Terms, Conditions, and Liability Waiver By registering for this event, you (the "Participant") agree to the following terms and conditions:
1. Payment & Cancellation Policy Deposit: A non refundable deposit of $200 is required at the time of registration to secure your spot Final Payment: The remaining balance must be paid in full on or before August 15. The remaining balance will be automatically charged to the card on file on August 15 unless the charge fails or the participant cancels in writing before that date. Failure to submit final payment by this date may result in the forfeiture of your spot and your non-refundable deposit.
Cancellations: All cancellation requests must be submitted in writing. No refunds of any kind will be issued for cancellations made after August 15.
2. Health, Safety, and Dietary Restrictions While the organizers will make every reasonable effort to accommodate dietary restrictions and allergies disclosed on this form, the Participant acknowledges that food is prepared by a third-party catering/venue staff. The organizers cannot guarantee an allergen-free environment. Participants are responsible for managing their own medical needs and carrying any necessary personal medications.
3. Liability Release & Assumption of Risk The Participant understands that attending a retreat involves inherent risks associated with travel, group lodging, and event activities. The Participant hereby releases, waives, and holds harmless the event organizers, hosts, volunteers, and venue staff from any and all liability, claims, or demands for personal injury, sickness, or death, as well as property damage and expenses, of any nature, occurring during the course of the event.
4. Photo and Media Release By attending the retreat, the Participant grants the organizers permission to use photographs, video recordings, or audio taken during the event for promotional, marketing, or website purposes. If you wish to opt out of media coverage, please notify the organizers in writing prior to the event.
5. Code of Conduct We are dedicated to providing a safe, inclusive, and welcoming environment for all gamers. Harassment, toxic behavior, or disruptive conduct toward other guests, staff, or venue employees will not be tolerated and may result in expulsion from the retreat without a refund.
