    Review Process

    Submitting this application begins our review process — it does not guarantee or confirm your acceptance into the event. Applications are reviewed and approved before space is assigned.

    If accepted, you will receive an online invoice. Payment must be completed by the due date listed on the invoice to secure your vendor space. Failure to pay by the deadline may result in cancellation and forfeiture of your reservation.

    Exhibitor Booth Discounts:

    • 50% discount - CIDBIA ratepayer businesses 
    • 20% discount - Non-profit organizations 
    • If your business qualifies for both, only the higher discount will be applied.

    It is REQUIRED by the City of Seattle to have a Seattle Business License as a vendor. If you do not have a Seattle Business License, you must request a Tradeshow License for $10 from us.

  • Insurance Requirements

    All vendors must hold a General Liability insurance policy with limits of at least $1,000,000 per person and $2,000,000 per occurrence. Certificate must name: Chinatown-International District Business Improvement Area (CIDBIA), as additionally insured parties for the date of the event. Please upload an electronic copy of the proof of insurance below. If you do not have insurance, we can provide it for you for an additional fee.

  • Are you using a tent or canopy?*
  • Is your tent flame-resistant (fire-rated)?
  • How will your tent be secured?
  • Will you use propane?
  • Will you use open flame or cooking equipment?
  • Fire extinguisher ratings. A is for ordinary combustibles. B is for flammable liquids. C is for live electrical equipment. D is for combustible metal. and K is for commercial cooking equipment.

  • Rental Needs

    Vendors are responsible for providing their own canopies, equipment, and signage. If desired, canopies, tables, and chairs can be rented below.

    Businesses that are (1) located in the CID AND (2) are CIDBIA ratepayers receive a special discount. Thank you for being an essential part of our neighborhood!

  • CIDBIA Ratepayer boundaries include:

    North - S Washington St between 5th Ave S and 6th Ave S, and Yesler Way between 6th Ave S and east margin of I-5

    East - East boundary of I-5

    South - S Dearborn St between I-5 and 6th Ave S

    West - Airport Way S between S Dearborn St and 4th Ave S; 4th Ave S between Airport Way and S Washington St; and 6th Ave S between S Washington St and Yesler Way

    Reference the map below. To receive the CIDBIA ratepayer discount, your business MUST be located within these boundaries. If your business lies within the boundaries, please ensure you are up to date with your Assesment Dues.

  • Agreement & Approval

    Please read thru the entire Agreement below to ensure you understand and do not miss anything. Contact events@cidbia.org with any questions or concerns.
  • By participating, you acknowledge:

    • Approval & Payment: Applications are reviewed within ~15 business days. If approved, payment must be completed online to secure your space.
    • Rain or Shine: This event takes place regardless of weather.

    Compliance Requirements

    • Insurance: Required. You may provide your own or purchase through us ($75/event).
    • Seattle Business License: Required. Tradeshow License available for $10 if needed.
    • Food Vendors: Must obtain Public Health – Seattle & King County permit (no blanket permit provided).
    • Food Packaging: Must comply with Seattle compostable/recyclable requirements.
    • Fire & Propane: Permit required for propane/open flame. Fire extinguisher required and must be serviced within 12 months.

    Booth Space vs. Rentals (Important)

    • Your registration includes booth space only.
    • No equipment is included (e.g., tent, table, chairs, power) unless explicitly rented in advance.
    • Booth Sharing is not allowed. Each booth space is exclusively reserved for the registered vendor. Vendors found sharing their booth with another business during the event will be ordered to cease operations immediately and forfeit their space without a refund.
    • Vendors are fully responsible for bringing all necessary setup items.

    Refund Policy (Booth + Rentals)

    • Booth Fees: Full refunds are only available for cancellations made 30+ days before the event (via email to events@cidbia.org). No refunds will be issued within 30 days of the event.
    • Rentals (tables, chairs, canopies, power, etc.): Rentals must be reserved and paid in advance.
    • No On-Site Adjustments: We are not responsible for providing missing equipment on event day. Lack of preparation (e.g., no tent, table, or setup items) does not qualify for a refund.

    Logistics

    • No WiFi: WiFi is not provided. Vendors must use their own hotspot if needed.
    • Street parking is available, but not reserved or guaranteed. Vendors are responsible for their own parking and load-in/out planning.
    • Power: Power is not included unless pre-arranged. Vendors must bring appropriate equipment/adapters.
