These conditions are in place to ensure a safe, well-run event for everyone involved, thanks for working with us to make BushFest what it is.
SITE FEES & ALLOCATION All prices are exclusive GST. Larger sites are available; prices can be provided upon request. Highlands BushFest reserves the right to allocate space. Stalls may be located on a mixture of surfaces.
MARQUEES, EQUIPMENT & SITE REQUIREMENTS Exhibitors must supply their own marquee, structures, equipment, lighting, display equipment, tables, fixtures and fittings unless otherwise agreed in writing. Exhibitors requiring assistance with site planning, set-up requirements or equipment recommendations are encouraged to contact the BushFest Coordinator prior to the event. Event staff will endeavour to assist where possible.
INDIVIDUAL BUSINESS APPLICATIONS This application is for one business only. Co-business, shared space or joint applications will not be accepted, as each business must provide its own Public Liability Insurance. Please ensure that your application reflects a single business entity.
APPLICATION COMPLETION & ASSISTANCE All questions must be answered thoroughly. Incomplete applications will not be accepted; you can save your application at any time by clicking SAVE at the bottom of the form to return to complete once you have finalised your documentation or requirements. SET-UP, SITE ACCESS & BUMP-OUT Sites will be available for set-up from 8:00am to 5:30pm on Friday, 20 November. On event days, the site will be open to stallholders from 7:00am on Saturday, 21 November and Sunday, 22 November. All stalls must be set up, ready, and staffed by 8:45am each day. Stallholders are welcome to bump out on Sunday following event close; however, no pack-down or bump-out may commence before 3:00pm under any circumstances. All stalls, equipment, and materials must be removed from the site by 3:00pm Monday, 23 November. All stallholders and staff must wear hi-vis vests during set-up and bump-out.
ONLINE SITE INDUCTION All stallholders, staff, participants, and contractors must complete the BushFest online site induction prior to arrival. This forms part of your event entry requirements and ensures everyone understands site access, safety requirements, vehicle movements, emergency procedures, and event operations.
OPERATING HOURS
Saturday, 21 November: 9:00am – 4:00pm
Sunday, 22 November: 9:00am – 3:00pm
Stalls must remain open and staffed during operating hours.
EXHIBITOR VEHICLES & PARKING As BushFest continues to grow, the entire recreation ground is now part of the event footprint, and there is no on-site parking within the festival boundary. For everyone’s safety, there is strictly no vehicle access to the recreation ground after 8:30am each event day (Council and emergency vehicles exempt). All stallholder vehicles must be relocated before this time.
TRAFFIC MANAGEMENT, GATES & PARKING Traffic management, gate entry, and parking are managed by the Bothwell Lions Club in conjunction with Central Highlands Council staff, who play an important role in keeping BushFest safe and running smoothly. We ask that all stallholders, staff, and participants treat Lions Club volunteers with courtesy and respect at all times. They are working alongside event organisers to implement site access and safety requirements. * Please note that parking arrangements have changed for 2026. Parking is no longer located directly opposite the festival grounds, and all attendees and stallholders will be directed to designated parking areas. All directions from traffic management staff must be followed.
CAMPING Camping is not permitted within the recreation ground at any time. Information on nearby camping options is available through Central Highlands Council.
ANIMALS ON SITE To ensure a safe, clean, and consistent environment for attendees, stallholders, volunteers, and programmed displays, personal pets are not permitted within the BushFest event site. This includes dogs accompanying stallholders, staff, contractors, or participants. Exceptions apply only to registered assistance animals and approved animals participating in programmed demonstrations or live displays. This policy will be strictly enforced, and we appreciate your understanding in helping keep BushFest safe, welcoming, and enjoyable for everyone.
ELECTRICAL EQUIPMENT All electrical equipment, appliances, leads and extension cords brought onto site must be tested and tagged in accordance with current Australian Standards. Electrical leads must be installed safely and protected from pedestrian traffic using approved cable covers where required.
FIRE SAFETY Stallholders using cooking equipment, naked flames, heating devices or similar equipment must provide and maintain an appropriate fire extinguisher in an accessible location at all times. Additional fire safety requirements may be imposed by event management where necessary.
BIOSECURITY & LIVESTOCK MOVEMENT BushFest operates in line with Tasmanian biosecurity requirements. A Property Identification Code (PIC) has been secured for the Recreation Ground to enable the compliant movement of livestock and animals onto and off site. All stallholders or participants bringing animals must ensure they meet all relevant biosecurity and movement requirements.
MEAT & FOOD COMPLIANCE All stallholders handling, preparing, or serving food must comply with relevant food safety and public health regulations. Where meat is used as part of a demonstration or for consumption (including wild game), it must be handled, stored, and prepared in accordance with food safety standards, including appropriate temperature control and hygiene practices. Any meat intended for public consumption must come from an approved and compliant source and stamped accordingly. Additional requirements may apply for wild game or field-harvested products, and prior approval from the BushFest Coordinator is required.
RESPONSIBLE SERVICE OF ALCOHOL (RSA) All stallholders serving alcohol must hold a valid RSA certification. A physical copy of the RSA certificate must be available on site at all times and may be requested for inspection.
MEDIA Media coverage forms an important part of BushFest. Stallholders may be approached for interviews, and your cooperation is appreciated. This promotion benefits both the event and your site.
PHOTOGRAPHY AND VIDEO We may capture photographs and video at this event for use across our website, social media, and promotional materials. If you or anyone in your care do not wish to be photographed or filmed, please let a member of our team know.
STALLHOLDER SUPPORT Stallholder support during the event is available at the Central Highlands Council Information Tent.
INCIDENT REPORTS The safety of all attendees, participants, volunteers and staff is a priority at Highlands BushFest. Any incident, accident, injury, near miss, property damage, safety concern or behavioural issue occurring during bump-in, event operations or bump-out must be reported immediately to Central Highlands Council event staff. An Incident Report Form is available on site and must be completed as soon as practicable following the incident. Prompt reporting assists Council to respond appropriately, meet its safety obligations and help prevent similar incidents from occurring.
KNIVES, AXES & BLADED TOOLS Stallholders selling knives, axes or other bladed tools must comply with all applicable legislation relating to the sale of such items. To support a safe and family-friendly environment, stallholders are encouraged to retain purchased items until customers are ready to leave the event site.
NIGHT SECURITY The venue will be locked, and secured after the event closes each day. A night security service will patrol the venue between 4:00pm and 8:00am. BushFest and Central Highlands Council do not carry insurance for theft, loss, or damage on behalf of exhibitors. Stallholders should arrange their own insurance if required.
SITE CLEANLINESS Exhibitors are responsible for maintaining their site in a clean, safe and orderly condition throughout the event. All waste, equipment and materials must be removed from the site at the conclusion of the event. Central Highlands Council reserves the right to recover costs associated with excessive site cleaning or waste removal.
BANKING The Council tent may be able to provide limited change; however, stallholders should bring a sufficient float, as change cannot be guaranteed. An ATM and cash-out facility are available in the Bothwell town centre.
PAYMENT FACILITIES BushFest does not provide EFTPOS or credit card facilities. Stallholders wishing to use card facilities must arrange these at their own expense.
WIFI Mobile coverage in Bothwell is generally good; however, coverage and speed can vary depending on network and demand.
STORAGE & LIFTING FACILITIES BushFest does not provide storage or lifting facilities. Stallholders are responsible for their own equipment, storage, transport, and handling requirements.
PRIVACY Exhibitors are advised that their name, trading name, location, and contact details may be included in the BushFest program and on the Central Highlands Council website. If you do not wish for this information to be published, please notify Central Highlands Council in writing. In this case, only your trading name will be advertised.
APPLICATION REQUIREMENTS All questions in the application form must be answered completely. Incomplete applications will not be accepted.
WORKING EXHIBITS & LIVE DISPLAYS Working exhibits and live displays are a key part of the BushFest experience. Designated areas are allocated for these activities, which add atmosphere, depth, and hands-on appeal to the event. All working exhibits and live displays must be approved by the BushFest Coordinator and operated in line with site safety requirements.
