    We need to know if your child requires any special or restricted diet while attending camp.

    • If this is for medical reasons (such as anaphylaxis, food allergies, eczema, or other diagnosed conditions), please provide full details, including any relevant treatment or management plans. It is essential that our kitchen staff are aware of all serious food allergies and the appropriate steps to take in the event of a reaction.
    • This information helps us ensure the safety and wellbeing of all campers.
    • Please note that we are unable to cater for dietary requirements based on lifestyle preferences where this requires separate meal preparation.

  • Dietary Requirements Surcharge

    • To help cover the additional cost and preparation involved in providing special dietary meals (such as coeliac, gluten-free, or dairy-free), a surcharge of approximately $25.00 may apply.
    • This surcharge may be waived if caregivers are able to provide suitable food or meals for the camper.
    • In some cases, additional camp fee credit may also be available for families supplying larger quantities of food for specialised diets.
    • CYC can provide a weekly menu plan to help caregivers prepare similar meals, allowing campers to feel more comfortable and included during camp.

    Here are some examples of health notes:

    Bed Wetting

    • John wets the bed on a occasional basis 
    • Its a good idea to put John on a bottom bunk and a leader chat with him each morning to see if he needs a shower/change 

    ADHD 

    • John has been diagnosed with ADHD 
    • A leader can help explain instructions during activities, John needs to be kep busy so it won't be an issue.
    • Medication should be given at the prescribed times and dosages to keep the ADHD in check.
    • Please try to keep John away from other children with ADHD as he can be wound up by them and will possibly wind them up as well

  • Will the camper require any medication during camp? This includes supplements, EpiPens and inhalers*

  • BEHAVIOURAL INFORMATION

  • Notification of Camper Background / Potential Struggles

    • It is very important that our camp staff have a comprehensive understanding of each camper's background. We use this information to ensure suitable leadership and an appropriate response to certain issues.
    • This information is kept confidential and will only be shared with necessary leadership.
  • Examples of a Behavioural Information List:

    Bullying:

    • John can sometimes bully other children.
    • This relates to him being bullied as a younger child by older siblings.
    • A clear reminder at the start of camp from leaders or the camp director about expectations around respectful behaviour would help John understand that bullying is not tolerated.
    • A phone call to parents at the end of Day 1 may be used if needed to ensure consistency of support.

    Struggles at home:

    • Amy’s parents have recently separated, and she is struggling with this change. She may be more prone to emotional responses or acting out as a result.

    Inattention:

    • John can sometimes struggle to focus during group instructions. Support such as a leader being nearby to help reinforce instructions may be beneficial.

    Family Discount

  • Family Discount

    We offer a 10% discount on camp fees for siblings from the same family attending CYC Waihola camps during the same holiday period.

    To qualify:

    • Siblings must live at the same address
    • All campers must attend within the same holiday period
    • Enrolments must be submitted back-to-back to confirm sibling registration

    This helps us accurately apply your family discount.

  • Alternative Subsidies

  • There are several camp fee subsidies options available:

    • Work and Income OSCAR subsidies for those that qualify
    • Ministry of Health Carer Support for those that qualify
    • CYC Waihola Sponsorship fund for all low to medium income families that don't qualify for OSCAR or Ministry of Health assistance.

  • Important Information for OSCAR Subsidies

    • Please apply for OSCAR subsidies by calling Work and Income on 0800 559 009 to arrange an OSCAR form to be sent to you and ask for the form request to be put on recordComplete the form (the CYC Waihola office must complete Section C of the form for you).
    • Return it to Work and Income before camp starts.
    • OSCAR Child-care subsidies are applied based on family income and work/study hours and may not cover full camp fees. The balance of any unpaid camp fees will need to be paid by you.

    MSD also has an online tool to help families see what might be available to them in the way of financial assistance (including OSCAR subsidies) please visit https://check.msd.govt.nz/ to see if you might qualify for OSCAR subsidies for our camps. Ensure you select yes for the "Do you or your partner pay, or intend to pay, for this child to go to an OSCAR programme, for at least 3 hours a week?" question for each child you are intending to enrol.

  • Important Information for MoH Carer Support

    • CYC Waihola is a recognised Carer under the Ministry of Health Carer support scheme. You will need to contact the Ministry of Health to arrange for the Carer support forms to be sent to you. CYC Waihola will need to complete a section of this form before carer support is paid.
    • For all other subsidies, please ring the CYC Office (03 417 7120) to talk about whether we support them or not.
  • Important Information for CYC Sponsorships

    • To apply for CYC Sponsorship for camps you must complete either online our Sponsorship Request Form or download a form from here and send it to the CYC Waihola office.
    • All sponsorship must be approved before the start of camps.
    • If you are part of a church, we also ask that you approach your church leadership for camp fee assistance, as our sponsorships are in high demand.
  • Important Information for Prison Fellowship

    • Prison Fellowship helps the children of prison inmates to attend our camps.
    • By selecting this camp fee subsidy option you elect for us to pass on the camper's name, address and caregiver details to Prison Fellowship in order to have the camp fees potentially paid for.
  • CYC Sponsorship Fund

    • CYC Waihola has a small sponsorship fund to help low income families afford to come to camp.
    • This fund is used regularly and often runs low of funds.
    • Donations to this sponsorship fund over $5 over a year are tax deductable

    • Upon successful enrolment in a camp, you will receive an invoice by email for the camp fees. Campers placed on the waiting list will not receive an invoice unless a place becomes available.
    • A non-refundable deposit is required to secure all enrolments. This deposit is typically $30, but may be up to 50% of the full camp fee for high-demand camps.
    • Credit card payments can only be made once an invoice has been issued and cannot be processed at the time of enrolment.
    • If an enrolment is cancelled more than 7 days before the camp start date, a refund of camp fees paid (excluding the non-refundable deposit) will be provided.
    • If an enrolment is cancelled less than 7 days before the camp start date, no refund will be available.

    Terms and Conditions of Attendance at CYC Waihola Camps

    We recommend you discuss these terms with your camper before attending to ensure they understand what is expected.

    General Conditions

    These terms and conditions may be updated at any time
    All enrolment information is correct to the best of my knowledge
    I understand this information is used for the safe operation of camps and for possible follow-up contact after camp
    I consent to photos and video of the camper being used for CYC Waihola promotional purposes without remuneration

    Medical and Health Conditions
    Campers cannot attend if they have had any of the following within 72 hours prior to arrival:

    • Symptoms of illness, including cold or flu-like symptoms (such as runny nose, cough, sore throat, fever, vomiting, or diarrhoea)
    • Close contact with anyone showing symptoms of illness
    • A concussion or head injury within 6 weeks of camp start date
    • A full refund will apply if CYC Waihola is notified in advance.

    Medical authorisation

    I authorise camp staff to administer basic first aid and approved medication as required
    I authorise camp staff to seek urgent medical treatment if necessary (at my cost)

    Immunisation

    We strongly recommend campers are fully immunised according to New Zealand Ministry of Health guidelines
    Immunisation is not mandatory, however families must advise CYC Waihola if the camper is not fully immunised
    A current tetanus booster is strongly recommended due to rural camp conditions

    Behavioural Conditions

    • Campers may only be contacted during camp in an emergency
    • If a camper becomes unwell, disruptive, or unable to cope, parents or caregivers will be contacted
    • Campers may be sent home at the caregiver’s expense if behaviour is unsafe, disruptive, or results in damage to property
    • No refunds will be issued in these cases, and future enrolments may be declined

    Camp Programme Conditions

    • Camp programmes include Bible-based teaching presented in an age-appropriate way to encourage positive values and personal growth
    • Prayer may be included in activities and mealtimes
    • Camp activities may include elements of risk and are managed under CYC Waihola safety procedures by trained staff
    • Activities may be modified, postponed, or cancelled at any time for safety reasons
    • Activities may include (but are not limited to) archery, air rifles, archery tag, bubble soccer, go-karts, horse riding, paintball, tramping, and zip-lining
    • I consent to the camper participating in all camp activities and travelling off-site as part of the camp programme
      Payment and Refund Terms

    A $30 non-refundable deposit is required to confirm enrolment unless otherwise arranged in writing with the CYC Waihola office (including approved subsidies). Full payment must be received before camp attendance
