).
• If sharing a stall, each person pays $260 individually.

Optional Add-ons:

• Catering Package: $90 (6 meals from Friday dinner to Sunday lunch)
• Crew Bell Tent Upgrade: $100 per person (You’ll be placed in a shared bell tent tent with other crew members. You will have a comfortable foam mattress. BYO bedding).
• 3 x 3m Oztrail Marquee Hire: $88 (includes walls, set up and pack down).
• Caravan/Trailer/Bus pass (Total length between 7m and 10m): $50
• Caravan/Trailer/Big Rig Bus Pass (Total length over 10m): $80

Note: No venue cooking facilities are available. If self-catering, you must bring your own refrigeration or esky/ice and cooking equipment.

Key Dates

• Applications close Tuesday December 15th , 2026.
• Offers and invoices sent to successful applicants by Sunday January 10th, 2027.
• Final date for acceptance of offers and payment of invoice is Sunday January 31st.

APPLICANTS WHO HAVE NOT PAID THEIR INVOICE BY JANUARY 31st, 2027 WILL FORFEIT THEIR APPLICATION.

IN THE UNFORTUNATE EVENT THAT YOU NEED TO CANCEL YOUR PARTICIPATION, REFUNDS WILL BE ISSUED (MINUS A 30% ADMIN FEE) IF CANCELLATION IS MORE THAN 4 WEEKS FROM THE EVENT. 

CANCELLATIONS WITHIN 4 WEEKS OF THE EVENT ARE NON-REFUNDABLE.

If your application is successful, we will promote your offering on social media and our website before the event. We will need a description of your service that also tells us a little bit about you. 

Here is an example;

'Rachael will be offering Swedish massage and Reiki; a multimodal approach to healing. With a passion for self-care, Rachael brings a kind and warm-hearted energy to her sessions. She can assist you in achieving enhanced peace and relaxation. You may choose to have one or both modalities on offer as part of your healing session.'

Photo consent: By uploading this photo, you consent to it being used in Fearless promotional materials and to reasonable digital or AI-assisted editing to create consistency across our promotional posters. Please see the Media Consent section of the Terms & Conditions for full details.

MASSAGE THERAPISTS, HEALERS & READERS – TERMS AND CONDITIONS

Insurance

All massage therapists, healers and readers must hold current Public Liability Insurance and Professional Indemnity Insurance.

 

Power & Equipment

All sites are unpowered. Therapies requiring electricity (e.g. hot stone massage, red light therapy) are not permitted.

Massage therapists, healers and readers must supply their own marquee, tables, chairs, and treatment equipment.

Oztrail marquee hire is available for an additional $88. (This includes walls, set up and pack down)

The event is held outdoors in a bush, so floor mats are recommended.

If you cannot attend all required hours, you must find a second massage therapist, healer or reader to share the tent. Both applicants must submit separate applications.

 

Operating Hours & Attendance

Bump-in: All massage therapists, healers and readers must arrive and set up before 10:00am on Friday April 30th OR after 3pm on Thursday April 29th.

Required Stall Hours:
Healing tents must be open and attended during the following times:

• Friday April 30th: 2:00pm – 6:00pm 
• Saturday May 1st: 9:00am – 6:00pm 
• Sunday May 2nd: 9:00am – 1:00pm
  
  

Session Management & Client Care

Sessions must run on time. Many guests have full schedules, and delays can cause them to miss other workshops or experiences. Please respect their time and ensure punctuality.

If a client experiences a particularly emotional or intense session, you are expected to:

• Follow up with a text a few hours later to check on their wellbeing.
• Direct them to the onsite Mental Health Support Team if appropriate.
• This is essential to ensure duty of care and align with the supportive values of the Gathering.

 

Presentation & Safety

All services and prices must be clearly displayed.

Sound healing instruments must be used considerately so as not to disturb other healers in neighbouring healing tents.

All stall areas must be kept clean, tidy, and hazard-free, especially ensuring no trip hazards.

Marquees must be securely anchored using pegs, weights or star pickets (recommended).

Any damage to the site caused by a massage therapist, healer or reader must be repaired at your own cost.

Food & Catering

Healing sessions must not interfere with meal service times.

Please ensure your clients can access their meals without missing out.

Meals are not included in the stallholder fee. Catered meal packages are available for $90 (includes 6 meals). If self-catering, please bring your own esky/ice and cooking gear, as there are no kitchen facilities onsite.

TERMS & CONDITIONS – GENERAL
By submitting this application, I agree that, if accepted, my participation in the Fearless Women’s Forest Gathering 2027 (“Fearless”) is subject to these Terms & Conditions.

Event Requirements
I will arrive before 10:00am Friday 30 April 2027 and remain onsite until the closing ceremony concludes at approximately 3:00pm Sunday 2 May 2027. I may arrive from 3:00pm Thursday 29 April.

I agree to reasonably assist with promoting Fearless, including sharing and tagging official event content.

Fearless is an 18+ women-only event, inclusive of people who identify as female.

Acceptance applies only to the successful applicant and cannot be transferred without approval.

The organisers may refuse entry or require a person to leave where reasonably necessary for safety, wellbeing, breach of these Terms & Conditions, or the proper operation of the event.

Code of Conduct
Fearless is alcohol-free, illicit drug-free and psychedelic plant medicine-free.

Anyone under the influence of these substances, or behaving in an unsafe, disruptive, discriminatory, disrespectful or inappropriate manner, may be required to leave.

I will respect all participants, facilitators, stallholders, therapists, staff and volunteers and will not engage in harassment, bullying, discrimination, intimidation, exclusion, gossip or verbal, emotional, sexual or physical misconduct.

In line with our core value of embracing diversity and inclusivity, the Fearless Women’s Forest Gathering is an event where ALL women are welcome — this includes women and people who identify as female. Anyone who cannot respect this and causes disruption will be asked to leave.

Risk Warning & Acknowledgement
I understand that Fearless takes place on a rural property and includes recreational, physical, creative and wellbeing activities. Risks may include uneven ground, weather, wildlife, fire, water, physical activity and participation in workshops.

I voluntarily participate and accept the inherent and reasonably foreseeable risks associated with the event and its activities.

To the maximum extent permitted by law, I release the organisers, Harmony Retreat Meelon, its owners, staff and volunteers from liability arising from my participation in recreational activities, including where permitted under the Civil Liability Act 2002 (WA) and Competition and Consumer Act 2010 (Cth).

Nothing in these Terms excludes liability that cannot lawfully be excluded, including applicable rights under the Australian Consumer Law.

Health & Emergencies
I am responsible for determining whether I am physically and emotionally able to participate safely and will disclose relevant health, accessibility or safety information reasonably required by the organisers.

In an emergency, I authorise the organisers to seek or arrange medical assistance if reasonably necessary. I am responsible for ambulance, medical and associated costs incurred on my behalf.

Cancellation & Refunds
If I cancel more than 4 weeks before the event, I will receive a refund less a 30% administration fee.

Cancellations within 4 weeks, no-shows and early departures are non-refundable.

If the organisers cancel the event, refunds will be provided in accordance with applicable law.

If cancellation or postponement results from circumstances outside the organisers’ reasonable control, including extreme weather, government restrictions, natural disaster, emergency or similar events, the organisers may postpone the event or provide refunds or credits, less reasonable unrecoverable costs where permitted by law.

Nothing in this policy excludes any rights or remedies available under the Australian Consumer Law.

Media Consent
I consent to being photographed, filmed and recorded during Fearless by authorised photographers, videographers and event personnel.

I give the organisers permission to edit and use this material, including my image, likeness and voice, for Fearless and Harmony Retreat Meelon promotional, advertising, social media, website, print and documentary purposes.

I waive any right to inspect or approve the final material before publication.

Promotional Image & AI Editing Consent
I give permission for any photograph or image I provide with my application to be used to promote Fearless and Harmony Retreat Meelon.

I understand that my image may be cropped, resized, enhanced, have its background changed or removed, or be reasonably digitally altered, including using artificial intelligence (AI), to create consistency in promotional materials.

AI or digital editing will not intentionally be used to materially misrepresent my appearance or identity.

I confirm that I have permission from any photographer or copyright holder for the image to be used for these purposes.

Final Acknowledgement
By submitting this application, I confirm that I have read, understood and agree to these Terms & Conditions.

In the event that your application is not successful, we will refund you the $30 application fee. Please supply your bank account details.
