Per City Ordinance Section 205.335: Animals are prohibited at City-sponsored events, with exceptions for service animals and law enforcement.
Liability Agreement:
The undersigned shall indemnify, defend, and hold harmless the Chamber and its successors and assigns and affiliates, agents, employees, members, managers, and officers from and against any and all claims, liability, losses, causes of action, penalties, damages, expenses and judgments of any kind or nature whatsoever, including reasonable attorney's fees, for injuries or accidents to persons or property, in connection with undersigned's (or their agents, employees, affiliates, assigns, successors, members, managers, and officers) operations under this application occurring on or about the above rented vendor space.

2026 Willow Springs Bear City Fall Festival

Vendor Information & Guidelines
Thank you for your interest in participating in the 2026 Willow Springs Bear City Fall Festival! We look forward to another successful event and appreciate your cooperation in following the guidelines below.
Vendor spaces are assigned upon acceptance of your application. All spaces are 10x10 unless otherwise noted. Food vendor spaces are 10x20. Only one (1) vendor is permitted per space. Vendors are responsible for providing their own tents, tables, chairs, and display materials. All spaces are located on asphalt and are uncovered. All vendor displays, tents, merchandise, signs, racks, and accessories must remain within the boundaries of the assigned space. No portion of a set-up may extend beyond the designated 10-foot area into walkways, neighboring spaces, or streets.
Set-up may begin at 6:00 AM the day of the event and must be completed, with all vehicles removed, by 7:30 AM. Vendors must remain set up until the festival concludes at 3:00 PM and must clear their space, including trash, by 4:00 PM.
A limited number of electrical hook-ups are available for an additional fee and must be arranged in advance. Vendors must specify electrical needs on the application. Quiet generators are permitted.
All vendors are responsible for complying with applicable Missouri sales tax regulations. Please consult your tax professional with any questions. Per city ordinance, pets are not allowed at vendor sites or within the festival unless part of an approved event.
Food Vendors:
All food vendor registrations are subject to approval by Chamber staff. To be considered, food vendors must submit a completed registration form that includes a full menu, detailed dimensions of their unit (including any attachments), and the type of set-up (food truck, trailer, or tent/canopy). Approved food vendors will receive an email with a payment link upon approval. All food service must comply with Howell County Health Department regulations and may be subject to inspection.
Please note there are no refunds once applications have been accepted and spaces assigned. The festival will be held rain or shine.
