  • Thank you for your interest in volunteering for Arctic Encounter 2026, happening at the Dena’ina Civic and Convention Center April 15-17, 2026 in Anchorage, Alaska.

    Volunteering for one-half day (~4 hours) provides volunteers with free registration for that day, including access to all plenary/breakout sessions and meals (if not scheduled during the volunteer shift time). This does not include evening events.

  • AES Merchandise Booth

    These individuals will assist with selling event merchandise to attendees during the summit. A digital point-of-sale will be provided for electronic payments.

  • Breakout Session Room Monitor

    These individuals will assist with setting and prepping the breakout session rooms prior to each presentation. During the session, the room monitor will sit in the back of the room and alert the event staff team of any needs during the presentation (audio/video support, room volume, lighting, seating, etc.). They will also support the breakout session speakers with any in-room requests.

  • Coat Check

    These individuals will assist in collecting and tagging personal items from attendees upon arrival. During the event, they will manage and maintain the coat check area (located on the ground level near registration) and distribute items back to attendees at the end of each day.

  • VIP Denali Lounge

    These individuals will assist with checking credentials and welcoming VIP guests into the Denali Lounge. During the event, they will maintain the room, reset linens and furniture, clear any small trash, and alert the event staff team of any in-room needs (water/coffee, additional seating, volume control, etc.).

  • Hold Harmless Agreement

    I understand that my participation and/or involvement in being onsite for or assisting in any Toast of the Town, LLC event carries with it the potential for certain risks, some of which may not be reasonably foreseeable.

    I further acknowledge that these risks could cause me, or others around me, harm, including, but not limited to, bodily injury, damage to property, emotional distress, or death.

    I am a willing participant in my involvement with any Toast of the Town, LLC events that I am onsite for and or assisting with.

    By signing this agreement, I agree to release, indemnify, and hold harmless Toast of the Town, LLC, as well as all their contractors, or employees, agents, representatives, successors, etc. from all losses, claims, theft, demands, liabilities, causes of action, or expenses, known or unknown, arising out of my participation/ attendance associated with any Toast of the Town, LLC event.

  • Code of Conduct

    Respect: We expect all volunteers to treat each other, participants, guests, and the general public with respect and kindness at all times. Please refrain from any behavior that could be deemed as discriminatory, intimidating, or disrespectful.

    Safety: Your safety and that of our guests is paramount. Please follow all safety guidelines and procedures provided during the event and at all venues. In case of an emergency, please contact a staff member, a venue employee, or immediately or call 911.

    Confidentiality: We respect the privacy of our clients and expect all volunteers and contractors to maintain confidentiality and protect sensitive information. Please do not share any information regarding our guests, speakers, sponsors, participants, staff, etc. outside of the organization.

    Attendance and Punctuality: We rely on your attendance and punctuality to ensure the smooth running of our events and programs. If you are unable to attend a scheduled shift or event, please notify us in advance.

    Professionalism: We ask that all volunteers and contractors represent our organization in a professional and ethical manner. Please refrain from engaging in any conduct that could reflect negatively on the organization. We expect our volunteers to dress professionally, speak without profanity in public spaces or on the job, and other professional standards expected in any workplace.

    Engagement with Guests: Arctic Encounter contractors and volunteers must engage with guests in a strictly professional manner while attending the events. This includes pre-existing relationships that pre-date your work at Arctic Encounter.

    Engagement with VIPs: Please be aware of private conversations taking place between VIP guests and participants. Provide space and privacy for those guests and/or meetings. Please be respectful of VIP guests and their time and limit your dialogue to an appropriate length of time due to their busy schedules and networking demands.

    Alcohol and Drugs: We do not permit the use of alcohol or drugs during volunteering shifts or events. In certain instances, Arctic Encounter volunteers and contractors over the age of 21 may drink alcohol, but only if their work duties at the event including alcohol are limited or completed. In every case, alcohol consumption should be limited and professional behavior at all times is expected.

    Use of Resources: We expect all volunteers and contractors to use our resources, equipment, and facilities responsibly and to report any damages or malfunctions immediately.

    Media: Arctic Encounter volunteers and contractors are prohibited from speaking with or interviewing with the media at any time unless specifically approved by the AE Leadership.

    Social Media Posts: Please refrain from posting any profane or inappropriate social media posts during your time supporting Arctic Encounter. Do not comment on or post on behalf of Arctic Encounter, or as a member of the larger Arctic Encounter team, in any ways that might be viewed as accusatory, overtly politically charged, or inappropriate.

    Compliance with Laws: We expect all volunteers to comply with all applicable laws and regulations in the State of Alaska and/or the location of the event production.
