  • KVBBQ 2026 Market Stall Vendor Terms & Conditions


    Festival Fees: A site fee of $500 applies to all approved market stall vendors. This fee includes one marquee, power and site allocation. A refundable $50 cleaning bond will also be charged. All invoices must be paid by the due date to secure your site.

    Cleaning Bond: The $50 cleaning bond is refundable at the discretion of Festival Management following inspection of your site after the event. Approved refunds will be processed within 14 days of the event.

    Cancellation: Cancellations must be submitted in writing. Full refunds will be provided for cancellations received at least four (4) weeks before the event. No refunds will be issued after 21 August 2026.

    Sales: KVBBQ 2026 is a cashless event. All vendors must be able to accept electronic payments, including EFTPOS.

    Product Approval: Festival Management reserves the right to approve all products sold at the event and to limit the number of vendors selling similar items. Vendors may only sell products listed in their approved application unless prior written approval is obtained.

    Pre-packaged products such as sauces, rubs, spices, jerky, confectionery and similar retail goods may be sold by approved market stall vendors. The sale of prepared food or beverages for immediate consumption requires a separate Food Vendor application.

    Bump-In: Vendor vehicle access for set-up is available on Friday, 18 September 2026 from 12:00pm. No vehicle access will be permitted on Saturday, 19 September 2026. All vendors must be fully set up by 10:00am Saturday.

    Trading Hours:

    Saturday, 19 September 2026: 10:00am – 6:00pm
    Sunday, 20 September 2026: 10:00am – 4:00pm

    Vendors are expected to remain open for the full trading hours unless otherwise approved by Festival Management.

    Insurance: Approved vendors must provide a current Certificate of Currency for Public Liability Insurance with a minimum cover of $20 million prior to the event.

    Weather and Event Changes: KVBBQ is an outdoor event and will proceed in most weather conditions. Festival Management reserves the right to modify, postpone or cancel the event due to weather, safety concerns or circumstances beyond its control. No compensation will be payable for any loss or expense incurred by vendors as a result.

    Vendor Conduct: Vendors must maintain a safe, clean and professional site and comply with all directions issued by Festival Management. Festival Management reserves the right to remove any vendor who breaches these Terms and Conditions without refund.

    Acceptance: Submission of an application does not guarantee acceptance. Festival Management reserves the right to approve or decline any application at its sole discretion. By accepting a site allocation and making payment, the vendor agrees to these Terms and Conditions.
