Bloom Bar Rental Agreement
🌸 Polk County Social – Bloom Bar Rental Agreement
This Agreement is entered into between Polk County Social (“Vendor”) and the undersigned Client.
1. Services Provided
Vendor agrees to provide a Bloom Bar rental based on the selected package:
Bloom Bar Only
Includes cart/stand and buckets only. No flowers or decorative elements included. Client is responsible for pickup and return unless delivery is added.
Full Bloom Experience
Includes bloom bar cart, flowers, and curated setup for guest interaction. Specific details and quantities will be outlined in the booking invoice.
2. Payment Terms, Cancellations & Refunds
A non-refundable booking retainer is required to secure the event date. The retainer is applied toward the total balance.
The remaining balance (if applicable) is due no later than 7 days prior to the event.
All payments made are non-refundable. In the event of cancellation, no refunds will be issued.
Rescheduling may be offered at the discretion of Polk County Social based on availability.
A refundable security deposit (if applicable) is required and will be returned within 3–5 business days after the event, provided all items are returned in original condition.
Failure to complete payment may result in cancellation of services.
3. Security Deposit & Damages
Client agrees to return all rental items in the same condition they were received.
Missing or damaged items will be deducted from the security deposit.
If damages exceed the deposit amount, Client agrees to pay the remaining balance.
4. Setup, Breakdown & Access
Vendor will coordinate setup timing with Client or venue.
Client is responsible for ensuring Vendor has adequate access to the event space.
For pickup rentals, all items must be returned by the agreed-upon time.
5. Cancellations & Rescheduling
The retainer is non-refundable.
If Client cancels within 7 days of the event, full payment is still required.
One (1) reschedule may be accommodated based on availability.
Any additional rescheduling will require a new retainer to secure a new date.
6. Delivery & Travel Fees
Delivery is available within Polk County and surrounding areas.
Standard delivery within Polk County is $50 and includes drop-off and pickup of rental items.
Setup is included for Full Bloom Experience bookings.
Additional fees may apply for locations outside Polk County, extended travel, or difficult load-in conditions.
All delivery fees will be confirmed prior to booking and included in the invoice.
7. Late Returns (Pickup Rentals Only)
Client agrees to return all rental items at the agreed-upon time.
Late returns will incur the following fees:
$20 late fee for returns after 12:00 PM but before 5:00 PM
$30 late fee for returns after 5:00 PM
Late fees will be deducted from the security deposit or invoiced if necessary.
8. Liability
Vendor is not responsible for injuries resulting from misuse of the bloom bar setup, weather-related issues, or actions of guests during the event.
Client assumes responsibility for ensuring a safe environment.
9. Vendor Insurance
Vendor maintains general liability insurance and can provide a Certificate of Insurance (COI) upon request if required by the venue.
10. Photo & Video Release (Full Bloom Experience)
By booking the Full Bloom Experience, Client grants Polk County Social permission to capture and use photos and video content from the event for marketing and promotional purposes.
This includes use across social media, website content, advertisements, and promotional materials.
Vendor agrees to use all content in a professional and respectful manner. Individuals will not be identified by name without prior consent.
Opt-out requests must be submitted in writing at least 72 hours prior to the event date.
11. Agreement
By selecting “I agree” and signing below, Client agrees to all terms outlined in this Agreement.
