Vendor Contract Agreement
This Vendor Contract Agreement (“Agreement”) is entered into between ICNA Eid Fest and the undersigned Vendor (“Vendor”) for participation in Eid Fest (the “Event”) to be held at DuPage County Fairgrounds, 2015 Manchester Rd, Wheaton, IL. This Agreement constitutes the entire understanding between the parties and governs all policies, requirements, obligations, and terms applicable to Vendor’s participation in the Event, including but not limited to operational procedures, compliance standards, and commercial terms.
Vendor Terms & Conditions
By executing this Agreement for Eid Fest, Vendor acknowledges and agrees to the following terms:
1. Compliance
Adhere to all local/state laws, health codes, as well as ALL directions from the EidFest Staff.
2. Booth Operations
Vendor is solely responsible for setup, transactions, cleanliness, breakdow, and safety during event hours.
3. Booth Assignment
By utilizing this online form vendors are able to complete the booth purchase process and request booth placement. While in most scenarios requests will be fulfilled to the requested location, in order to ensure proper crowd control, spacing, and to remain in compliance with safety guidelines, ICNA Eid Fest reserves the right to reassign locations/booth positions without prior notice.
4. Event Hours & Sales
Friday, June 20: 4:00 PM – 10:00 PM
Saturday, June 21: 2:00 PM – 11:00 PM
Sunday, June 22: 2:00 PM – 10:00 PM; teardown must be completed by midnight
5. Overnight Storage
Vendors are responsible for properly covering and securing all items at their booths overnight. While security staff will be on duty, any losses or damages are the sole responsibility of the vendor.
6. Product Standards
All items must be as represented and bazaar vendors are PROHIBITED from selling any consumables (including food, beverages, and prepackaged snacks/candy).
7. Force Majeure
ICNA Eid Fest shall not be held liable for failure to perform its obligations due to circumstances beyond its reasonable control, including but not limited to:
- Severe weather or natural disasters
- Acts of God (e.g., floods, earthquakes)
- Government mandates or emergencies
- Utility or infrastructure failures
- Pandemics or public health crises
- Civil unrest or terrorism
In such cases, ICNA Eid Fest reserves the right to modify, postpone, or cancel the event without penalty.
8. Media Release & Promotional Rights
Vendor hereby grants ICNA Eid Fest irrevocable, royalty-free rights to use, reproduce, and distribute the Vendor’s name, logo, promotional materials, and event-related content (including photographs/videos) for ICNA’s promotional, archival, and marketing purposes across all media platforms.
9. Indemnification
Vendor agrees to indemnify ICNA Eid Fest against all claims arising from their operations.
Bazaar Vendor Rules and Regulations:
Regulations:
- Booth is not reserved until payment has been received.
- Electricity is NOT provided (unless purchased in advance)
- All payments must be paid upon registration. Failure to pay will result in forfeit of chosen spot.
- The sale and use of smoking devices including electronic cigarettes are strictly prohibited during the event.
- ICNA is not liable for products sold by vendors, all liabilities are the vendors sole responsibility.
- ICNA is not liable for vendors products/merchandise
- ICNA is not liable for any weather related issues and circumstance that may arise. All payments are non-refundable.
- ICNA is not liable for any lost/damaged/stolen merchendise/equipment.
- Vendors must respect boundaries set by EidFest staff and be courteous and mindful of their neighbors.
- Booth vendors may not extend outside of the designated boundary. Failure to comply with staff directives may result in booth closure
- NO FOOD OR DRINKS ARE ALLOWED TO BE SOLD BY BAZAAR VENDORS.
- FAILURE TO ABIDE TO ANY RULES WILL RESULT IN IMMEDIATE AND PERMANENT SHUTDOWN WITHOUT A REFUND
- VENDORS ARE NOT ALLOWED TO DRIVE ON THE GRASS. FAILURE TO ABIDE WILL RESULT IN IMMEDIATE AND PERMANENT SHUTDOWN OF BOOTH FOR THE REMAINDER OF THE EVENT. NO REFUNDS WILL BE GIVEN. DRIVER AND VENDOR WILL BE RESPONSIBLE TO ANY DAMAGES TO THE PROPERTY.
Contract Agreement
ICNA Chicago is not responsible for any negligence and Eid Fest Representatives along with any other authoritative party can shut down operations if any public safety issues occur or if any agreed up stipulations have been violated.
EidFest reserves the right to remove any vendor from the event grounds for any reason, including but not limited to disorderly conduct, disruption of the peace, or deceptive business practices. Dismissed vendors will not be permitted to collect their belongings until the conclusion of the event, when it is safe to disassemble and vacate the premises. Vendors removed for violation of the vendor agreement are not entitled to a refund.
Eid Fest Event Coordinators have the right to shut down or fine vendors who fail to comply with the listed and agreed upon rules and regulations. All registrations are subject to change until final approval by Eid Fest Representatives.
All payments are non-refundable.
