    We are excited to have everyone join us for a fantastic weekend of riding, friends, food, and horses! 

    To help make the ride fun, smooth, and minimally chaotic, please read the following carefully:

    Entries & Rider Limits
    This ride is PRE-ENTRY ONLY and limited to 65 unique riders.

    Why? Because we actually want enough food, parking, awards, volunteers, and sanity for everyone involved. Limiting entries helps us properly staff the event and make sure all riders have a great experience.

    Hoodies & Sweatshirts
    Hoodies and sweatshirts are not ride awards, but they can be purchased at our cost.

    This year the hoodies/sweatshirts are RED and the T's are black.

    Orders MUST be paid by 8/18/2026. This is not us being difficult — this is our printer giving us “the look.” If payment is not received by then, your hoodie/sweatshirt simply will not be ordered. No amount of pleading, bribery, or sad emojis will change the printer’s deadline.

    Ladies’ V-Neck Shirts
    Ladies, if you would prefer a V-neck T-shirt instead of the standard unisex shirt, please let us know by 8/18/2026.

    These are custom ordered and cost more, so we only order them for riders who request them on time. We just like giving everyone options!

    Late Fees
    Entries not paid in full by 9/5/2026 will have a $25 late fee added.

     

    Friday Night Grill Out
    We are thrilled to offer our riders an amazing Friday night meal!

    Grill Master Gene, along with his wonderful side kicks, will be serving what we are fairly certain may be a life-changing steak dinner on Friday evening.  Dinner is served at 6:30 sharp, please plan accordingly.  

    Provided:

    Steak
    Baked potatoes
    Rolls
    Lemonade
    Iced tea

    Please bring a side dish to share so we can all pretend we made balanced nutritional choices.

    Campsites & Deposits
    Your campsite is NOT reserved until we receive a minimum $75 deposit with your entry.

    Remaining balances are due by 9/5/2026, or late fees will apply.

    T-Shirts
    Due to rising ride costs — especially T-shirts — we must receive a deposit by 8/18/2026 to guarantee a shirt in your size.

    We are not ordering many extras this year because leftover shirts are adorable but expensive.

    Thank you all for helping us keep the ride organized, fun, and running smoothly. We truly appreciate every rider, volunteer, and supporter, and we cannot wait to see everyone at camp!

  • ***On Friday evening we will again be having "the grill out" for riders, guests, and staff.  Meats and grills have been generously donated by our Grill Master Gene Van Der Walt, this is and will always be "the" best steak dinner of your life! :-) Plates, silver, lemonade, iced teas, and baked potatoes will be provided.  Please bring a side dish to share and any other beverages of choice. Let us know how many people will be accompaning you to the ride so we have enough to grill!***

    *Entries and camping fees are non-refundable after 9/1/2025.* Partial refunds less non refundable $75 deposit until 8/30/2025.

     

    READ THIS CAREFULLY BEFORE SIGNING THIS IS A RELEASE OF LIABILITY 

    The Undersigned acknowledges that distance horseback riding is a sport which carries an inherent risk, which means a danger or condition that is an integral part of an equine activity, including, but not limited to, any of the following:

     (a) The propensity of an equine to behave in ways that may result in injury, death, or loss to persons on or around the equine;

     (b) The unpredictability of an equine's reaction to sounds, sudden movements, unfamiliar objects, persons, motorized vehicles, or other animals;

     (c) Hazards, including, but not limited to, surface or subsurface conditions;

     (d) A collision with another equine, another animal, a person, or an object;

     (e) The potential of an equine activity participant to act in a negligent manner that may contribute to injury, death, or loss to the person of the participant or to other persons, including, but not limited to, failing to maintain control over an equine or failing to act within the ability of the participant.

     (f) The undersigned fully understands that any unsportsman like behavior on behalf of themselves or their crew will result in disqualification and ban from future events.

     (g) The undersigned accepts all risk to the potential exposure to COVID-19, or any other communicable disease,  by attending this event.  Additionally I accept that I alone am the only person responsible for my health as it relates to potential exposure or any other injury or illness that may result from my participation and/or attendance.

    (h) The undersigned accepts that our base camp is Elkins Creek Horsecamp and is private property. All of EC related rules and guidelines will be followed.

    The Undersigned, in consideration of acceptance of his/her entry in this ride, does hereby for himself/herself, his/her heirs, executors and administrators, waive and release all ride personnel and the sanctioning Ride Organizations, their officers, and all individual members thereof, and all other persons, regardless of their capacity, in any way connected with this event, their representatives, heirs, executors, administrators and assigns for any and all right, claim or liability of any kind or nature the Undersigned might have.  Further, the Undersigned does hereby acknowledge that said release will extend to any accidents, damages or claims arising out of his/her entry caused by his/her own acts or anyone or any animal within his/her control.

    The participant has read and agrees to abide by Ride Management, AERC, OAATS, and Elkin's Creek Horse Camp facility rules.

    Items may "only" be sold to those attending the ride, we are not offering these items by mail.

     

    Hoodies and sweatshirts are special orders and "must" be paid for by August 18th. We try to find the best quality and value for these items and we offer them at our cost.
