  • IMPORTANT NOTICE — PLEASE READ BEFORE PROCEEDING
    2026 SEASON ONLY: This registration and participation fee covers the 2026 iGEM competition season only — this project, this team, and this Jamboree. iGEM operates on an annual cycle. A new year means a new season, a new project, a new team, and a new registration. This fee does not carry over to or guarantee placement in any future season.
    ALUMNI RECOGNITION: Upon successful completion of the 2026 season, ALL participating students — both In-Person and Remote members — will be permanently recognized as official Texas iGEM Alumni and founding members of the first community iGEM team in Texas. Names will be displayed on the Texas iGEM team record indefinitely.
    BINDING COMMITMENT: This form must be completed in full. Submission of this form constitutes a binding commitment to the fee schedule outlined below. All fees are NON-REFUNDABLE unless otherwise stated in writing by the Texas iGEM Collective leadership.

  • SECTION 2 — PARENT / GUARDIAN INFORMATION

  • Required for all participants under 18 years of age.
  • SECTION 3 — PARTICIPATION TIER SELECTION

  • Please select ONE participation tier below. Both tiers receive equal Texas iGEM Alumni status and permanent recognition as members of the Texas iGEM team.

  • REGISTRATION FEES ARE STRICTLY NON-REFUNDABLE.
    TIER 1 (In-Person / Wet Lab) — $3,000: Covers iGEM Stage I & Stage II program fees, wet lab materials & supplies, mentorship, and administrative costs.
    TIER 2 (Non-Wet Lab Innovation Team) — $1,000: Covers iGEM Stage I & Stage II program fees, and administrative costs. Wet lab materials not included.

     

    Grand Jamboree attendance (Stage III) is optional for both tiers — tickets and all associated travel costs are the sole responsibility of the participant's family and will be communicated separately.

  • Parents/guardians wishing to attend must confirm and pay their registration, airfare, boarding and associated costs by the deadline specified by team leadership.
  • Payment — Invoice Will Be Issued Upon Application

  • YOUR REGISTRATION IS NOT CONFIRMED UNTIL PAYMENT IS FINALIZED
    Upon receipt of your completed application, Texas iGEM Collective will issue an official invoice for the applicable non-refundable registration fee ($3,000 for Tier 1—WetLab, or $1,000 for Tier 2—Innovation Team), based on the participation tier selected in Section 3B. Your registration is NOT confirmed, and no spot on the team is reserved, until payment of the invoice has been received and fully processed by team leadership. Applications submitted without payment will not be reviewed and do not hold a spot on the team. Submission of this form alone does not constitute registration, acceptance, or any commitment on the part of Texas iGEM Collective.

  • Payment Method - Invoice:

  • An official invoice will be sent to the email address provided in the initial iGEM application interest form; upon receipt of your completed application. Payment must be made in accordance with the instructions contained in that invoice. Do not send payment prior to receiving the official invoice from Texas iGEM Collective. TAKE A SCREENSHOT OF YOUR PAYMENT CONFIRMATION PAGE & SEND THAT TO admin@texasigem.org. 

  • All costs beyond the registration fee (flights, hotel, meals, and any other travel expenses) are the sole responsibility of the participant's family.

  • SECTION 5 — REFUND POLICY

  • NON-REFUNDABLE FEE POLICY
    All registration fees paid to Texas iGEM Collective are strictly non-refundable, without exception, once submitted. This policy applies regardless of the reason for withdrawal, including but not limited to personal circumstances, scheduling conflicts, health reasons, or failure to meet participation requirements.

  • Partial refunds will not be granted under any circumstances. No credit, transfer, or deferral of the registration fee to a future program cycle is permitted unless expressly approved in writing by Texas iGEM Collective leadership.

  • By submitting this form and payment, the participant and their parent/guardian acknowledge and accept this non-refundable policy in full.

  • SECTION 6 — BOARD AUTHORITY & RESERVATION OF RIGHTS

  • 6.1 Right to Cancel Registration

  • Texas iGEM Collective's board of directors (the "Board") reserves the sole and absolute right to cancel any participant's registration at any time, at its discretion, for reasons including but not limited to:

    • Violation of the Texas iGEM Collective Code of Conduct or team rules
    • Failure to meet attendance or participation expectations
    • Non-payment of required fees
    • Any conduct deemed detrimental to the team, program, or its members
    • Program capacity or operational constraints
  • In the event of a Board-initiated cancellation, all fees previously paid remain non-refundable unless the Board, in its sole discretion, determines otherwise in writing.

  • 6.2 Right to Amend Rules Without Notice

  • The Board reserves the right to modify, amend, or update any program rules, guidelines, schedules, fee structures, policies, or other terms governing participation at any time and without prior notice to participants. Such changes become effective immediately upon the Board's determination, unless otherwise stated.

  • It is the responsibility of each participant and their parent/guardian to remain informed of current rules and policies as communicated by team leadership. Continued participation following any amendment constitutes acceptance of the updated terms.

  • IMPORTANT: Participants and families are encouraged to maintain regular contact with team
    leadership and to review all communications promptly to stay current with any policy updates.
  • SECTION 7 — TRAVEL POLICY & MINOR SUPERVISION

  • 7.1 Grand Jamboree Travel — Paris, France

  • The iGEM Grand Jamboree (Stage III) is held in Paris, France, and participation is optional. All travel to and from Paris, as well as accommodation, meals, and local transportation, is the sole financial responsibility of the participant's family.

  • MANDATORY PARENTAL / GUARDIAN ACCOMPANIMENT FOR MINORS

  • Texas iGEM Collective DOES NOT assume supervisory, custodial, or chaperone responsibility for any minor (under 18) during travel to or from the Grand Jamboree, or during any local or international travel associated with the program.
  • Parents or legal guardians are REQUIRED to accompany their minor child for all travel — both domestic (local/regional) and international — related to Texas iGEM Collective activities, including travel to Paris for the Grand Jamboree.
  • Texas iGEM Collective will not arrange, supervise, or be liable for the travel, safety, accommodation, or welfare of any unaccompanied minor at any point during local or international travel.
  • 7.2 Scope of Organization Responsibility

  • Texas iGEM Collective's organizational responsibilities are limited to program activities conducted during officially scheduled team sessions and events at designated program venues. The organization assumes no responsibility or liability for participants before, during, or after travel to or from any event, whether locally or internationally.
  • Families are solely responsible for:
    • Arranging and funding all travel (flights, ground transportation, accommodation, meals)
    • Ensuring a parent or legal guardian accompanies any minor participant throughout all travel
    • Obtaining appropriate travel insurance and ensuring valid travel documentation (passports, visas, etc.)
    • All other logistical and safety considerations related to international and domestic travel
  • SECTION 8 — ACKNOWLEDGEMENTS & SIGNATURE

  • By signing below, I acknowledge that I have read, understood, and agree to ALL of the following:
    • Registration Fee & Refund Policy: My registration fee ($3,000 for Tier 1 or $1,000 for Tier 2, as selected in Section 3B) and all travel/boarding costs are NON-REFUNDABLE. I have read and accept the Refund Policy in Section 5.
    • Code of Conduct: I agree to the Texas iGEM Collective Code of Conduct, team rules, and meeting attendance expectations.
    • Board Authority: The Board of Directors reserves the right to cancel my registration and to amend program rules at any time without prior notice, as described in Section 6.
    • Minor Travel & Supervision: A parent or legal guardian MUST accompany any minor participant during all local and international travel. Texas iGEM Collective bears no responsibility for the travel, supervision, or welfare of minors, as described in Section 7.
    • Non-Disclosure & IP Agreement (NDA): A separate NDA must be signed before full participation is granted. The NDA is binding regardless of participation status — including voluntary withdrawal, removal, or cessation of membership — and survives termination of participation indefinitely.
    • Lab Safety & Liability Waiver: A separate Lab Safety, Liability Waiver & Indemnification Agreement must be signed before any laboratory access is granted. Media release consent is included in that document.
    • Confidentiality: Project ideas, research directions, and team strategies are confidential and may not be shared externally.
    • Accuracy of Information: All information provided in this form is accurate and complete.
