  • SPONSORSHIP PROGRAM INFO & POLICIES

  • Thank you for partnering with Hearts & Hope for Uganda! Your commitment provides more than just an education; it offers a future. Please review the following policies that govern our sponsorship program to ensure clarity and transparency for both our sponsors and the students we serve.
  • 1. Continuity of Sponsorship

  • To provide stable, uninterrupted education for our students, sponsorship is considered continuous. Your commitment will automatically renew each month or year unless you explicitly contact Hearts & Hope to request a cancellation or change in your support. This policy ensures that a student's schooling is never jeopardized by administrative lapses.
  • 2. Rate Adjustments & Grade Progression

  • The cost of education in Uganda increases as a student advances, particularly when moving from Primary to Secondary or Vocational schools. These increases cover higher tuition fees, boarding requirements, national examination fees, and specialized supplies.
  • Adjustment Rights: HH4U reserves the right to increase your monthly or annual sponsorship price to correspond with the grade level your student enters.
  • Notification: Sponsors will be notified of upcoming rate changes prior to the start of the new academic term.
  • 3. Changes in Student Status

  • If a student leaves the program (e.g., relocation, family circumstances, or academic withdrawal), HH4U will notify you as soon as possible.
  • In these instances:
    • Your sponsorship contribution will be redirected to support another student in immediate need.
    • You will receive information regarding the new student and have the option to continue your sponsorship with them, end your sponsorship, or explore other ways to support the mission.
  • 4. Post-Graduation Policy

  • When a student successfully completes their Secondary or Vocational program, your formal sponsorship of that specific individual concludes. Following graduation, we will contact you with opportunities to support a new student entering the program, allowing your impact to reach the next generation of learners.
  • 5. Marketing & Communication Consent

  • By sponsoring, you consent to receive marketing and update emails from HH4U. We use these to share success stories, important news and updates, and upcoming events. You may opt out at any time, but please note that some communications are essential for your sponsorship management.

  • 6. Communication Guidelines & Social Media

  • The safety and privacy of our students are our highest priorities. We facilitate all communication through our structured letter-writing and packet programs. Direct communication with students via social media (Facebook, Instagram, WhatsApp, etc.) is strictly prohibited.
  • Why? Direct, unmonitored contact can lead to privacy risks for both the sponsor and the student. It can also create unhealthy expectations or requests for financial assistance outside of the program's oversight.
  • Please report any direct contact requests from students or their family members to HH4U staff immediately so we can handle the situation through our local Ugandan leadership.
  • 7. Correspondence & Packet Expectations

  • Personal connection is a cornerstone of our program. Twice a year, in February and June, we facilitate "Sponsor Packets" that are hand-delivered to the students in Uganda.
  • Deadlines: You will be notified of deadlines for these packets via multiple emails. Guidelines: We request that packets follow specific size and weight guidelines (usually a 6x9 package, 8oz or under) to ensure fairness, efficient international transport, and local delivery.
  • 8. Sending Gifts & Electronics

  • While we encourage sending small gifts in the "Sponsor Packets," please adhere to the following restrictions for Uganda:
    • No Direct Shipping: Do not ship items yourself. International delivery is unreliable, expensive, and often incurs customs fees that local families cannot pay.
    • No High-Value Electronics: We cannot transport laptops or mobile phones.
    • Security & Equity: Large gifts can create jealousy or safety risks for the student within their community.
    • Infrastructure: Most students lack the reliable electricity and secure storage required for electronics.
    • Higher Education Exceptions: Once a student reaches upper secondary, university, or vocational school, a laptop may be permitted. This requires strict coordination with our Ugandan staff to ensure safe delivery and storage.
  • 9. Traveling to Uganda & Meeting Your Student

  • Meeting your sponsored student in person is a life-changing experience, and we do facilitate these opportunities! However, for the safety of the children and the integrity of the program, unannounced or independent visits are not permitted.
  • Mission Trips: The best way to meet your student is by joining an official Hearts & Hope mission trip. These trips are structured to include community visits and dedicated time for sponsor-student meetings.
  • Should be Empty:
