National Sporting Organisation - Facility, Equipment and Course Hire Application

How the Hire Process Works
Thank you for your interest in hiring facilities, equipment or operational infrastructure at the West Lakes rowing precinct.

This application form allows Rowing SA to assess:
- venue availability;
- operational requirements;
- staffing needs;
- compliance obligations; and
- event suitability.
Please note:
- submission of this form does not guarantee approval;
- additional operational requirements may apply;
Important Information
Some event requirements are not provided by Rowing SA and may require separate arrangements, approvals or additional costs, including:
- waste management;
- reserve hire;
- traffic management;
- first aid planning;
- event permits; and
- temporary infrastructure approvals.
Additional operational meetings or documentation may be required depending on the scale of the event.

Booking Confirmation and Bond
A bond equal to 10% of the estimated hire fee will be invoiced upon provisional approval of the booking.

Bookings are not confirmed until:
- approval has been granted by Rowing SA;
- the bond invoice has been paid; and
- all required documentation has been received.
The bond may be retained in part or full where:
- damage occurs;
- additional cleaning is required;
- operational breaches occur;
- equipment is lost or damaged; or
- invoices remain unpaid.

Pontoon Shift requirements
Starting Pontoon Information

The starting pontoon is normally located at the 2000m mark.

Any movement of the pontoon requires:
- operational approval;
- staffing resources;
- safety management; and
- additional labour charges.
- Volunteers provided by hirer
Hiring the regatta course, includes the use of the starting pontoon.

The pontoon requires 4 boats and 10 personnel to move to a new position.
The time taken is approximately 120 minutes for 2000m to 200m starts.

If the hiring group is able to provide 4 volunteers to assist with the shift, the cost is $540

If no volunteers are provided, the pontoon shift is $880.
A pontoon shift is required

Insurance
Insurance Requirements

A current Certificate of Currency for Public Liability Insurance (minimum $20 million coverage) must be provided prior to approval of the booking.

Any hirer conducting:
- the sale of goods or services;
- commercial activities;
- filming or photography;
- amusement activities;
- catering operations;
- liquor service;
- contractor works; or
- the erection of temporary structures,
must also provide copies of all relevant contractor, supplier or vendor Public Liability Insurance documentation in accordance with the Terms and Conditions.

This includes (where applicable):
- marquees;
- staging;
- temporary fencing;
- amusement devices;
- food vendors;
- electrical contractors;
- audio/visual providers; and
- other third-party service providers engaged by the hirer.
All contractors and suppliers engaged by the hirer remain the responsibility of the hirer.

No marquees or temporary structures may be erected without prior approval from Rowing SA due to underground services and operational restrictions.

Rowing SA may request additional documentation, risk assessments or compliance information depending on the nature of the event.

Rowing SA may be able to extend its liquor licence to include the café lawn area, subject to operational approval and licensing requirements.

Please note that all surrounding reserves are designated dry zones under the City of Charles Sturt permit conditions.
