  • Please make sure you have read the Dance Live! 2027 Information Pack before registering even if you have previously participated. You can find a copy of the Information Pack here: Dance Live! 2027 Information Pack. If you have competed in Dance Live! previously, please still read it thoroughly, as some rules have changed.

    Official registration will close Monday 27th July 2026 at 5PM.

    By selecting one of these dates, you are confirming that you are happy to be flexible if required. Any updates will be shared after registration closes on Monday 27th July 2026.


    Finals take place at Portsmouth Guildhall on Tuesday 20th April 2027 - Friday 23rd April 2027 (Senior and Junior events to be confirmed after close of registration).

    Please note that performance places are offered on a first come first serve basis. Following this, we will aim to give you your first choice of performance date where possible however we are expecting a high number of registration from schools and cannot guarantee allocation of your first choice of performance date. Performance dates may also be allocated depending on numbers of participants from each school to ensure venues do not go over capacity. As dates are filled, we will offer schools the option to join a waiting list.

    Performance dates and locations are also subject to levels of registration. We must have enough schools registered to run at least two dates in each location for the event to be financially viable. If we do not have enough schools registered for a location, this location will be removed and we will offer your school the opportunity to attend at the next nearest location.

    If you are registering a Junior and a Senior school (e.g. you are an all through school) you will need to complete a form for your Junior school and a form for your Senior school. If you are a Middle School, you must enter either:

    • the Junior competition with only participants of Juniors ages
    or
    • the Senior competition with participants of Senior ages (and Junior ages if you wish).

    Middle Schools are not allowed to compete in the Junior competition with participants of Senior competition ages.

    This form should be completed by someone that has the authority to make the decision about participating on behalf of your school.

    Please note that by submitting this registration form, your school agrees to pay a non-refundable £150 deposit due within 30 days of submission. This deposit will not be refunded if your school withdraws after event dates and venues have been confirmed (approx. mid to late July).

    Our delivery of events at each venue depends on the level of registrations. Should we have to cancel an event, you will be offered a space at another venue. If you are unable to attend at the new venue offered, you will be refunded the deposit.

  • Data Sharing Agreement

  • At Dance Live! and The Guildhall Trust, we are committed to protecting yours, and your student’s, privacy, being transparent about the information we hold and how we use this information.

    We recognise that we are asking for a lot of personal data and we hope that this document explains the purpose and process for sharing and storing that information, as clearly as possible.

    For the purpose of Dance Live!, The Guildhall Trust is the Data Controller.

     

    WHAT INFORMATION DO WE COLLECT

    Dance Live! will ask for information about all students attending the event on the show days, any teachers/ school staff accompanying them, and any external supporters such as parent helpers etc.

    Student information required includes: full names, dates of births and postcodes (to be submitted in paper format on the day of your event). Gender is required, but this is anonymous (to be submitted via the app prior the event)

    Staff information required includes: full names, DBS number and DBS issue date. Gender is required, but this is anonymous (all to be submitted via the app prior to the event).

    We will also be asking for details about all students who participated in putting the piece together, even if they do not attend the show day. This may include those responsible for helping with costumes, the creation of the LED screen etc. This takes the form of an Equality, Diversity and Inclusion Monitoring Form and asks details anonymously about students such as ethnicity, disability, pupil premium eligibility (to be submitted in paper format on the day of your event).

    The contact details provided in the forms in this app are used to contact you to confirm form submissions have been received and alert you to any potential form errors. These contact details will only be used to notify you about your school's participation in Dance Live! by members of the Dance Live! Team and will not be given to third parties. 

     

    WHAT DO WE USE YOUR INFORMATION FOR

    We collect information and data for a couple of reasons:

    To fulfil our Child Licencing Agreement

    In order for us to run Dance Live! we are under a Body of Persons Approval (BOPA) granted to us by the local authorities in which Dance Live! is taking place.

    A BOPA means that we do not need to obtain individual child licences for each student attending. However, we will still need to demonstrate that clear, robust and well embedded safeguarding policies and arrangements are in place to protect children and young people participating in the events.

    The information that we ask for is compulsory for us to obtain a BOPA from the local authority.

    To ensure equality and diversity within the events

    The anonymous, optional information shared through the Equality, Diversity and Inclusion Monitoring Form supports our commitment to ensuring that Dance Live! is reaching young people that may struggle to access traditional dance provisions, and enables us to address any gaps in provision. We may use this optional anonymous information to create bespoke programmes or apply for funding.

     

    WHO DO WE SHARE YOUR INFORMATION WITH

    Information sent to us is shared within the immediate Dance Live! administration team. The information is not shared with wider employees of Dance Live!/ The Guildhall Trust.

    Information sent to us may be shared with the Child Employment and Licencing Teams at the Local Authority in which the venue is situated, should they request it. For example: if the event is taking place at Portsmouth Guildhall- information is shared with Portsmouth City Council’s Child Employment Licencing teams.

    We do not automatically share any information given to us to the local authority, unless they request to see it.

    The anonymous information that is shared via the Equality, Diversity and Inclusion Monitoring Form will be shared with the wider Dance Live!/ The Guildhall Trust team, including Trustees. This information may also be used in future presentations and marketing information, to demonstrate our audience development activities or promote the event to interested schools. This information may also be used in future fundraising endeavours e.g. grant or sponsorship applications. It will remain anonymous at all times, and will not be linked to a school, but rather generalised as whole statistics.

    We will not transfer, process or store your data anywhere that is outside of the European Economic Area.

    We may need to disclose details if required to the Police, regulatory bodies or legal advisors.

    We do not sell personal information to third parties for any purpose.

     

    HOW DO WE KEEP YOUR INFORMATION SAFE AND SECURE

    Personal data will be held and processed on The Guildhall Trust’s systems, or systems managed by suppliers on behalf of the Trust.

    Data is always held securely, with access to personal information strictly controlled to only those who need it to do their job. Sensitive personal data has additional controls and is only made visible to those who have reason to work with it.

    When personal data is shared with the relevant local authority body, it is shared using password encrypted files, with passwords sent separately to ensure security.

    We are required to keep personal details on file for 6 months after the performance date, as we could be required to produce this information to the local authority at any point up to that time. Once 6 months has lapsed, the information will be removed from its stored location on files and emails.

  • School Details

    Please be as accurate as possible with contact addresses and numbers as we will be using these details to contact you throughout the year. Please note, if you are registering a Junior and a Senior school (e.g. you are an all through school) you will need to complete a form for your Junior school and a form for your Senior school.

  • Student Numbers

    Each school can bring between 20 performers (minimum (this can be lower than 20 but please contact the Dance Live! Team to discuss your entry further before completing this form.)) and 100 performers (maximum) with up to 20 stage crew.  Please note that there is a participation fee of £16.50 per participant attending the event on the day, with a minimum of 20 participants. If a school brings less than 20 participants they will be charged £340. Participation fees must be paid by Friday 16th January 2026 and participant numbers can change up until this point. The information provided below allows us to allocate dates and dressing rooms to our venue's capacities. Please note, we understand that these numbers are likely to change later in the school year.

    Please select dates at all the venues your school is able to travel to for a Dance Live! Heat event. Please only select dates that are applicable to your School age group (e.g. SENIOR or JUNIOR). We will aim to give you your first choice of performance date where possible however we are expecting a high number of registration from schools and cannot guarantee allocation of your first choice of performance date. Performance dates may also be allocated depending on numbers of participants from each school to ensure venues do not go over capacity. For venues with more than one date available, please ensure you have selected the maximum number of preferences.

    We ask each school to provide us with details of any participant or staff access needs in Autumn term to help us allocate appropriate dressing room spaces and event formats. If your school is an Special Education Needs school, a member of the team will be in touch in the weeks following registration submission with our venue-specific access details and an offer of any additional support.

  • For 2027 events, we will be running our 'Buddy Scheme' again. We will be pairing up schools to share knowledge and experience around all things Dance Live! such as: choreography tips, admin requirements and screen content skill-sharing. This is for new schools who would like additional support for their first year. We are therefore looking for returning schools/tecahers who are happy to offer their help and support for the 2027 school year as a 'Lead Buddy'.

  • Dance Live! 2026 REFER A FRIEND SCHEME

    Both you and the school who referred you will receive 10 free participant places each for Dance Live! 2027. Please note: To qualify for this scheme, both schools must list each other on their registration forms as the referring school. Discounts will only be applied once this has been confirmed on both submissions, so we recommend ensuring this is agreed in advance. A minimum of 20 participants per school applies. If registering with fewer than 20 participants, a £340 minimum fee will apply. For schools using the Refer A Friend scheme: Under 20 participants: the discount will be applied to the £340 minimum fee (£160 payable)20 or more participants: the discount will be applied to the total participant fee

  • Code of Conduct

    Participants:

    1.    Respect for self and others: Participants must conduct themselves with dignity and respect towards themselves and others at all times. Any form of bullying, harassment, or discrimination is strictly prohibited.

    2.    Appropriate attire: Participants must wear appropriate dance attire that is suitable for the event. Clothing that is revealing, offensive or inappropriate for a family-friendly event is not permitted. Participants must be wearing nude-coloured or black base-clothing while performing quick-changes at the side of the stage.

    3.    Punctuality: Participants must arrive at the event on time and be ready to perform. Latecomers will not be allowed to perform, and the organizers will not be responsible for any missed opportunities.

    4.    Safety: Participants must follow all safety guidelines provided by the organizers, including but not limited to, warming up before the performance, wearing appropriate footwear, and avoiding dangerous dance moves.

    5.    Good sportsmanship: Participants must exhibit good sportsmanship, both on and off the stage. This includes congratulating other participants and accepting the judges' decisions gracefully.

    Teachers/Chaperones:

    1.    Professionalism: Teachers must conduct themselves with professionalism and act as role models for their students. They must also exhibit fairness, objectivity, and impartiality in all aspects of the event. During rehearsals throughout the year, we encourage teachers to develop resilience in their students and prepare them for the possibility that they may not win in order to help enable their students’ good sportsmanship at their event day.

    2.    Appropriate behaviour: Teachers must conduct themselves appropriately at all times during the event. Any form of disruptive or inappropriate behaviour will not be tolerated.

    3.    Safety: Teachers must ensure that their students follow all safety guidelines provided by the organizers, including but not limited to, warming up before the performance, wearing appropriate footwear, and avoiding dangerous dance moves.

    4.    Respect for other participants, teachers, Dance Live! Staff and Venue Staff: Teachers must show respect for other participants, teachers, Dance Live! Staff and Venue Staff. Any form of rudeness, bullying, harassment, or discrimination will not be tolerated. This includes but is not limited to: eye-rolling when being given clear instructions; pretending to a Dance Live! staff member that you haven’t been given an instruction by another member of Dance Live! staff previously that day; expecting priority treatment on your event day over other schools; negative comments about other schools/participants etc.

    5. Alcohol Consumption: Teachers and Chaperones must not consume alcohol while in attendance at a Dance Live! event. Any teachers or chaperones who are found in possession of alcohol will be asked to leave the venue and their school’s participants will be sent home.

    6. Adherence to rules: Teachers must adhere to all rules and guidelines set forth by the organizers. This includes submitting all necessary paperwork, payments and videos by the deadlines stated.

     

    Parents:

    1. Support and encouragement: Parents must support and encourage their children in their dance performance. They should refrain from placing undue pressure on their children to perform at a certain level or to win.

    2. Appropriate behaviour: Parents must conduct themselves appropriately at all times during the event. Any form of disruptive or inappropriate behaviour will not be tolerated, this includes shouting children’s names and making inappropriate comments during the performances.

    3. Respect for other participants: Parents must show respect for other participants and their families. Any form of bullying, harassment, or discrimination will not be tolerated.

    4. Alcohol Consumption: While parents are able to purchase and consume alcohol at Dance Live! performances, they must be mindful of their behaviour and their ability to make their own way home post-event safely and legally. Any parents whose behaviour is becoming inappropriate due to their alcohol consumption will be asked to leave the venue.

    5.Adherence to rules: Parents must adhere to all rules and guidelines set forth by the organizers. This includes refraining from taking pictures or videos during the performance, and any shouting during the performance.

     

    Resilience

    Resilience: ‘the ability to be happy or successful again after difficulties… It is also the ability to adapt to challenging situations without feeling like it's all too much for you. It means using difficult situations to grow and improve.’ (British Council)

    Dance Live! encourages the development of resilience in our participants in both Junior and Senior categories. We aim to do this through providing and signposting to resources to use in schools in rehearsals and classrooms. We also aim to avoid the promotion of negative-competitive behaviour at our events through our above code of conduct and school support on all things Dance Live!-related throughout the year.

    Dance Live! does not release information around the placings of any schools other than those who won awards on the night of their event. This is to avoid promoting negative-competitive behaviour amongst our participants, teachers and parents along with our ethos of promoting creative careers, problem-solving and creative thinking skills. While we are keen to offer and further discuss judges’ feedback to all schools, we will not release overall scores and placements – exactly the same as a job interview!  

    We would like to remind all participants, teachers and parents that dance is a subjective artform and sport. Dance Live! and The Guildhall Trust do not expect all participants, teachers and parents to agree with our judges’ decisions and event placings (sometimes our judges do not even agree with each other!) however all participants, teachers and parents should agree upon entering this competition that all our participants hold equal worth and deserve their moment on the big stage.  

     

     
    Behaviour
    During heats events, we have noticed a rise in negative behaviour towards other schools during awards ceremonies. We recognise, off of the back of this, that the points deduction system we had in place in previous years for breaching the code of conduct, was open to a lot of interpretation, is not immediately enforceable during/after award ceremonies, and was not clear, therefore we have given a lot of consideration as to how we can put something clearer in place that schools can understand. Moving forward, we are introducing a card system for Dance Live!. Schools will receive a formal warning for any misconduct or inappropriate behaviour, followed by a yellow card if the issue persists. If there is a further breach of conduct, that school will not place for the evening and will be banned from participating in the event the following year. If we are made aware of negative behaviour during/after the awards ceremony, will still be enforced.

  • For Dance Live! 2027 events, communication relevant to all schools will be via email with reminder push notifications through the Dance Live! Teacher Site/App. Communication with your school as an individual will be via email. Documents, videos and forms will be stored and accessible via the Dance Live! Teacher Site/App.

    Any late submissions, amendments or resubmissions to documents, forms or uploads may incur a £10 administration fee per change once originally submitted, and that it is the school’s responsibility to ensure all information provided is accurate and final at the point of submission.

  • Please note that the signatures of the Lead Teacher, Lead Finance Contact and Head Teacher must be completed by the named individuals only. Signatures completed on behalf of another person, copied, falsified or otherwise forged will result in the registration being deemed invalid.

    As this registration forms part of a legally binding agreement between Dance Live!, The Guildhall Trust and your school, any false or unauthorised signatures may result in the withdrawal of your school’s registration and participation in the event.
