As per our Holiday Camp Policy, we need to have the following information on record for all of our awesome volunteers. It will be valid for 2 years, then we will just need a refresh of your contact details.

    We require two referees to be provided for all applications. 

    One of these referees must be people who know you in Christian service (i.e. church pastors, youth group leaders, small group leaders, etc.). One of them can be a friend, teacher, employer, or CYC employee, if they know you well.

    Your referee cannot be yourself OR an immediate family member (i.e. parent, sibling, child, spouse, etc.)

  • Volunteer Agreement
    for CYC Ngāruawāhia Ministry Camps/Events

    This Volunteer Agreement is an arrangement between Christian Youth Camps Inc (CYC) (us), and yourself in relation to your voluntary work.

    The purpose of this role is to be able to aid in the smooth running of ministry camps/events onsite, which may include but is not limited to, cabin leading, LIT Training, parent helpers, helper leaders, first aiders, area heads, and other support roles. We aim to provide a great environment for our volunteers through leadership training and opportunities, as well as an environment to grow alongside new friends and as part of the CYC whanau.   
     
    We, Christian Youth Camps Inc., accept your voluntary service from the date of this application or the date of your most recent police check renewal, whichever occurs first. This acceptance remains valid for a period of two years while undertaking volunteer work at ministry events and camps operated by Christian Youth Camps Inc. at its site located at 148 Waingaro Road, Ngāruawāhia 3720.  
     
    A description of your role will be outlined to you before any event by the Events Coordinator and/or Leaders’ Coordinator and can be aided by the Leader’s Manual document. Your role is designed to help CYC provide care for the children/teenagers who attend our holiday camps, and other guests who attend events run by CYC. CYC’s aim is to help promote the physical, social, and spiritual wellbeing of the campers through providing excellent facilities and safely run activities. CYC aims to give inspiring outdoor experiences and programs that promote self-awareness, encouragement, co-operation, communication, and a personal relationship with Jesus Christ. As part of this, the volunteer (you), must agree with our special character as well as the statements made above and act according to the leader’s manual, being good representatives of the organization, conducting themselves in such a manner as to not bring disrepute to the organization.   
     
    Part 1 - The volunteer 
    I (the volunteer), agree to be a volunteer at Christian Youth Camps and commit to: 

    • Having recently read, understood, and committed to applicable the Leader’s Manual 
    • Carry out the tasks outlined to me, before attending the event 
    • Perform my volunteering role to the best of my ability, including ministry tasks assigned to me 
    • Act in the best interests of CYC 
    • Adhere to the organization’s rules, procedures and standards, including health and safety procedures and OSCAR regulations. This information can be found in the Leaders Manual 
    • Maintain confidential information of the organization and of its staff, other volunteers, and campers 
    • Behave in an appropriate manor with all staff, volunteers, and campers 
    • Work without financial reward 
    • Uphold an appropriate standard of dress at all times  
    • Understanding that CYC is a smoke and vape free site and prohibits being under the influence of alcohol or illegal drugs while on site and can be immediately dismissed if found to be in possession of these. 
    • Participate in meetings and meet time commitments; if I can’t make those commitments for any reason, I will provide reasonable notice to camp coordinators. 
    • Raise any matters of concern with Camp Director, Events Coordinator, or Leaders Coordinator. 
    • If requested, to agree to police checks being carried out when necessary as per CYC’s holiday camp policy 
    • Attend at least one CYC Leaders Training Event per year, if required 

    Part 2 - Christian Youth Camps 
    Christian Youth Camps agrees to: 

    • Provide you with a Leaders Manual. 
    • Provide orientation, support, training, and supervision for your responsibilities in your volunteering role. 
    • Do our best to help you develop your skills and abilities 
    • Provide a safe environment. 
    • Provide opportunities for evaluation and feedback. 
    • Acknowledge and recognize the contribution of volunteers to the organization. 
    • Provide meals during your volunteer hours. 
    • To endeavor to resolve in a fair and just manner any problems, grievances or difficulties which may be encountered while you volunteer with us 
    • In the event of an unresolved problem, offer an opportunity to discuss the issues in accordance with the procedures set out in the Leaders Manual and Staff Manual. 
    • Provide you with the best leadership opportunities possible  

    Confidentiality Agreement: 
    By submitting this volunteer aggreement, I agree, that any information heard, observed, or obtained during the course of my volunteering at Christian Youth Camps Inc., shall remain confidential to Christian Youth Camps Inc. I agree that I shall not discuss any confidential information obtained as a volunteer with anyone, other than Christian Youth Camps employees, unless it is required under the Privacy Act 2020 or permission has been given by CYC. 

    By submitting this volunteer application, I agree and have read and understood this contract and will abide by the rules in the releveant Leaders Manual. I understand that if I break any of the rules, Christian Youth Camps Inc., will decide on a course of action that may result in the immediate termination of this volunteer agreement before the your start date of voluntary work.

  • 2.1   Information about your consent

    • The purpose of this form is to allow the New Zealand Police Vetting Service to confirm who you are using Police records, carry out a Police vet, and obtain your consent to share any relevant information with the agency that requested the vet.
    • What you are consenting to. You are agreeing that the Police Vetting Service can share relevant information they hold about you (if any) with the requesting agency. This information will be used to help the agency decide whether you are suitable for the role they are considering you for or that you are engaged in.
    • The information that may be shared is outlined in section 2.2 of this form. For further details, you should refer to the Vetting Bill or visit the Police vetting website.
    • Who collects your consent. The agency requesting the Police vet will collect your signed consent.
    • The law that applies. Your consent is required by law. We are asking for your consent under the Vetting Bill.
    • Your rights under the Privacy Act 2020 include: you may request a copy of the Police vet report provided to the agency by contacting the agency. You can withdraw your consent to a Police vet at any time before the vetting process is complete by contacting the agency. The agency may keep the Police vet only for as long as required for vetting purposes.
    • You may request correction of your personal information at any time at police.govt.nz → requesting information.
    • How long the information is valid for. The information in the Police vet is correct only at the time it is shared. It is up to the agency to decide how often they ask for updated vetting.

    2.2   Information about you that may be shared

    1. A Police vet will include the following information, if held by New Zealand Police. Please refer to the Police vetting website for more information regarding the Clean Slate Scheme, what may be released, and the vetting process.

      Either:
      1. A result indicating that no information is held or relevant to the purpose of the vetting request,
      Or, one or both of:
      1. The vetting subject’s criminal record (if any), unless the Clean Slate Scheme applies.
      2. A summary of other information that is readily retrievable, relevant to the purpose of the vetting request, and deemed accurate.

      This may include pending charges, charges without conviction, youth court charges, infringement offences, demerit points, arrest warrants, involvement in family violence, overseas convictions, police investigations without charges, interactions with Police, and other information held by Police.

      Information may also be released where it is subject to a suppression order or statutory prohibition, involves offences by individuals under 18, or relates to mental health or substance abuse issues.

    2. If you are vetted as a Children’s Worker, and you continue to hold that role, the Police Vetting Service may release any newly obtained relevant information to the requesting agency at any time.

      The Police Vetting Service will take reasonable steps to:
      1. confirm that the purpose of the Police vet remains valid – for example, that you are still employed or engaged as a Children’s Worker, and
      2. notify you before any information is disclosed.
    3. Information provided in this consent form may be used to update New Zealand Police records.
