Event Guidelines/Rules:
1. All showcased items are in accordance with approved category. Any items showcased that are not within the submitted category will not be permitted to be displayed at event. TCWC reserves the right to refuse any vendor for any reason deemed necessary.
2. Shop Til You Drop will be open to the public from 11am-5pm Wednesday, October 7, 2026. Setup times will be coordinated between 8am-10:30am. There will be an available option for vendors placed in the main ballroom to setup Tuesday, October 6, 2026 from 1pm-8pm and will be scheduled individually. No vendor is permitted to breakdown their booth area prior to 5pm unless given direct permission by the TCWC Shop Til You Drop Committee.
3. Check in/Parking/Setup: All vendors will be assigned a 30 minute time slot to arrive/check-in for event. We ask that you respect this assigned time to help alleviate delays and keep event set-up smooth. Further instructions will be provided to all approved vendors.
4. Assistance with unloading/loading- the TCWC will have a team of volunteers for this event to assist all vendors with any needed unloading/loading of items. Please note that the TCWC and Holiday Inn are not responsible for any damage that may occur in the handling of anything owned by the vendor. We advise that you come prepared with any equipment necessary to expedite the process including carts, wagons, dollies, etc.
5. Electricity Access- Unless designated a booth with electric upon acceptance, you will not be permitted to plug into any outlet at the facility. Electric outlet access is based on a first come first serve basis and must be designated at time of application. There will be an additional fee of $5 for electric usage. Vendors will be responsible for providing any extension cords as needed.
6. All items or merchandise left behind at the Holiday Inn venue will be at the responsibility of the vendor and TCWC assumes no liability or risk for such items.
7. Booth Space: Your booth space will be reserved with the size selected in your application once approved. We will be unable to adjust your booth size once approved. Vendors may request one table total (based on availability) and 2 chairs for event. We will notify vendors upon approval if we are able to provide requested table as there is limited availability. Vendors may provide their own tables, displays, etc. as long as it fits within the boundaries of your assigned space. Any items that exceed your booth area will be asked to be removed. Please note- not all spaces will have a wall area and some will be free standing. If your booth requires a wall space- please notate in the above sections that asks for special requests.
8. The TCWC will be assigning booth locations based on best logictical set up. We ask that vendors respect the booth space they were assigned to.
9. The Holiday Inn provides WIFI for the premises. TCWC has no control over the WIFI capabilities. WIFI information will be provided to all vendors prior to the event.
10. Sales and Use Tax: In Texas, any individual, corporation, organization, partnership or other entity involved in selling tangible personal property is required to obtain a Texas Sales and Use permit. It is the responsibility of the vendor to collect, report and pay all applicable state and local sales tax. The TCWC is not responsible for any sales tax collection at the event.
11. Refunds will be issued for event cancellations that occur prior to 30 days from event date. THERE WILL BE NO REFUNDS ISSUED FOR ANY REASON AFTER SEPTEMBER 5, 2026, UNLESS TCWC CANCELS THE EVENT. A donation receipt will be provided to any vendor that cancels after the refundable period. Vendors are not permitted to sublet/resell their booth area.
12. Vendors are not permitted to hang any items utilizing the ceiling areas. Nails or adhesives are not permitted that may cause damage to the venue. Vendors will be liable for any damage that is incurred to the Holiday Inn.
13. Vendors have read and agreed to above rules and regulations for the 2026 TCWC Shop Til You Drop Event. Any vendor that is in violation of the above rules/regulations may be asked to vacate the event with no refund.
