The five business day requirement may be waived only when all of the following conditions are met:
- The student organization is partnering directly with a recognized university department.
- The external organization, speaker, vendor, or entity is being invited to campus as part of a shared program, event, or initiative between the student organization and the university department.
- The university department must be actively involved in planning the event, approving the department’s participation, and ensuring university protocols are followed.
- The external organization, speaker, vendor, or entity must directly support the mission or purpose of the student organization.
- The external organization, speaker, vendor, or entity must directly support the mission, work, or educational purpose of the co-sponsoring university department.
- This exception does not apply when a university department is only listed as a sponsor, provides funding, reserves space, signs a form, or gives general support without active involvement in the event.
Student organizations seeking this waiver must consult with the co-sponsoring university department before submitting the request. The department must confirm that university protocols for external organizations have been reviewed and followed.
Approval of the waiver is not automatic. The university may deny the waiver if the event does not meet all requirements listed above, if the department’s role is unclear, or if the external organization, speaker, vendor, or entity does not clearly align with both the student organization and the co-sponsoring university department.
